This document aims to tell you everything you need to know if you are graduating at UCLan in July 2009. It contains information about what time you need to arrive and where you need to go. You will find information and web links for services including gown hire and photography. You can print the document and use it as a reference guide. Please note your Awards Ceremony will take place at Preston Guild Hall, Lancaster Road, Preston, PR1 1HT. You will receive an invitation by post or email to tell you which ceremony you may attend. If you are not sure, please view the schedule of dates and times or contact us.

Dress Code and Gown Hire
Please wear a formal/smart outfit. You are entitled to wear the University’s academic dress and you are required to do so. You may find it helpful to know that the hood of the gown has a loop that needs to be attached to a button on your blouse\shirt. UCLan’s gowns and mortar boards are black for all graduates excluding PhD graduates who wear grey gowns and bonnets. Hoods are silver grey in colour lined with red silk embossed with the University’s red rose logo. You can view the gown designs.

Irish Legal & Academic Ltd is the appointed gown hire firm. You may hire your robe on-line at http://www.ilarobes.com or you can telephone 01223 861854. Please try to place your order by 30 June 2009. You collect your gown at Preston Guild Hall on the day of the Ceremony. After the ceremony you should return your gown by 5.30pm. There will be collection points at the Guild Hall and also at the University (Foster Building).
Photography
H Tempest Ltd is the appointed photography firm. Your portrait will be taken digitally. There is no need to order or pay in advance. A full range of products is available to view on-line at http://www.tempest-graduations.co.uk. Studio Portrait Photography at the Guild Hall After collecting your gown, please proceed directly to the photography studios located on the second floor. You may have your photograph taken before or after your ceremony. Please note however that the studios will close 30 minutes before the ceremony commences, as you are required to take your seat in the Grand Hall at this point in time. Studios will remain open for 1 hour after the end of the ceremony. After having your photograph taken, you will be given a small proof photograph with a unique number. To order your photographs you may: order and pay on the day by visiting the sales team located on the first floor order after the event by using the prepaid envelope provided order via the website quoting the unique number shown below the proof photograph: http://www.tempest-graduations.co.uk/
Presentation Digital Photograph at the Guild Hall Presentation photographs will be taken as you shake hands with the Chancellor and will be available to view and purchase immediately after the ceremony. The photographs will be displayed in the sales area located on the first floor and will also be available to purchase directly from the H Tempest website: http://tempest-events.co.uk
Ticket Allocation
The University can only guarantee that you will be allocated 2 guest tickets, in addition to your own admission ticket. If space allows, additional tickets will be allocated after the publication of results on 26 June 2009 when the expected attendance has been assessed. If you have requested more than 2 guest tickets, we will contact you during the week commencing 29 June to confirm how many tickets have been allocated to you. Please note that there is a maximum of 8 guest places available for wheelchair users at the ceremony due to Preston Guild Hall’s health and safety regulations. Places will be allocated on a first come first served basis.

Reception/Ticket collection
Tickets are not posted to you. You simply collect them on the day of your Ceremony at Preston Guild Hall. On Arrival Please arrive at Preston Guild Hall at least one hour before your ceremony begins. On arrival you should present yourself at the RECEPTION DESK located on the first floor where you will be given your reserved seat number. If you do not do so, your name will not be announced. There may be queues for the collection of gowns and photographic services so please arrive early. Guest Tickets You will be given an entrance ticket/s for your guests at the University’s Reception Desk at the Guild Hall. Tickets will not be posted out to you. PLEASE NOTE THAT ADMITTANCE WILL BE BY TICKET ONLY. Late Arrival If you arrive late and your ceremony has already started, we regret that it may not be possible for your presentation to take place. If you wish to enter the hall to watch the Ceremony, we will make every effort to find seating for you and your guests if it is possible to do so without disrupting the occasion for other graduates and their guests.
Graduate Seating Arrangements
It is important that you sit in the seat reserved for you so that the order of presentation is correct. Graduates will be seated by course in alphabetical order. (Please note that late arrivals are unlikely to be seated or presented with the rest of the graduates on their course.) An usher will direct you to the stage and your name will be announced. You should then walk across the stage and shake hands with the Chancellor before returning to your seat. Your guests may sit in the tiered areas of the Grand Hall.
Cancellations
If you are unable to attend for any reason, please let us know. This will help us to allocate spare seats to students who would like to bring additional guests. You may email graduation@uclan.ac.uk or fax 01772 894953. Alternatively you may wish to telephone: 01772 892447/01772 892446, quoting your student Id number.
Certificates
You will not receive your certificate at the ceremony. It will be posted to your home address.

Venue
The venue for the Ceremony is: Preston Guild Hall, Lancaster Road, Preston, PR1 1HT http:/www.prestonguildhall.com The Guild Hall has three floors: Ground floor – shopping arcade First floor – Reception and ticket collection desk, gown collection area, photography and merchandise sales, toilets Second floor – photography studios, Grand Hall
Lift Access There are 2 lifts at the Guild Hall. The first lift is located at the rear of the shopping arcade on the ground floor and provides access to the Reception Desk, gown collection area and photography studios. The second lift is located on the first floor concourse and provides access to the Grand Hall where the ceremony will take place. Wheelchair Users – Students When you are ready to enter the Grand Hall, please take the lift to the second floor where ushers will be waiting to escort you to your reserved place for the presentation. Wheelchair Users - Guests There are designated areas in the Grand Hall for wheelchair users. These areas are sited on the third floor and may be accessed by taking the lift from the first floor. Please note that the University is not able to provide wheelchairs for use at the Awards Ceremony. Cloakroom Secure cloakroom facilities are not available during the Awards Ceremony. Children Children are welcome to attend the Ceremony but parents are reminded that the occasion is not really suitable for very young children or babies. Exit points are clearly marked should you need to leave the Hall. Please note that prams and pushchairs are not permitted in the Grand Hall.

Car Parking
The nearest multi-storey car park to the Guild Hall is the Bus Station pay and display car park. Access is via Ringway.
Park and Ride

BSL Interpreter
An interpreter will be present at the ceremony. If you or any of your guests are deaf and require seats reserved in a suitable position to view the interpreter, you must notify the Examinations and Awards Office to make arrangements in advance of your ceremony. Please ensure that you provide details when you complete the attendance registration form. If you have already registered for the ceremony but omitted these details please email: graduation@uclan.ac.uk.
Procession
At the end of your ceremony, you and your guests are invited to join the platform party in an informal procession back to the University. This will involve a short walk of approximately 10 minutes. This arrangement will be subject to suitable weather conditions. You may return your gown at the collection point at the University.
Faculty Celebration/Refreshments
You and your guests are invited to join staff of the University to celebrate your success. The venue for the celebration will be Foster Building Restaurant where complimentary light refreshments will be served.
Outstanding Debts
If you are in debt to the University you will not be permitted to attend the ceremony. All debts must be settled by 19 June 2009. You should contact Customer Accounts on 01772 892183 or 01772 892205 if you need to arrange payment.
