                                          Position Job Description

Job Title:         Office Assistant – Human Resources
Reports to:        Executive Director of Human Resources


PRIMARY PURPOSE:

        Work under close supervision and follow established procedures of the district and office.

QUALIFICATIONS:

        Education/Certification:
               High school diploma or GED

        Special Knowledge/Skills:
               Proficiency in use of a computer and other office machines
               Proficiency in use of Microsoft Excel Spreadsheets and Microsoft Word


MAJOR RESPONSIBILITIES AND DUTIES:

    1. Keep informed of and comply with Federal, State, and District policies and regulations concerning
       primary job functions.

    2. Observe professional ethical standards in accordance with generally accepted community standards
       and the Texas Education Agency code of ethics.

    3. Maintain confidentiality of information.

    4. Responsible for various tasks and special projects assigned by the administrator, Administrative
       Assistant, or secretary.

    5. Act as receptionist to the Human Resources department as needed, copy, forward materials, answer
       phones and take messages, and other duties as assigned by the Executive Director, Administrative
       Assistant, or secretary.

    6. Maintain application database by monitoring all on-line applications, scanning all submitted documents,
       and corresponding with administrators regarding applicants.

    7. Enter Purchase Requisitions for the Human Resource Office in the EDP system and follow-up on
       purchase orders (under the supervision of the Administrative Assistant or Secretary).

    8. Prepare and process all Criminal History reports on applicants and volunteers.

    9. Lunch relief for receptionist/switchboard operator per schedule.

    10. Assist with the substitute in-services and the substitute server.

    11. Responsible for the District ID system; prints and distributes all ID cards for staff and students to all
        campuses; generates ID cards for Central Office staff, substitute teachers, Student Teachers and others
        as needed.

    12. Responsible for the collection, storage, and monitoring of all time sheets and other documentation to
        keep the District in compliance with FLSA.

      copier, calculator, computer, fax, typewriter, binding machine, and printer.

WORKING CONDITIONS:

        Mental Demands:
               Reading; ability to communicate effectively (verbal); ability to operate computer and other office
        machines; ability to work well with numbers; maintain emotional control under stress; ability to multi-
        task.

        Physical Demands/Environmental Factors:
                 Repetitive hand motions; prolonged use of computer terminal; work with frequent interruptions;
        regular work attendance; sitting for long periods; eye strain from looking at the computer screen for long
        periods.
