Sample Tally Sheet

For questions like 2, which ask the students to list their 3 favorite TV shows, the use of a tally sheet
may prove helpful in calculating the top ten list for boys and the top ten list for girls. The tally sheet
provides a way to list all of the titles and to keep track of gender preferences for those titles.

To use a tally sheet, simply create a spreadsheet with three columns. In the first column, list all of the
TV programs, or book titles, or magazine titles that students list in response to questions like #2, 5, 7,
10, 21. The second and third columns are to record responses from females and males.
You can print off the tally sheet and have the students record hatch marks manually.

DATA Sheet Template
The data sheet template is an excel file for the input of results from the student surveys.
The results from each completed survey become a record in the excel file. Once the student surveys are
completed, they should be numbered consecutively (starting with #1); this number becomes the record number
for that survey.
The template is set up for data to be entered down the columns, with each column containing the results of one
survey. The left hand column of the template (Column A) lists the survey questions. Column A has been
frozen, so each of the other columns can be positioned next to it for easier data entry.

Some things to keep in mind during data entry are the following:
1. Each column will contain the results of only one completed survey.
2. To avoid mistakes, one survey at a time should be entered into the spreadsheet. It would be helpful to save
the work often. To save, click on File on the toolbar, and select the Save option.
3. The number assigned to the survey when the completed surveys are numbered consecutively should be
entered as the record number.
4. The template has been set up so that the person doing data entry only has to put an "x" in the appropriate
cell, corresponding to the survey answer. For example, if the student who did the survey checked "never" when
asked how often he or she watched videos, then the data entry person should place an "x" in the spreadsheet
cell next to "never" under question No. 4.
5. The survey contains a few open-ended questions. For example, question No. 2 asks students to list their
three favorite TV shows, while No. 19 asks students why they prefer the web or books when doing research.
The template is set up so that the data entry person types in whatever the students wrote on the survey.

Questions 26-30:
These questions will vary by school. If you have decided to add your own questions 26 through 30 to the survey,
you can add those questions to Column A of the template. To keep things simple for data entry purposes,
configure the questions in Column A so that the data entry person only has to place an "x" in a cell, or, for open-
ended questions, only has to type in exactly what the students write in response to the questions.

Sorting and Generating Totals
The joy of spreadsheets is that information can be sorted. For example, if you want to sort data by gender, you
can do the following:
1. Highlight the whole spreadsheet
2. Click on Data on the toolbar
3. Select Sort
4. When the Sort menu appears, click on "my list has a header row." This will assure that Column A is not
included in the sort, only the data entered in the rows will be sorted.
5. On the Sort menu, click on Options. When the Options dialogue box appears, choose "sort from left to right"
under Orientation. This selection is what assures that the sorting will be done by rows (not by columns).
6. Close the dialogue box and you are back at the Sort menu, which will prompt you to choose the Row by which
you wish to sort the data. To sort by gender, select either Row 120 or Row 121. If you sort by Row 120, the
data will be sorted with the surveys completed by females appearing first. If you select Row 121, the data will be
sorted with the surveys completed by males appearing first.

Since the students will be entering an "x" into the appropriate cell, instead of a numeric value, in order to tabulate
totals you will need to use the "COUNTIF" function instead of the SUM function. For example, assume that the
students have entered the raw data from 20 completed surveys. This means that they will have populated
columns B through U. Now, if they want to calculate the number of times students responded that they watched
TV every day, they would do the following:
1. Note that responses about watching TV every day are entered in Row 3.

2. Note that the formulas to count occurences will have to appear in Column V (since Columns B through U will
contain data)
3. In Cell V3, write the formula =COUNTIF(B3:U3, "x")       This formula will count the number of x's appearing
in Row 3, and will therefore count the number of student responses of "every day" to the question about TV

Printing Instructions
To print the spreadsheet, click on the top left chell (Column A1 which says, Record#) and then drag across and
down to select the cells you want to print off (they will probably be the cell with data). The selected cells should
become highlighted.
Next, click on File on the toolbar. Choose Print Area, then select Set Print Area. If you set the print area, only
those cells with data in them will be printed.

If you want to print the spreadsheet, click with the cross mark on the
Record# cell (top left), and drag across and down to select the cells

with data entered. (Area selected should be shaded.) Choose: File> Print
Area> Set Print Area. This way you can avoid printing pages that have no
data.
