Expressions of interest are sought from individuals keen to contribute to the project activities
undertaken by Flinders Consulting Pty Ltd. The Company is located next to Flinders University,
in Adelaide’s southern suburbs.

The Finance and Administration Assistant will undertake a broad range of financial and
administration activities to support the day to day operations of the Finance Administrator and
General Manager.

                                    Finance and Administration Assistant

                                        Fixed-term contract – 24 months
                                                  1.0 Full-time




Background – Flinders Consulting Pty Ltd

Flinders Consulting Pty Ltd is owned by the Flinders University, Adelaide. The company
facilitates contractual opportunities between external organisations and University staff. Staff
expertise is available from areas as broad as the University’s four Faculties: Health Sciences;
Science and Engineering; Education, Humanities, Law & Theology; and Social Sciences.

Flinders Consulting interface between clients and the University enabling academic expertise to
be delivered through a managed business environment, ensuring effective delivery of services
to client organisations.

Core activities of the company include contractual, project and financial management of
projects. Services provided through the company include development and delivery of training
programs and short courses, contract research, consultancies, product development and
testing, and provision of expert opinions and advice.

Flinders Consulting has a strong track record in meeting client requirements through successful
delivery of a range of services relevant to government, communities and businesses.

Activities of the company are conducted locally, nationally and internationally.

Context – Finance and Administration Assistant Position

Flinders Consulting Pty Ltd accesses the financial system of Flinders University and has close
relationships with the University’s finance staff. The Finance and Administration Assistant will
be required to liaise and work in conjunction with University staff in this regard.

The Company’s relationship with the University allows flexibility in our finance operations but the
Company predominantly operates under University financial policies and procedures.

Flinders Consulting Pty Ltd continues to grow within an innovative and supportive environment
undertaking a diverse range of activities. The Finance Administrator at Flinders Consulting
oversees and enhances the financial aspects of the Company. The Finance and Administration
Assistant will contribute to new financial practices and systems within the company and
supporting the day to day operations of the organisation.

Reporting and Relationships

The Finance and Administration Assistant will be responsible to the General Manager of
Flinders Consulting Pty Ltd, through the Finance Administrator. The Finance and Administration
Assistant will report to the General Manager on a day-to-day basis but will work closely and take
direction from the Finance Administrator and Project Coordinator. He or she will function as a
member of a small team in the Flinders Consulting office.

The Finance and Administration Assistant is required to liaise with a range of internal and
external clients and staff appointed to specific company projects.           The Finance and
Administration Officer will also liaise with staff from Flinders University.

Occupational Health Safety and Welfare

The Finance and Administration Assistant will be responsible for maintaining a safe and healthy
work place. This includes the following;

     Complying with any direction or instruction aimed at protecting the Occupational Health,
     Safety and Welfare of staff;
     Cooperating and consulting with management and colleagues in the promotion of
     Occupational Health, Safety and Welfare matters;
     Use of safe operating procedures to maintain healthy and safe working conditions and to
     avoid adverse effects on the health and safety of other staff;
     Take responsibility for their own safety as well as that of other staff, students and visitors to
     the University or other areas of work; and
     Comply with equal opportunity, affirmative action and diversity initiatives and principles.

Appointment Conditions

The Finance and Administration Assistant will have a contract of employment under the
workplace terms and conditions of Flinders Consulting Pty Ltd. This will include terms for
ownership of intellectual property, confidentiality requirements, and other matters relevant to the
conduct of Company activities.

This position is subject to continuation of funding under which the offer of employment is made.

Duties

This position will provide an opportunity for an innovative person to develop the role in support
of the company’s financial and administration operations. The position will assist the Finance
Administrator and the General Manager in a range of support activities relating to project
requirements.

The Finance and Administration Assistant will undertake a broad range of financial and
administration functions from maintaining accounts, assisting with financial reporting, reconciling
accounts, general ledger transfers and contributing to the accounts receivable and payable
process. They will also be required to provide a high level of administration support and
encouraged to contribute to the continuous improvement process. Liaising with clients by
providing a high level of customer service, operating a computerised financial system and using
a range of other systems will be required.

The desired incumbent will be pro-active, able to use their initiative, work within a small team
environment yet have the ability to work independently.

The Finance and Administration Assistant will operate under broad direction and advice of the
Finance Administrator and General Manager. Specific duties include the following:

Financial Operations

          Undertake a range of financial functions including:
             o Accounts payable & receivable
             o Raising invoices
             o Cash receipting
             o General ledger journals
             o Pursuing outstanding payments.

          Use the University computerised financial system, Oracle, to:
             o Enter budgets
             o Retrieve and interpret system information.
             o Provide Financial reporting


          Monitor financial records to ensure accuracy and currency including:
             o Reconciling project and company accounts
             o Monitoring income and expenditure for specific projects.

          Assist the Finance Administrator with financial reporting including:
             o Spreadsheet analysis
             o Preparing relevant data
             o Assisting with budgeting, forecasting and preparation of project budgets.

Customer Service

          Identifying and meeting internal and external customer needs through building effective
          relationships.
          Responding to financial and project queries arising from existing company clients.
          Liaising closely with University finance and other staff, as required.
          Providing support to stakeholders of the company by supporting activities of the
          Financial Administrator and General Manager.

Systems and Processes

          Maintaining financial and administration systems to support effective implementation and
          monitoring of company activities.
          Contributing to the development and implementation of finance and administration tools
          and systems that enhance the efficiency of activities within the company.
          Maintaining financial records, both electronically and paper-based.
          Developing templates and forms to streamline activities within the company.
          Regularly updating spreadsheets to record project and company budgets including
          income and expenditure.

Administration

          Answering office phones as required.
          Contributing to the efficient and effective administration of financial and project activities.
          Collation of information and data for reporting to statutory bodies.
          Assisting in the preparation of company board papers.
          Filing and retrieving company project data.
          Maintaining client project and financial records.
          Managing travel and accommodation requirements
          Taking of minutes for Project Meetings as required.
          Maintain company database.
          Assist with updating company web site.
          Other general administration duties in support of company and financial activities.

Essential Requirements

•    Demonstrated skills and knowledge in a relevant area.

•    Sound knowledge of financial principles including demonstrated relevant experience in
     finance/accounting.


•    High level of interpersonal communication skills including the ability to interact and
     respond to queries from a broad range of internal and external company clients.

•    Demonstrated organisational skills including the ability to be self directed and work
     independently under limited supervision.

•    Demonstrated administration experience in an environment involving multiple
     stakeholders.

•    Demonstrated ability to use initiative, be pro-active and remain organised to manage
     competing workplace demands.

•    A high level of computer literacy including numerical, keyboard and data accuracy.

Desirable Requirements (non essential)

•    Tertiary qualifications equivalent to a minimum of Certificate 3 in Financial Services
     (Accounts Clerical), or demonstrated equivalent knowledge, skills and/or experience.

•    Knowledge of academic activities across University Faculties.

•    Experience using the Flinders University Finance System, Oracle.
