High school diplo ma or G.E.D. Minimu m of two years as an administrative assistant I; or Six years of experience successfully performing progressively respons ible support tasks (two years of which involved paraprofessional or technical support duties). Supplemental secretarial practice, bookkeeping, and co mputer applicat ions courses preferred. Demonstrate effective problem solving skills. Proficient in the use of Microsoft Word, Excel, Access, PowerPoint. Working knowledge of web-based applications or ability to quickly learn these processes. Type 50 wp m without error. Knowledge of file maintenance procedures. Ability to understand verbal and written instructions. Ability to lift 50 pounds EXAMPLES OF WORK PERFORMED Perform a variety of co mplex clerical activ ities includ ing reviewing bills, invoices and contracts to ensure informat ion is accurate and complete before generating payment paperwork. Route bills, invoices and contracts to appropriate section(s) for review, signature and processing. Provide technical support to staff and vendors regarding payment/reimbursement process in order to provide service. Create reports and maintain budget and other fiscal records. Prepare and process staff expense account forms in order to ensure timely reimbursement according to section, department and State of Missouri procedures and practices. Coordinate data and compilation of reports fro m the School Lun ch, Student Attendance, Bus Transportation Cost, District Billing and Expense Account Programs. Coordinate annual and periodic b id processes to obtain related service and similar vendors. Assist with logistical arrangements for meetings, conferences and workshops to include creation and dissemination of materials and verifying invoices. Assist in formulating responses to requests from vendors and schools for info rmation. Organize work and coordinate workflow, establish priorit ies, adhere to deadlin e and review work for adequacy and accuracy. Research and assemble documents for distribution or review. Proofread manuals and technical reports to ensure accurate. Research, co mpile, create and/or generate information, statistical and other reports. Design electronic and other forms to capture section information in consistent format. Considerable knowledge of co mputer productivity programs. Ability to maintain co mplex records and prepare reports from various statistical and accounting informat ion. Receive, distribute and process business section mail to appropriate person(s). Answer phones and route calls to appropriate person(s) or take messages. Maintain and order inventory to ensure adequate supplies are on hand. Attend meetings in order to receive/convey informat ion. Type documents in order to provide service. Participate in staff develop ment activity as necessary to keep skills updated. Accept supervision and follow policies and guidelines of the section program. Follow daily scheduled routine of work activ ities. Co mmunicate clearly and appropriately with public, coworkers, parents , and school staff, etc. Treat all persons with respect and maintain positive interpersonal relationships. Demonstrate effective problem solving and decision making skills. B ENEFITS (For a Full-Time Position) VACATION: Generally accrue 10 hours per month for employees with up to ten years of creditable service. SICK LEAVE: Generally accrue 10 hours per month. FAMILY MEDICAL LEAVE: After 12 months or 1250 hours of emp loyment, 12 weeks of unpaid leave is available for employees as laid out in the policy. ORGAN/BONE MARROW DONATION LEAVE: 5 wo rkdays given for bone marro w donation and 30 workdays given for organ donation. SCHOOL-VIS IT LEAVE: Up to 8 hours of paid leave for assisting in the classroom with curricular activities or visit ing with child’s teacher on curricular activit ies and other events as outlined in the policy. HOLIDAYS : 12 holidays per year. RETIREMENT: Vested after five years of creditable service. LIFE INS URANCE: Free basic life insurance coverage equal to one-times the employee's annual salary. The min imu m coverage amount will remain $15,000. OPTIONAL LIFE INS URANCE: Employee may purchase up to 6 times their annual salary. Spouse and children life insurance coverage is available. CAFET ERIA PLAN: Easy tax savings on employee’s cost for qualified payroll-deducted insurance plans, med ical care, and dependent care. HEALTH PLANS: Emp loyer-paid/subsidized plans available the first of the following month after emp loyment. DENTAL PLANS: Delta Dental insurance coverage is available . VISION PLAN: Vision Service Plan (VSP) is availab le. EMPLOYEE ASSIS TANCE PROGRAM: Up to six counseling visits per episode per family member per year. DEFERRED COMPENS ATION: Emp loyees may enro ll in the State of M issouri Deferred Co mpensation Plan at beginning of employ ment with a minimu m of $25 per month. After 12 continuous months of emp loyment State service the State will contribute an additional $25 per month to elig ible emp loyees.
