AT THE ROYAL WEST OF ENGLAND ACADEMY
Located within the prestigious Royal West of England Academy the New Gallery is situated
in a prime position on the ground floor with easy access from the street. Our exhibitors

will receive a unique level of service. Along with professional hanging by our technicians we
provide invaluable sales management and inclusion in the RWA Programme and promoted
in the quarterly RWA Art magazine which has circulation of 10000 copies.
Exhibition slots are now available for hire in 2011 and artists, either as individuals or art
groups interested in exhibiting work are requested to submit an exhibition application to
the RWA. Also welcomed are applications from artists who wish to be placed in our artists’
pool to share hire with compatible exhibitors.
INFORMATION
When considering exhibition applications, the RWA will take into account the quality of
work, its relevance, financial implications and how the proposal fits in with the RWA
Exhibition, Access and Education policies.
The Exhibition Application Form should be completed and submitted to the RWA
Exhibition Committee which meets every two months to consider proposals. The
application should include up to 6 images of the type of work to be exhibited (per artist)
and a brief statement about the work.
The RWA is an independent art gallery and a registered charity that receives no external
funding. The RWA charges for additional services outside the hire fee, such as mail-outs,
postage and private view overheads, and the artist is responsible for publicity and those
costs incurred.
Information for Exhibitors
Opening Hours
The gallery is open to the public Monday to Saturday, from 10 am until 5.30 pm and on
Sundays from 2 pm until 5 pm. Last admission is half an hour before closing. The RWA is
closed on Easter Sunday and from 12 noon Christmas Eve until the 2nd January.
Labelling/Price lists/Artist Information
GALLERY
Please label the back of the artwork clearly with the name of the artist, title, price and
medium. Please submit price lists including medium, title and edition numbers one week
before hanging day, either by post or email as a Word or Excel document. If you wish to
supply a biography and/or artist statement and photograph please provide these one week
before hanging to allow time for formatting and presentation. This can be sent as hard copy
or emailed as a Word or Excel document to tanya.wildgoose@rwa.org.uk
Delivery
Artwork must be delivered to the RWA by 9.30am on the first day of the hire period.
Please note that there is no parking on the forecourt of the RWA for artists or visitors.
Space will however be allotted where possible for artists to deliver and collect artworks
during changeover.
Hanging and Display
The RWA will provide professional gallery technicians to place and hang the exhibition.
For non wall-based works there is a large selection of plinths available including two with
perspex covers and some glass display cabinets. Dimensions given below.* All are subject
to use in the Main Galleries and requirements for these must be discussed well in advance
of the exhibition.

Packaging
It is not always possible for the RWA to store packaging or crates. These must be removed
from the premises after the placing of the artworks unless alternative arrangements have
been made with the RWA gallery technicians. It is the responsibility of the exhibitor to
package unsold artworks for transportation at the end of the exhibition.
Marketing and publicity
All publicity material will be subject to RWA corporate identity and design. The production
of Private View cards and posters are the responsibility of the artist. The RWA will provide
a CD and template for all publicity and literature. This is part of the Terms and Conditions
of hiring the New Gallery. We kindly request you return the CD to the gallery after use.
Private View cards or posters may be included in a pre-arranged mail-out for an additional
charge. Owing to the Data Protection Act, we are unable to release addresses for this
purpose. Please contact Tanya Wildgoose if you are interested in using the RWA mail-out.
Advertisements can be included in the RWA Magazine, where advertising rates apply.

The RWA does not publicise New Gallery exhibitions through press releases, however the
New Gallery exhibitions are included in the RWA’s Exhibitions Programme, RWA
Magazine and some regular press listings.
Private View
The Private View will be held on the first Sunday of the exhibition during the gallery’s
opening hours of 2 – 5 pm, (doors close at 4.30 pm). Any alternative to this, including
catering, must be discussed with the RWA in advance. Wine, water and orange juice can
be provided by the RWA for an additional charge.
Red/white wine £10.00 per bottle
Still/sparkling water £1.50 per 2 litre bottle
Orange juice £1.50 per carton
If you wish to supply your own wine there is a £34 flat-rate corkage fee. You are of course
free to supply your own non-alcoholic refreshments as well as crisps and other nibbles.
There is no extra charge for the use of wine glasses or for staff who will be on hand to
serve at the Private View. These prices may be subject to change.
Charges for Private View expenses are deducted from the Artist’s Commission Statement
at the end of the exhibition unless other arrangements are made.
Sales and invigilation
There is limited invigilation in the New Gallery by RWA staff
A final commission statement will be sent to the artist following the exhibition. Commission
will be charged on all sales including framed and unframed works, books, cards and other
merchandise, (please note item 3 of the Terms and Conditions).
Fees, Terms & Conditions
1. The exhibition will run for three and a half weeks, for which there is a hire fee of £990 (including
VAT). Starting 9.30am on Thursday the first day of hire period and ending by 4.00pm on
Wednesday the last day of the hire period. This includes two days for hanging and preparation
before opening.
2. Commission on all sales will be the following: 15% (+VAT) for non-members and Friends, and
10% (+VAT) for RWA Academicians. Commission will be charged on all sales including framed
and unframed works, books, cards and other merchandise. The commission will be effective on
commencement of the exhibition.
3. A non-refundable deposit of 33% will be charged at the time of booking or at least within 28
days from the confirmation of the booking. Cheques should be made payable to ‘RWA’.
4. The hire fee will cover rent, sales management and inclusion in regular RWA listings to local and
regional press and magazines, the 2011 RWA programme, RWA Art magazine and on the
RWA web site.
5. A CD with a template for the poster, Private View card, price-lists and labels will be provided.
The CD must be returned to the gallery after use. Please note that the New Gallery does not
offer a full marketing service as part of the hire fee.
6. All publicity material is subject to RWA corporate identity and design and the exhibitor is
required to use the template provided. This template can only be used in conjunction with the
show for which the booking is made. All publicity material must be approved by the RWA.
7. This fee does not cover Private View refreshments, production of invitations for the Private
View, posters or postage. These costs are borne by the artist.
8. Insurance of work is the responsibility of Exhibitors for both transport and whilst in the building.
9. Stewarding the gallery is the responsibility of the Exhibitor. The RWA does not take
responsibility for any damage or loss incurred owing to lack of supervision.
10. Any outstanding monies owed to the RWA must be paid within 28 days of the end of the
exhibition. Payment to artists will also be made within the same time.
11. Hiring the New Gallery is made independently of exhibitions in the Main Galleries and the RWA
cannot guarantee that the Main Galleries will be fully or partially open to the public during any of
the New Gallery exhibition slots.
12. The RWA reserves the right to move the New Gallery within the RWA building. In this event
the RWA will inform the exhibitor, as soon as possible, no later than 28 days before
commencement of the exhibition. If the new space allocated is not to the satisfaction of the
exhibitor the RWA will return the deposit paid, but no other sum will be paid by way of
compensation.
13. The RWA has the right to refuse work deemed inappropriate, or offensive. Images you send
with your application must reflect the type of work to be shown. The RWA must be informed
of any new works produced for the exhibition which are radically different from the original
proposal.
14. RWA reserves the right to modify the fees, terms and conditions at anytime.
