POSITION TITLE: Assistant Property Manager DATE: August 2010

REPORTS TO: General Manager GRADE: TBD
HOURS OF WORK: Full-Time STATUS: TBD
This position will assist with the oversight of daily activities of the assigned facilities by
ensuring they are efficiently maintained, reports are updated, tenant issues are resolved,
and employee relations are handled.
Assist the General Manager and Maintenance Staff with tasks associated with the
day-to-day operation of the facilities.
Process and fulfill tenant requests for special or extra services.
Assist with correspondence between the General Manager and the tenants.
Provide routine physical inspections of properties and follow up with
Coordinate bids from vendors and manage contractor agreements.
Manage the preparation of financial reports for the General Manager to be
presented to property owners and clients.
Manage the process for the preparation of annual budgets.
Assist the General Manager with collection calls for rents and other sums due
Owner under terms of the leases.
Manage the coding of weekly invoices and compare actual to budget and advise
General Manager of significant variances.
Prepare lease abstracts following the completion of new lease agreements and
Update all floor plans, stacking plans and lease expiration reports.
Monitor and manage janitorial, maintenance engineers, day porter and property
Maintain documentation to support procedures related to job functions.
Become familiar with the provisions of all tenant leases, annual budgets, and
physical aspects of the properties.
Maintain/monitor the status of building contracts, key provisions, expiration
dates, and other pertinent information.
Support special projects as assigned.
Education: Bachelor’s degree preferred; candidate for professional real estate
designations (RPA, CPM, CCIM, etc.) a plus.
Experience: Minimum of 5 years Commercial Real Estate Office or related
experience. Background/employment with Property Management or Real Estate
Services Company with proven record of being able to multi-task with individuals
SKILLS AND KNOWLEDGE:
Excellent verbal and written communication skills; ability to analyze problems,
develop and support solutions; ability to interact with all levels of personnel;
ability to work independently in fast paced environment; PC and internet literate
with knowledge of Microsoft Office; Advanced proficiency in MS Excel, Outlook
Business Contact Manager, MS PowerPoint and graphics programs, i.e. Blue
Beam, Adobe, Corel, etc. is preferred; detail oriented with high degree of
accuracy; familiar with property management accounting software, i.e.
Timberline, Kardin, etc. is desirable.
