Preliminary Schedule
Prior to the arrival of a new employee, the following should be completed:

A new employee’s first day will be fully scheduled. Although subject to change depending on specific
needs and availability, following is an example of the initial schedule for an Office Coordinator or Office
Manager:

         9:00      Take ID card to Computer Center and request email address

Computer Access

      CASweb          CASweb is the administrative website of the College of Arts and Sciences. It was
                       created to support and facilitate the administrative functions of departments and
                       programs in the College of Arts and Sciences. Its content and functionalities are
                       thus primarily aimed at department heads, office managers, budget managers,
                       undergraduate/graduate advisors/secretaries, and curriculum coordinators. The
                       site also provides useful information to other faculty and staff whose interest is
                       more general or cursory or whose need for information is fairly irregular.
                       CASweb aims to supply relevant historical and current reports; to serve as
                       convenient repository of germane policies and guidelines; and to distribute
                       automated electronic processes, forms and tools for routine administrative
                       procedures. To assure up-to-date information and content, CASweb as a rule
                       provides links to existing UO websites whenever possible and appropriate.

      DuckWeb         Default access is obtained by virtue of working for the UO. Contact the
                       Registrar’s Office (6-3243) to obtain a Personal Access Code (PAC). DuckWeb
                       provides information categorized into the following modules:

                              Faculty            Ability to view students’ transcripts and class schedules. It
                                                  is also needed to approve students for graduation. Faculty
                                                  may also review their respective employment records.
                              Students           Ability to view academic (grades, status, class registration,
                                                  etc.) and employment (work study) records.
                              Staff              Ability to view personnel records (i.e., payroll, benefits,
                                                  etc.).

      GradWeb         This site allows interaction between students, the Graduate School and
                       departments.      Information is handled electronically with automatic e-mail
                       notifications to all parties. It creates a record of interactions such as applications
                       for admission and advanced degrees, completion of doctoral advancement,
                       committee construction and oral defense by notifying all parties simultaneously.

      Listservs       Listservs are electronic mailing lists specifically created to exchange information
                       with registered users by mailing a message once to an entire group of people. A
                       list can serve any number of people and list owners have a high degree of control
                       over the makeup of the list, the content of the discussions, and the general
                       usefulness of the list.

New Employee Orientation
This workshop is designed for new administrative and classified employees; however, new faculty or
current faculty and other employees are welcome to attend. The workshop will acquaint participants
with the organization, structure and philosophy of the UO, as well as their responsibilities and the
resources and benefits available to them as a part of the university community.
Topics and issues to be covered include:

      Organization and structure of the UO
      Students, the UO and you
      Diversity and Affirmative Action
      Workplace safety
      Oregon Public Employee Union presentation
      Benefits and extras that come with being an employee

Training
Following is a list of initial training. Office Staff will need to attend one or more components (depending
on the size of the office and duties/responsibilities required of the staff). Access may be restricted until
training is complete.

      Banner Scheduling: This training, usually done one-on-one at the

       data entry for the term course scheduling.

      Banner Query System (BQS): This training is offered through the
       Registrar’s Office. It teaches how to use BQS forms to look up student
       information. When BQS access is acquired, make sure authorization for the
       Departmental Control menu is received. This will allow the ability to
       complete preauthorizations, assign advisors, and do term course
       scheduling.

      BANNER FIS (Financial Information System): Intro to FIS, invoices,
       journal vouchers, accounting. Take more advanced classes at a later date.

       HRIS course teaches payroll time entry.

      Travel Reimbursements: This two-part class teaches the policies for
       reimbursing employees for travel expenses. It also certifies Office Staff to
       use the online travel reimbursement form in DuckWeb.

      Purchasing Rules and Regulations: This class covers the Oregon
       Administrative Rules that deal with purchasing.

      Personal Services Contracts (PSCs): This course talks about the
       applicable regulations and how to complete the forms for personal services.

      Student Data Warehouse: Learn hot to use the SDW and get acquainted with important
       confidentiality issues surrounding student information. See Student Data Warehouse and
       Training.

      Scheduling 101: This class presents and clarifies scheduling concepts. It could be considered
       a prerequisite for the Banner Scheduling training..

      Grades / Graduation 101: This Registrar’s Office course demonstrates how to monitor term
       grading progress. It will assist in identifying faculty who need to be reminded to complete grade
       submissions. The BANNER form for student approval for graduation is also demonstrated.

      GradWeb: There are several modules in GradWeb. Each staff member at the graduate school
       trains new staff in the use of the module related to their job function. If schedules will allow, the
       instruction can be done all at once. However, training can also occur as needed.

      CAS Newbies: Newbies is the training/support group for department accounting staff who have
       been in CAS for three years or less. Covered topics include, but aren’t limited to: budgeting,
       GTF contracts, carry-forward, foundation reports and office procedures. Newbies is a good way
       to network with other department workers and get some support. The group meets every other
       Thursday from 2:00 – 3:00 in 109 Friendly. To get the schedule, look at the calendar on

OVERVIEW
Unless otherwise prohibited by law, the UO may send official communications to employees and
students by e-mail to an account assigned by the UO with the full expectation that such e-mails will be
read by the recipient in a timely fashion.

The UO must be able to communicate quickly and efficiently with employees and enrolled students in
order to conduct official University business. E-mail is an available and appropriate medium for such
communication.
APPLICATION
Assignment of E-mail Accounts
Beginning Fall Term 2005, students and employees have been assigned an account in the
uoregon.edu domain. The account is designated as their "UO e-mail account." The UO e-mail account
is generated by the Computing Center and may not be changed absent University approval. There will
no longer be any “preferred” accounts. University communications that are sent by e-mail will be sent
to the UO e-mail account.

Responsibilities
Employees and students are expected to review messages received through their UO e-mail account
on a frequent and consistent basis. Individuals must ensure that there is sufficient space in their
accounts to allow for e-mail to be delivered. Communications may be time-critical. Individuals should
use UO e-mail accounts for all University-related e-mail communications.

Forwarding of Email
Individuals who choose to forward e-mail received on a UO e-mail account to a different e-mail address
do so at their own risk. The UO is not responsible for e-mail, including attachments, forwarded to any
e-mail address.

Instructional Use of UO Email Accounts
Faculty should use UO e-mail accounts for e-mail communication with students. The UO's course
management system requires that faculty and students use their UO e-mail account to gain access to
the system.

Department Servers
E-mail accounts with addresses such as hr.uoregon.edu or law.uoregon.edu do not qualify as a UO e-
mail account for purposes of this POLICY SUMMARY. Employees and students who prefer to use such
accounts must forward e-mail to them. Such accounts are subject to Responsibilities above.

Email Account Facts
There are several things you should know about your UOregon.edu account:

      Passwords expire every 180 days. You will receive an email notification seven business days
       before the password expires.

      UOregon.edu accounts have a 250MB storage limit. This limit applies to everything stored in
       your account, including email messages, attachments, photos and web pages, for example.
      Read email using Webmail, or use an email client.

Everyone at the UO is assigned an email account: Students, Staff (permanent and temporary), and
Faculty. Student accounts are automatically set up upon registration; Staff and Faculty, upon hire in
Computing Services located in Room 151 of McKenzie Hall.




Email account names are based on the respective individual’s real name (i.e., first name + last
name initial (vice versa), initials, etc.). No nicknames or other creative online names are
allowed.

APPLICATION
Academic Files
Each department maintains files which are subject to change on an annual basis. Examples may
include, but are not limited to the following:

These remain separate from Personnel Files and Master Files.

Undergraduate Student Files
Generally, departments use a single standard manila file folder for each student with all documentation
placed inside in chronological order (i.e., honors, degree clearance, advisor notes, degrees, letters,
application, etc.). Files are then stored alphabetically by year and archived according to schedule (see
Archiving Academic Files). Note: Student files become inactive when a student graduates or simply
stops attending the UO.

Graduate Student Files
Although there are those that use one or more standard files folders, the theme
among most departments is the use of a 6 panel Classification Folder with fairly
standardized categories.

APPLICATION
Ordering
As an authorized signatory, Office Staff may order keys for employees and grad students (and/or those
who have lost their key(s)).

      Key Signature List (Public Safety): Contact Becky Vaughan (Public Service @ 6-5446) to
       obtain a signature authorization form.

      Key Orders: Only an authorized representative may order keys for the department. To do so:


       1. Access the online order form

       2. After “submitting” and printing out a confirmation sheet, fill out a key card (NCR Form).
          Handwritten forms are acceptable.

       3. Requestor and authorized signatory should both sign the card where indicated. If the
          department is paying for the key(s) [rare], put the appropriate index at the top of the card.
          In general, the only situation where the department pays for the key is for a new faculty or
          staff member. Grad students and faculty who have lost their keys have to pay the deposit
          ($5.00 per key) themselves.

       4. Keys should be ready approximately 48 hours after being ordered. The key card,
          confirmation printout, photo ID and deposit go with the designated individual to Public Safety
          to obtain the key(s).

Inventory
Each department should maintain a key inventory identifying all of the keys issued and given to whom
at any one time

      Issuing       At the time keys are issued, the top copy of the key card is given to the person
                     checking out the key for return to the issuing department; the hardcopy is
                     retained by Public Safety. The soft copy should be retained in the key inventory
                     file (see also General Masters).

      Returning     When keys are returned, Public Safety returns a copy of the refund slip and the
                     previously retained hardcopy. Office Staff should match the hardcopy, upon
                     receipt, with the original soft copy retained in the key inventory file.

      Status        To check the current status, periodically request an inventory schedule from
                     Public Safety. Compare the list to the soft copies retained in the key inventory
                     file. If the inventories do not match, determine whether or not to request a
                     change of locks and reissue new keys, if appropriate.

OVERVIEW
UO parking is available for faculty, staff, students and guests under the direction of Public Safety.
APPLICATION
Faculty & Staff
Faculty/staff parking permits are available for purchase by employees
with faculty status (See OAR 580-20-005) and to employees appointed
half-time or more in the management and classified service. Graduate
teaching fellows who teach classes listed in the Time and Room
Schedule may be certified by their department heads or deans to be
eligible to purchase a faculty/staff parking permit.

Qualified employees may obtain parking registration materials and
instructions from their department office or from the Department of
Public Safety. The signature of an authorized department representative
is required on applications for faculty/staff parking permits.

Remember to complete a payroll deduction card (purple) and submit it
along with the permit application form.

Student Parking Permits
Students, registered for credit courses at the UO, may obtain parking registration materials and
instructions from the Department of Public Safety, which will verify each applicant's student status.
Misrepresenting student status can result in parking privileges being revoked and student disciplinary
processes and/or criminal prosecution.


Bicycling

Guest Lecturers
Usually, a hooded parking meter is requested for each guest for the day. This can be done through
Public Safety’s website. As of 2005, the cost for a hooded meter is $15.00.

When the guest arrives, s/he should fill out and sign the Foundation Personal Services Agreement.
This is NOT the UO Personal Services Contract.

OVERVIEW
Every student, faculty, and staff member at the UO has a unique, nine-digit UO ID number. Until about
2003, this number was a person’s Social Security number, but because of identity theft concerns, the
UO switched to numbers beginning with “950”. Some people may not have new ID cards with their 950
numbers; they should be encouraged to go to the Card Office to get a new card.

It is still common to write ID numbers in SSN format (for example: 950-12-3456). A person’s UO ID is
needed to do any work or to perform research on him/her in BANNER and just about any UO form. If a
UO ID number is unknown, it can be looked up in BANNER using screen SOAIDEN. All of the forms
also have a search button next to the ID field.
APPLICATION
Once hiring paperwork is complete, a copy of the Personal Information Form (PIF) needs to be taken to
the Card Office to obtain a photo and UO ID card. This card enables the carrier to obtain a UO email
account, ride LTD for free, and enjoy other perks of working on campus.

The UO Card Office is responsible for converting ID numbers and issuing new photo ID cards. Visit the
ID Card Office Monday through Friday, 8 a.m. to 5 p.m. There is no charge for this process if the old
card is turned at the time a new card is issued. Replacement cost for a lost ID card is $15.
