Your Outlook Address Book
Outlook has several address books, sometimes called address lists. The main ones you will deal with are the Global Address List and the Outlook Address Book. The Global Address List is the list of email addresses for all PESD employees. It also contains the distribution lists for each district site. For example, if you go to the Global Address List and look up 12-Heard Instruct Staff and send an email to that address, your email will go to every teacher at Heard. The Global Address List is alphabetized by first name. You can go to Outlook Email Basics to learn how to address a message using the Global Address List. The Outlook Address Book is your address book. Typically, PESD users user the Outlook Address Book to store two kinds of addresses: 1. Distribution lists that you have created for your personal use. For example, you may want a distribution list of all fifth grade teachers at your school. 2. Email addresses for people outside the district. For example, if you regularly email someone at or another school district, you could put their address in your Outlook Address Book. In the main Outlook window, when you click on Tools>Address Book in the menu at the top of the page, you should see the Address Book window:
Click on the down arrow (circled below) next to the Show Names from the list. You should see a list that looks something like this (the list may not be in this order):
The list should include several address books. The ones you should have are the ones circled above: Global Address List, Outlook Address Book, and a subentry called Contacts under Outlook Address Book. If your Outlook Address Book is empty, you will not see the Contacts subentry. Once you add a contact to your Outlook Address Book, the Contacts subentry will appear in the list. Note that the Contacts subentry under Outlook Address Book is different from the All Contacts subentry under All Address Lists. Ignore the All Contacts subentry.
