                                JOB DESCRIPTION


POSITION:               ADMINISTRATIVE ASSISTANT

DEPARTMENT: OPERATIONS

REPORTS TO: ADMINISTRATION COORDINATOR

POSITION SUMMARY:
The Greater Philadelphia Urban Affairs Coalition (GPUAC) is looking for a
qualified Administrative Assistant to join its team. The Administrative Assistant
is responsible for providing general administrative support to the Operations
Department and the General Fund staff. In addition, the Administrative Assistant
provides back-up support to the receptionist and other members of the
administrative team.

PRIMARY RESPONSIBILITIES:
   Provide general office support to the Operations Department and General
     Fund staff, as needed.
   Provide back-up support to the Operations Department, including the
     receptionist, as needed.
   Work closely with vendors to assure that GPUAC receives quality
     merchandise with competitive pricing.
   Assist in the development and implementation of purchasing systems.
   Process Purchase Requisitions via fax or computer.
   Plan/schedule meetings and appointments.
   Maintain a regular filing system for purchasing and check requests; copy
     and mail check requests.
   Coordinate conference rooms for meetings as requested by the
     management team. This may include: light cleaning, setting up materials,
     and purchasing refreshments for the conference rooms.
   Perform light cleaning in the office kitchen and common areas.

ADDITIONAL RESPONSIBILITIES:
   Perform other duties that may be assigned.

KNOWLEDGE AND SKILLS:
   Must have excellent oral communication skills;
   Must be highly organized with an ability to effectively manage multiple
    projects and priorities;

       Must have strong interpersonal abilities;
       Must be flexible and able to quickly adapt to changing situations;
       Must be detail-oriented and have strong project management abilities;
       Must have a working knowledge of Microsoft Office software, including MS
        Word and Excel.

EDUCATION AND WORK EXPERIENCE:
   HS Diploma or equivalent; bachelor degree preferred
   Two to three years of prior relevant work experience.
