Braddock Road Youth Club

Meeting was called to order at 8:00 pm
Approval of minutes from the October meeting, corrections the meeting adjourned at 8:50 pm.
Jim Pendergast approved, Mac Squires second, minutes adopted.
Finance – Jeff Kohne handed out financial reports and individual sport transaction sheets.
As of September, we had $533,000.00 in the bank, $360,000.00 in several CDs, and
$104,000.00 profit for January through September 2008. He is sending checks out daily to the
commissioners and also asked them to make sure they receive a W-9 from all non-corporate
vendors. Tax return due November 15 and are being worked on. Kevin and Jeff are working on
the back taxes. Jeff had a meeting with Parker Roach about the basketball budget. Marcia wants
a date when back taxes will be filed. Jeff said by next meeting. Marcia asked that Jeff develop a
budget template and forward to commissioners for consistency for each sport budget. He
opened an account for Competition Cheer – moving $1,000.00 to that account. Any changes on
the budget, mark changes and email or mail to Jeff. He also wants the electronic PO; John
Schaffstall will send.
Baseball – Rick not present.
Football – Please note that John Schaffstall was present. The season is coming to a close, couple
teams in playoffs. Bob Fitzpatrick will become the new commissioner for Football in January.
John will be here for the next meeting. Football will be done by the weekend and soccer can
take over the fields.
Rec Soccer - Season is finished. November 15 & 16 is All Stars. Thank you to softball &
football for helping with 4 fields. Dane’s brother-in-law wanted to thank football for be so
accommodating to him so he was able to see his son play. (he has cancer)
Softball – Season finished last week. Winter gym permits went in early, got what he wanted for
Travel Soccer – Finished this weekend. There are tournaments in December. Azul is State
Champions again; they will be going to WV next year for regionals.
Volleyball – Open registration will start next week for Club. He has 6 travel teams, U12, U13,
U14&15, & 2 U16. Mark has Lake Braddock, W. Springfield, and GMU coaches; Brian Davis,
assist Varsity Coach from W. Springfield will be coaching. 100 kids registered to try out.
November 15 is tryouts. Mark is looking for larger elementary schools that are getting rid of
carpet. He needs to get a signature card from Jim for the bank account. Boom - adult women
team has their own account, the rest will use the same account.
Website - Charles meet with a new website master –NVSL web creater can set up a tree like
structure – each team can have their own page. He doesn’t do registrations. We presently use
earthlink, would not need it. Marcia asked how much it would cost. Charles will find out. “He”
sets up the website then BRYC will update it. Each sport has there own registration set up.
Michael has “poof”. Charles can access, but he doesn’t know HTML. Short term, update done;
Charles will meet with Jim Pendergast to discuss how to make HTML changes; focus on long
term after 1st of the year.
Field Reports – Discussion about adopting a field. (Rick Elliot adopt a field, Wilbur Dale Park)
County said it was not suitable. Kings Park Park, what major improvements will he make? Put
a fence, which would not be good for football. Renovations - not going to touch KPP field – not
going away. The county wants to see money & plans before field improvements will be agreed
to. Before you trade field or give back space to the county, please refer to Mac.
Competition Cheer – Cheer clinic has started with about 30 kids; senior team (18 yrs & under) &
Peewee (10 yrs & under). They are using a facility called Infinity Cheerleading. The season will
run from January 24 – April 5. Thanks to football for uniforms. Dwight wanted to know how to
handle the rental of the uniforms to football? Background checks should be done on all
employees from Infinity that has contact with BRYC kids. Discussion on where to order
coaches shirts; several places were mentioned. Parents and girls are excited.
Board voted to adapt Competition Cheerleading. Tom Clemons made a motion to accept and
John Schaffstall second the motion. Competition Cheer is official.
Conflict of Interest was not received by the board, move to next month for this discussion.
Marcia will send out to the members.
Advertising and Corporate Sponsorship - Charles submitted a policy. What kind of sponsor do
we want? As a board, we don’t endorse, we can thank them. Any suggestions or information
please email them to Charles by November 21.
At our December 4 meeting, we will go over the 2009 budgets for each sport for. Please send
these budgets to Marcia and Jeff by November 17, and copy everyone else.
The January meeting will be on January 8, which is the second Thursday of the month.
Michelle has report on athletic fields – she will forward it to all.
