Manual Check Reconciliation – SDO Account(s)
Explanation:
There are several steps that must be completed in order to complete the SDO check reconciliation
process. In summary, the steps are as follows:
a. Complete the Manual Check Reconciliation PeopleSoft process
b. SDO Reimbursements must be entered into GL as a journal entry and “Posted”
c. Verify that all Vouchers and Payments have been “Posted”
d. Run Journal Generator for all AP transactions (if applicable – some agencies have this
process run automatically)
e. Run GL Activity report

Upon receipt of the SDO bank statement, you can proceed with the PS Manual Reconciliation process.
Arrange checks in numerical order (descending). The Account Register (which is described at the end of
this document) should match the reconciled and “unreconciled” transactions on the bank statement. All
SDO reimbursements are entered as GL Journal Entries.
1. Reconcile checks paid in PS according to Bank statement
2. Reconcile deposits recorded on GL Activity Report with deposits on Bank statement
Agency-specific Business Process: Depending on cutoff of Journal Generator will determine if “other
unreconciled checks” need to be “added” to GL cash balance. There are times when payments are
posted to AP and/or GL but are not on the bank statement.
Step 1:
Navigation:
1. Banking
2. Reconcile Statements
3. Manual Reconciliation
Procedure:
1. Bank ID = choose your SDO Bank ID (Bank One = 074000010)
2. Account # = choose actual Bank Account Number from drop down list
3. From Date/Thru Date = no input necessary, but dates can be entered which are “transaction
dates”. Make sure the “From Date” includes unreconciled/outstanding checks from prior months.
4. Payment Method = leave blank (you’ll want to include both System Checks & Manual Checks)
5. Status = Unreconciled
6. Click “Search” push-button

7. All checks that have NOT been reconciled will appear on the screen:
8. Click the “Reference” link and this will sort check numbers in ascending order.
9. Select the checkbox to match the check against the bank statement.
10. Value Date = Will default to current date, BUT enter date check cleared referenced on the bank
statement.
11. Click “Save”
Note: Upon saving your work, only those transactions outstanding will remain. If you make a mistake
and reconcile a check in error, retrieve the check #’s and change the status to “reconciled” and click
“Search” again. This will bring back the checks that were previously marked as “reconciled.” Mark check
in error and it will go to a Recon Status = UNR.
Step 2:
The Account Register should match the reconciled and “unreconciled” transactions on the bank
statement.

Procedure:
1. Click “Add a New Value”. (Add a run control the first time you generate the report. In the future,
use “Find an Existing Value” and choose previously defined run control ID).
2. Run Control ID = (i.e. account_register)

3. Click “Add” push-button
4. Bank ID = Enter PS Bank ID number from drop down list
5. Bank Account # = enter actual Bank Account number
6. Recon Status = %
7. From = (this is transaction date.) Enter the beginning date in accordance to what month you are
reconciling (usually noted on bank actual bank statement. i.e. 1/15/2007-2/15/2007).
8. Thru = enter ending date (usually noted on bank actual bank statement. i.e. 1/15/2007-
2/15/2007).
9. Click “Run” push-button
10. Select SOIAP063 report. Change Format = PDF
11. Click “OK”
12. (You’ll be returned to the following page!)

12. Click “Process Monitor” hyperlink to review report output.
13. Click “Details” hyperlink; Click “View/Log Trace”
14. Click “SOIAP063.xxxxx.PDF to open/view/print report.

Step 3: Running the GL Activity Report
Run this report to reconcile deposits recorded on the bank statement. The ending Cash balance +
Unreconciled checks should = the ending balance on the bank statement.
Navigation:
1. General Ledger
2. General Reports
3. General Ledger Activity
Procedure:
1. Add a New Run Control ID or choose existing ID
2. Ledger = ACTUALS
3. Fiscal Year = current SOI Fiscal Year
4. From Period & To Period = enter the appropriate accounting period (i.e. 1 = July, 2 = August, etc)
5. Click “Refresh” pushbutton
6. Select the “Object” field name and enter the value. (i.e. the value should represent your SDO
cash object.)
7. Click “Run”, then “OK”
8. Click on “Process Monitor” and refresh until “Success” and “Posted”.
9. Click on Details
10. Click on View/Log Trace
Click on .pdf file and print report.
