                           WSNAC Secretary Report 07/24/10
Thank you, Tammy C., for completing the Minutes at the May WSNAC BOD Meeting
on May 15 & 16, 2010 and for e-mailing them to Corey and me so quickly. Thank you,
Corey W., for forwarding the e-mailed Minutes to the rest of the Board on 6/9/10. A
PDF version of the May Minutes was e-mailed to the BOD members only on 7/23/10
with a couple revisions: a hyperlink was removed from my e-mail address and a spelling
error on the word “attachments” was corrected. This is for your reference at this meeting.
When the May Minutes are approved, I will upload them to www.wsnac.info.

The Financial Guidelines attachment to the May WSNAC BOD Minutes e-mail had
hand-written revisions on it and the e-mail indicated not all of the revisions were
approved. Please help me understand what revisions were approved and I will type a
current version of the document and submit it to be approved so that it can also be
uploaded to www.wsnac.info.

The approved PDF version of the Minutes for the WSNAC BOD Meeting held March 13
& 14, 2010 was uploaded to the www.wsnac.info website, under the Documents & Links
tab on 7/23/10. Additionally, a copy of the PDF version of the March Minutes was e-
mailed 7/23/10 to the BOD, Wisconsin Region Secretary, and a few other addicts who
requested minutes by e-mail. I apologize for doing this so late. I should have completed
this work before the end of June.

While reviewing the www.wsnac.info website and the linked Facebook page, I noticed a
posting on our wall from David Schawt asking someone to respond on the wall or by e-
mail to him at DJ4life924@yahoo.com with contact information for the WSNAC
Convention Information Chair or, more specifically the Activities Chair. Did anyone
contact him to bring him in touch with Awareness & Entertainment? Perhaps he would
like to be the WSNAC XXVII DJ.

A couple people signed up to help with the Merchandise table so far. I am personally
asking addicts to sign up, announcing at meetings to see me after the meeting if they

would like to help out with WSNAC XXVII (especially Merchandise) and another addict,
named Corey, is doing the same thing. Please sign up and invite your sponsor and/or
sponsee to sign up with you.

An updated WSNAC XXVII Merchandise Sales Service Work Sign Up Sheet was e-
mailed to the WSNAC BOD on 7/23/10.

A copy of the comedian contract for Bill Perkell was e-mailed to the BOD for $1,400
plus a room and transportation. He is flying into Madison. Mark offered to shuttle Bill
during the convention weekend.

Verbal discussion occurred about www.WSNAC.info and WSNAC.info e-mail address
forwarding and WSNAC.info e-mails for replying to website e-mails. Mark will work on
this so that each e-mail describes the position not the name of the chairperson. Then, as
new people come on to the board or host committee the password will be changed for the
new person to take over.

Discussion occurred regarding Facebook and anonymity. Perhaps we could have a
workshop about this topic.

Written report:
WSNAC 28 Report
WSNAC 28 Host Committee (H.C.) met July 18 and was well attended with few absent.
The H.C. is completing final revisions to the logo (bkgrd color and fonts). The basic look
of the logo is and eagle holding a banner with the words choosing freedom across the
eagle and given life and the date and location on the banner. The H.C. would like me to
bring the idea of having a cutout of the eagle as the convention banner instead of the
standard 6x4 banner. I told the H.C. I would bring it to the WSNAC BOD as an idea. I
did state there are guidelines to the size of the banner.
Registration is in the process of putting together a flier to be available to distribute at
WSNAC 27. Information is being requested for the flier is the following:
    1) Official name of the hotel.
        2) Full street address and phone number for hotel.
        3) Room block rate?
        4) Expiration date for room block rate?
        5) Registration prices for:
          -Registration Only
          -Full Pkg - (Meals Only)
          -Full Pkg - (Meals & Entertainment)
          -Banquet only
          -Brunch only
          -Entertainment only
          -Newcomer donation
Registration will be emailing me a flier to bring to the BOD for approval.

Hotels & Hospitality met with staff at the Radisson about the menu for the banquet and
brunch. Preliminary results are:
       The Saturday night banquet will be a buffet @ $30.00 (our cost is $27.67)
       We can add an additional Vegetarian Entree to the flyer for $18.00-20.00 ($16.46
our cost)
       * would not include any of the buffet items*
       The Sunday Brunch will be a buffet @ $15.00 ($14.28 our cost)

The H.C. would like to know from the BOD if there is an updated matrix available. The
H.C. would also like to know what the duties of the WSNAC 28 H.C. are on the weekend
of WSNAC 27.

Verbal report provided regarding the WSNAC XXVIII banner ideas. The size should be
4’x6’. A flyer was presented for pre-approval. An explanation of meal options was
explained.

Discussion occurred regarding banquet ideas and whether or not to have banquets in the
future.

Steve H. will ask Adam to see what we could get for a $20-25 per person banquet.


The correct dates for the WSNAC XXVIII Convention are Friday, September 30 –
Saturday, October 1, 2010.

WSNAC XXVII Host Committee Reports
Matrix progress was discussed.

Tammy C. – Hotels & Hospitality
Hotels & Hospitalities are finalizing rooms and tables. Signage is needed since Chula
Vista is a little difficult to navigate. Chula Vista may provide a ladder but we need to
hang the banners ourselves without putting any pins in the wall. Kat will bring fishing
line.

Rand W. - Merchandise
Merchandise has everything under control. Orders will be placed in September with an
“in-hand” date a week before the convention.

Steve E. - Programming
Programming had a spreadsheet of speakers and workshops, who is chairing and where
they will be. Friday Night Speaker: Brian P from Detroit, MI; Men’s Rap Speaker Sat.
1:15 p.m.: Greg K. San Francisco, CA; Women’s Rap Speaker Sat. 1:15 p.m.: Michelle
L. from Appleton, WI; Saturday Night Speaker: Dee J. from Van Auys, CA; Sunday
Morning Speaker: Curt B. from Milwaukee, WI. Material will be submitted to Kat for
printing needs.

Kat K. – Arts & Graphics
Arts & Graphics is working on brunch tickets, bids for the banner (the banner will be
4’X6’ landscape view. It will match the front of the flyer excluding “Chula Vista
Resort.” Kat will talk to Tammy about signage, Gene about meal tickets, Steve about
the program, and Rand about price signs.

John K. – Awareness & Entertainment
Awareness & Entertainment will get contracts for a band and a DJ. Bingo will occur.
There will be a raffle. Larry will be the liaison for A&E if John is not present and work
with service workers for the raffle for the WSNAC XXVIII package.

Additional Needs had nothing come through registration, therefore, nothing special is
being done because it is based on need and there appears to be no need.

Convention Guides are working with Steve H. and Rand to order shirts.

Follow Up From Yesterday
The new “WRSC Rep to WSNAC Work Product” was reviewed by the BOD.

Mark reported that the Northern Lights Area dissolved and a new area was created in
Washington and Osakee Counties known as “WOCAWOCA” (spelling unknown).

The BOD discussed the revised WSNAC Financial Guidelines document.
