									VIRTUAL WORK PLACEMENT 02.07.01 - 06.07.01 inc


OBJECTIVES:

The objectives of this program is to provide a simulation of Work
Placement for year 11 students demonstrating evidence of
achievement in competencies for the Information Technology
Curriculum framework, thereby extending individual & group
experience in a Work Place Context.

This simulation project is critical in the assessment of students in
their final years of the HSC since it is difficult to find sufficient work
places in the IT industry that are willing to accept students in actual
as opposed to virtual work placements.

This is particularly evident now toward the end of the financial year
that can be the busiest time for companies. Since it is essential that
these students complete their required 35 hours for year 11, this
simulation project is essential.

Program Aim

The program aim is to provide an active IT Business Work Place
simulation.

Program Objectives

The objective is to provide an environment where students capacity
to function in a work place situation can be encouraged, observed
and evaluated within the Information Technology Curriculum
framework.
Program concept

The concept of this simulation is to place students in an
environment of a company (NBBEN) that has departments that are
common in the real world and the assigned tasks are consistent
with the students’ abilities and potential role.

Students will be referred to as 'employees' from this point as
for all intensive purposes, their role will simulate as closely
as possible, that of a usual employee of a company.


Methodology

Employees are given tasks that need interaction within the company
and with external (virtual) clients. These tasks are carefully
structured and monitored, using Action Plans, and meetings.
Employees will carry out the responsibility to action and complete
the requested tasks in a timely manner. Quality is also an essential
focus. It is expected that employees complete tasks to the best of
their ability at all times. The integrity of the placement is
attributable to the personal acceptance of responsibility.

The skills required would have already been developed during their
studies in both years 11 and 12. The program is designed to let
employees utilise their skills, values and attitudes that are
acceptable in a company context.

ORGANISATIONAL STRUCTURE

Program implementation:

The program is planned for five days period with seven hours per
day at TAFE College, in a computer lab with a capacity for a class of
50 students. There are several projects, and each project will be
carried out by a group of students as instructed. Two mentors will
supervise each group. The overall management of the program will
fall under the auspices of the Northern Beaches Business Education
Network inc. – management structure.

Per the purpose of this program, there are three main departments:

1. Marketing, Sales & Business Development, Customer
   Service (CREATIVE TEAM).

2. Human Resources, Finance & Accounting, Clients Support
   (ADMINISTRATION TEAM).

3. Technical Support

It is anticipated that all employees will have an opportunity
to work between teams 1 & 2. Team 3 will be chosen
through consultation with entire group.

ACTIVITY 1.1. (1 HOUR)

Employees to introduce themselves by making their nametags using
sticky labels and/or conference tags. They wear during the program
as a form of identification. Then they will take part in an icebreaker
session (e.g. Non-verbal birthday game)

Participants will be required to sign an attendance sheet, each day
they attend the program.

Background

Each company is different. Some of the reasons these differences
exist might be because of size, location, the type of work carried,
the customers/clients, the staff and management and the
technology that is used. With these differences a company profile
emerges. This profile us usually documented in the form of a
company prospectus.
Activity 1.1

Gather information about your company that identifies the
following:
The name, address, telephone and fax number of the company;

   A brief statement explaining the work carried out at your
    company;
   A description of the sort customers/clients of the company;
   Services and products provided by the company;
   The number of people employed at your company;
   The mission of the company ( if one is available )
   A brief outline of the company’s history;
   A description of any special equipment.

Group to have a meeting to plan and prioritise today’s workload and
record entries in the “ Action Plan “ and assign duties to each
member.

Background
May tasks carried out in the company are done using information
technology. To complete the tasks efficiently and to an acceptable
standard, staff needs to be competent in using an ever-increasing
variety of computer hardware and software.

Requirements
 Listed below are a number of company needs that require an
information technology solution. Create and develop the following
office documents that may address your work place needs. Save
each of the documents, and place the file name and location, the
name of the software package as well as the print out date in the
document footer (or in another appropriate location). Use a variety
of software applications to produce the documents you submit.
 A floor plan of the company/office;
 Templates: memo, fax, letterhead;
 Procedure for using a workstation;
 Training document for software in company;
 Hardware user’s guide;
 Other office documents.

Background

Organisations rely heavily upon the production of documents. These
documents might be made available in paper or electronic form and
could be used internally, or for the benefit of other outside the
organisation. Generally speaking, the documents that are produced
will reflect the corporate identity of the organisation both in the way
the are formatted and the type of language used.
Requirements

Study examples of organisational documents currently produced in
a company.
Types of documents may include but are not restricted to Forms;
Internal memo; Notice; Flyer; newsletter; Information documents.

In designing and producing the documents you will need to address
the following criteria:

Identify the documents’ purpose and audience

Create and present a hand drawn sketch of the documents which
indicate basic layout features for client comment;

Prepare the documents with accurate information using language
that is consistent with the documents’ purpose;

Integrate data (e.g. graphic, table) into at least one of the
documents from another application software package;

Format the documents to reflect the corporate image;

Create, save and present final drafts for editing and comment;

Edit document in response to comments on previous drafts using a
variety of available tools;

Produce final documents ready for distribution.

Background:
Many business software application programs have the capacity to be tailored to suit
individual business needs through the use of an integrated commercial computing package.
These application combine company application such as word processing, spreadsheet, data
bases, data merging, and include customised menus and toolbars, and for the more
experienced users, macros and programming within a common integrated computing
package.

Requirements

Conduct research into the business you have identified to determine typical activities that
are carried out such as locating and servicing clients, invoicing clients, ordering materials and
managing business income and expenses. Your research should involve speaking with
people working in the area you have selected. Prepare a report on your findings.
Activity 3.1 Software Application used by the Company


Use an integrated commercial computing package to create
templates and/ or forms and/or reports for recording clients details
and orders, sending out invoices and documenting payments. The
templates and/or forms and/or reports you create should address
the particular needs of the type of business you have identified and
can be created in either a word processing, spreadsheet, or
database package, or a combination of the three.

The items developed above are to be accompanied by a quick
references guide that could either be electronic or paper based. The
quick reference guide should explain how to use and manage the
templates and/or forms and/or reports an/or applications and
therefore include information about storing data files, backing up
files and ensuring the items can be accessed correctly.

Note: If a fictitious organisation is used, the student will need to
have a mentor to act as a client. The student will also be provided a
case study brief outline the details of a business's information
technology as required.

  Background
  Each company has an accepted way of working. Sometimes this
  accepted way ids written down as policy or as a set of guidelines.
  These policies and guidelines reflect aspects such as: the nature of
  the business; the size of the company; the mix of cultures; the
  company attitudes and any legal requirements that apply to your
  company. In addition, employers and staff have rights and
  responsibilities that they need to be aware. The purpose of this is to
  create a company that is safe and fair to all people while helping to
  portray a positive image.
Requirements

Collect any OH&S policy documents or guidelines that are used in
the company. These might include details about dress code, working
hours, emergency procedures, use of the computer network or
perhaps policies about how to deal with customers.


Arrange with you supervisor to carry out an informal inspection of
the company to identity any potential problems or known hazards
that might exist. These items



could relate to furniture, lighting, ventilation or electrical
equipment. If no document exist, investigate and prepare OH&S
documents suitable for your company.

From your discussion and analysis of policies, prepare a report that
could be given to a new employee at this company that describes
how information Technology in the company is to be used. Your
document should include:
    Employers OH&S responsibilities
    OH&S procedures;
    Employees OH&S responsibilities;
    OH&S procedures using computer workstation.

Activity 5.2 workstation Management
Description
Cary out computer workstation maintenance            including file
maintenance, backing up and restoring. Virus         scanning and
reporting of software compliance.

  Background

  Like most objects, computers needs to be maintained to ensure
  they function well. Furthermore, to assist in the maintenance and
  report of faults, it is a good idea to keep a log of the work carried
  out on a computer. Over a period of time this information can be
  used to build up a picture about the reliability and general health
  of a computer workstation.




Typically, you might be expected to perform a range of tasks from
the list below. It is expected that the following tasks would be
performed on at leats one computer workstation in the company.

    Scan a disk for viruses and errors.
    Determine available disk space and the change in available
     disk space.
   Clean keyboards, monitors, system units, floppy disk drives
     and CD ROM drives appropriate equipment and following
     correct procedures.
  Report any hardware faults or malfunctions including those
  associated with the workstation and peripheral devices.
  Run system tools such as scandisk and Defragmenter.
  Identify and maintain an inventory of all software on the
  computer.
  Print directly listings.
  Install software and connect peripheral devices under the
  direction of your supervisor.

  Produce a report or log of the week's work. From your
  experience of maintaining a computer produce a set of guidelines
  that could be used in the company.
