 The Standard HR Management Report Format template was developed in MS PowerPoint
 and requires standard MS Office skills to update.
 To copy the Standard HR Management Report
 Format template to a local drive (this example saves the
 template to the Desktop):                              1

Identifying Fields to Update


    Fields that need to be updated by the agency
    in the HR Management Report are contained
    in brackets ( [ ] ).



         Delete instructional text boxes if not being
         used by selecting the text box and pressing
         Delete on the keyboard.




     Utilize space to enter your own
     Agency‟s information.



     Update the „Data As Of‟ and
     „Source‟ fields for every page.
           Example:

      Each page of the report should clearly identify the agency the data belongs to in the
      event the data is separated from the main report. To ensure an agency identifier is
      available on each page, agencies can update the Header/Footer of the report to include
      the agency name.




 1.    Update your Agency name in the
       header/footer section in the
       PowerPoint template
 2.    Select „Apply to All‟.

BI HRM-Related Reports
Overview

 Many performance measures required for the HR Management report are available from the
 HRMS Business Intelligence (BI) through the HRMS/BI Portal. BI HRM-Related Reports can
 be accessed from the HRMS/BI Portal under the HRM Performance Measurement tab.
 Reports are grouped by specific category: Plan and Align Workforce, Hire Workforce, Deploy
 Workforce, Reinforce Performance, Ultimate Outcomes.
 The purpose of this workshop is to instruct agencies on running BI HRM-Related Reports from
 the HRMS/BI Portal and updating the HR Management Standard Report Template.

     Exercise: Logging on to the HRMS/BI Portal
Single signon and non-single signon users can log on to the HRMS/BI Portal using the following
steps:                              1

1.    Open a web browser (e.g. Internet Explorer).
                                                                     2
2.    Type the following URL in the address line
      of the web browser (save the URL to your
      Favorites folder for future use):
        https://wahrms.wa.gov/irj/portal

3.    Press „Enter‟ (or Click „Go‟ button if applicable).

      Result: HRMS/BI Portal logon screen is
      displayed

5.    Click „Log on‟
       Result: User is logged on to the HRMS/BI Portal
      It may be necessary to click on the BI Reports tab to
      display Business Intelligence reports.

              • Single Signon & Non-Single Signon Users:
                Userid = E-mail address (ie, janed@dop.wa.gov)
                Password = Current network password
              • Outside the State Government Network (SGN):
                Userid = Domain\Network ID (ie, DOP\JaneD)

BI Report Variables

Variables are the selection criteria you use to filter your report. Deciding which Variables to use will depend on the
HR Performance Measure Parameter requirements. In most cases, recommended fields will include:
       Business Area, Personnel Area(s) or Organizational Unit Hierarchy
       Calendar Month (0CALMONTH) selections*
            Note: The October 2010 HR Management Report requires Manager to Staff numbers as of 7/1/10 The Calendar month selected for the
            Calendar Month (Optional) variable would be 6/2010. This would be as of the last day of the month - 6/30/10.
            Since many of the October 2010 report performance measures are for FY10, Calendar Month variables would be 7/2009– 6/2010 or Cal Quarter
            variables would be 20093, 20094, 20101, 20102 (Note: these are CALENDAR months and quarters, not fiscal year).

         * Some reports require an “as of” date rather than a date range. Refer to the HRM Report Performance Measure Parameters
           document for specific data criteria.

 Variables such as Business Area, Personnel Area, Job, Calendar Quarter, and Calendar Year have been
 provided to allow more flexible reporting options for users and their reporting needs.
 Variables can be entered directly into the text boxes if they‟re in the required format.
 To enter multiple values of a specific variable, click the Select Values button                      for the variable field or
 separate values with a semi-colon as shown in the screen print below.

the HRMS/BI Portal.
       Refer to the “Where Can I Find Information Relevant to the HR Management Reports?” section for links to the HRMS/BI Portal as well as links to the
       HRMS BI Training Materials.


     To locate/run a report:
1.    Click the BI Reports tab from
      the HRMS/BI Portal.

What is the definition of “Executive Branch”?

 BI HRM-Related Reports have been developed to include a certain population of Washington State employees. BI
 HRM-Related Reports have a standard set of restrictions placed on the employee population to achieve results that are
 required for the HR Management Report.
 To reach the definition of “Executive Branch”, specific agencies (and in some cases, organizations within agencies) are
 not included. Excluded are legislative and judicial agencies, agencies whose entire population consists of retired
 firefighters/law enforcement officers, or other non-employees who are paid via HRMS, and agencies with specific
 organizational units representing non-retired firefighters and work study students.
 The list below contains the basic “Executive Branch” definition:

Cleaning up your HR Management Report

 All Agency HR Management Reports will be published on the StrategicHR HR
 Management Performance and Accountability website and may be viewed by a wide
 audience. Because of this, we request you perform basic cleanup steps on your
 report before submitting it. Cleanup includes:
     • Deleting charts/graphs with sample data! If your agency does not have data for a
       particular chart/graph, it is important to remove the graph/chart or delete the sample
       data.
     • Ensuring all required performance measures have been updated and the graphs/chart
       information can be read.
     • Performing a spell check using the standard MS Office spell check functionality in MS
       PowerPoint (Tools > Spelling from MS PowerPoint menu bar).
     • Removing all template instructional text (identified by brackets [ ] ) that is not being used.

       Removing all template instructional text can be done by using the Edit
       > Find functionality available from MS PowerPoint‟s standard menu.
       From here, you can search and find all open brackets ( “[“). Since all
       instructional text is contained in brackets, you will be able to find any
       instructional text that needs to be completed (if required) or removed.

   It may be necessary to change the scale of your MS
   PowerPoint graph/chart. For example, if the scale is
   so large that bars or data points do not show, you can
   change the maximum scale.

Using BI Report Navigation

  The BI HRM-Related Reports that are available for reporting on the HRMS/BI Portal allow
  the user to perform additional analysis. BI report navigation is available for all BI reports
  and allows the user to “slice and dice” the data.
  Examples of BI report navigation include:
        •   Adding a field (Free Characteristic)
        •   Removing a field (Remove Drilldown)
        •   Sorting Results
        •   Filtering results

  Most report navigation is available by right
  mouse-clicking the Key Figure or field                                               Report Context
                                                                                       Menu
  names in the Rows, Columns, or Free
  Characteristics section. This will open the
  report Context Menu.
      Changing BI HRM-Related Report layout may impact
      percentage calculations. Please exercise caution when using

   The following sections include some basic report navigation options. For additional

Adding Free Characteristics

  Users have the ability to add additional reporting fields to report results once a report has
  been run. These fields may not originally display in the report results, however, they can be
  added. These fields are called Free Characteristics.
  The following Free Characteristics can be added to BI HRM-Related Reports for additional
  analysis:

  Users have the ability to change how a field on a BI HRM-Related Report is
  displayed. For example, instead of viewing both the Personnel Area number and
  name, users may want to view the Personnel Area name only.
  To change how fields are displayed:
                                                          1



   1.   Run a BI HRM-Related Report from
        the HRMS/BI Portal. (This example uses
        the Percent Age Distribution)

   2.   Right mouse-click in „Personnel
        Area‟ column heading to open the
        Context Menu.
   3.   Select „Properties‟ > „Characteristic.‟

  4.   Click the Display dropdown box and

       select „Text‟ to remove the
       Personnel Area Number .




  Result: Report displays Personnel Area

Bookmarking Results

   Users have the ability to “Bookmark” a report once it has been run. Bookmarking
   a report saves all user-defined navigational settings such as drilldown, filters, and
   sorting preferences.
   Once a report has been bookmarked, a user may add it to the Favorites folder of
   their Internet browser and can run the customized report from the web without
   going through the HRMS/BI Portal logon.

   To Bookmark report results:
   1.   Run a BI HRM-Related Report from the
        HRMS/BI Portal.
        (This example uses the WMS Management Type report with
        Personnel Area added to the report results)

   2.   Right mouse-click on an item in the report
        results to open the Context Menu.
   3.   Select „Broadcast and Export „> „Bookmark‟.
