Hosting/Sponsoring a Blessing God’s Way Conference
Is there a need for our message in your area? The answer is probably “yes!”. In
order to host or sponsor an Blessing God's Way conference, you will need to gather
interest – start spreading the word out with “feelers” for who might attend and
possibly commit to being a planner for this event with your church or organization.
We are thrilled you are considering bringing our conference material to your
neighborhood. Enclosed you will find some basic frequently asked questions and
answers that will enable you to begin the process for hosting or sponsoring.
What are the first steps?
Email our Executive Director, Michele Wheaton, at email@example.com to
check our availability and current conference schedule. If there is a conference
already in your area, consider joining them in their efforts to bring this message
to your area.
Print the Responsibility Check List.
Once you have looked over the responsibilities and agree to them, it is time to
pick a date that suits you and your church or organization. We do not accept
conference invitations for the month of December or August.
What location works best?
Choose a location that has minimum or no cost. Churches are ideal locations. Make
sure the location is easily accessible for out of town attendees. Having the location
near an interstate is also a plus and advantage.
What about Advertising?
You will be in charge of spreading the word about this important conference. Once
you have the date and location decided upon you will need to begin thinking and
planning the advertising aspect of this event.
Targeting home schooling groups, churches, religious organizations in colleges and
your town or city; all seem to be great places to gather interest in the way of
advertising. Searching out pro-life groups, Missionettes/Girl Scout groups, the
birthing community groups, local and not so local yahoo groups, childbirth education
organization and midwives with their clients are key people to pursue.
We have templates that will aide you and can be emailed to you that include:
Long version brochure which includes vending application, advertising
application, directions, class descriptions, biographies of speakers and
One page flyer, with our logo and pertinent information space that you will
“plug” your information into.
Three page folded flyer – again, you would just “plug in” your information
pertaining to your location, date, time, etc.
Cover letters for churches and organizations in your area that will inspire
them to pass the word on to their congregations and members for this
Past testimonies from conferences we have done – if you would like to use
them to help spread the message and gather interest.
Outside sponsoring letter that aides you in obtaining sponsors for the
event. This is only an option for you, not mandatory.
Taking registrations is the first responsibility. Keeping a record on our
Registration Form (excel template can be emailed to you) will help you keep
track of who has registered with their information.
We require a minimum of 20 pre-registered attendants to agree to come.
The organization or church that is hosting or sponsoring will have free
registration if they have the required 20 pre-registered attendants.
Lunches for the conferences are usually “bring your own lunch”. However we
have had organizations look into inclusion of a lunch that is catered if the location
offers this. The price of catered lunch then would be included in the registration
price of conference. This is up to the hosting/sponsoring entity to decide.
Travel arrangements for the speaker/speakers will be made 3 weeks prior to the
conference date by our organization. We will require pick up and someone
responsible for taking speaker/speakers to their hotel and then back to airport
when conference is complete.
Speaker/speakers would need lodging. The cost of lodging is part of their
expenses that will need to be paid by the hosting/sponsoring entity. This money
will come out of the fees incurred from the conference registration and vending
money in most cases. The speakers prefer hotels that are nice, clean and quiet
and appreciate the down time so they can prepare for their speaking.
Securing the location and communicating with the location’s representative about
parking, signage, directions, etc. The location will need to have a “spot” to use a
projector and laptop for powerpoint presentations. A room large enough for
projected attendees and preferably a nursing room for mothers with babies.
Sound equipment is nice but not necessary unless the registered attendees
exceed 30-40 women. Most places charges extra for AV equipment and sound
Who handles the money collected?
For now, we would like for the hosting/sponsoring organization or church to take all
monies. Have attendees pay online for the conference or by mail with checks or
money orders made out to your organization or contact person.
You will be responsible for paying the initial costs that include printing of material,
lodging, travel expenses and facility fee (if any). Once all monies are collected from
the conference, you will pay yourself back the amount that was initially spent plus
collect 10% of the profit made from registrations, vending and ads. Blessing God's
Way will keep the remaining 90% to put back into our ministry. We will have an
excel sheet to help you keep track of expenses and that will calculate the
percentages of monies made. We would suggest taking up an offering, if that is more
comfortable for your and your church or organization, if it would help cover the cost.
What should we charge for the conference?
We are pleased to offer you a few choices. One-topic evening seminar, one-day
conference or a two-day conference; for all choices, you will choose the class or
classes you would like to cover. We will always try to make these seminars and
conferences affordable but at the same time cover the cost to host them. If you

One-Topic Seminar (typically one evening)

One-Day Conference (typically 8:30 am - 4:00 pm)

Two-Day Conference (typically 8:30-4:00 w/a night session)
♦ Pre-paid registration of $100.00
Can I give group discounts?
Yes, you can offer group discounts for students and or groups that would like to pool
together to come. We encourage this for groups of 5 or more participants.

♦ One-day conference $45.00 each
♦ Two-day conference $80.00 each (the best value!)
What topics can I choose from?
Here are the topics we cover at this point. Blessing God's Way is always adding new
information so topics may change from time to time. Each topic is about a 1 hour – 1
hour ½ and includes power point presentations, modalities, lectures, group
discussion and DVD’s and videos.
We would send you one original copy of the power point slides for the topics you are
having us teach. You would have them copied and placed in folder to hand to
attendees when they come.
