					USING EFT
EFT (The Electronic Field Trip System)
Web-based program for computerizing your field trip transportation.

Start by going to the eFT web site: http://eft4.edulogweb.com/Kenton/edulog/eFT/
Each user will be assigned a user name and password.
The following launch pad appears




This launch pad provides access to the various features of the program.

Requesting a Field Trip
You will need to click on “Create a Request”. When you submit a field trip request, transportation will
evaluate the trip requirements and approve or deny the request. When the trip is approved or denied you
should receive an email with information. When the request is approved, EFT automatically creates a
field trip record for each requested trip.

To request a field trip
1      Choose the “Create a Request” button from the eFT launch pad.
     The Request Information window appears for you to enter information on the trip you are
     requesting. Information in the fields at the top of the window (Request ID, Request Date, and
     Request Status) are entered automatically. Each request record gets it’s own unique ID number.
     You may want to note that number to make it easier to track the status of the request later. You
     do not have to complete all of the fields in the window, but before you submit the request, make
     sure you enter the following:
     ALL GROUPS SERVICED
     DEPARTMENTS
     THE TRIP ORIGIN
     DESTINATION
     DATES
     TIMES
      PASSENGER COUNTS

2    Choose the ADD button under the Groups Serviced table and select your group. (It should be
     your school) You must also choose the correct Department. The Department will allow us to see
     what grade level will be attending the field trip. This is very important for Kindergarten and
     preschool trips. Repeat the process for any other groups serviced by the trip.

4    Enter the name and phone number of the person responsible for the trip. If contact information
     was entered in the record of the first group for the trip that information automatically appears in
     these fields.

5    If the record of the first group serviced by the trip has a default origin entered, that information
     appears in the Origin field for the request. If you want to use a different starting point, choose the
     Origin button and select a new starting point.

6    To enter the destination of the trip, click on the Destination button, a new window will appear,
     click on the destination button in that window and then choose your destination. If you have
     details that you would like to include for the Driver please type it in the comment window. If
     you have a note for the office only please use the objective window.

7    Enter the round-trip distance for the trip (if known or it can be estimated) in the Round Trip Distance
     field.

9    There is a default billing rate set for trips. You will be able to have the system calculate an
     approximate cost of the trip by clicking on the estimated cost button. Keep in mind this would be
     PER BUS .

10   You must also fill out the Depart/Return section for the trip. Depart/Return are for daily trips;
     Leaves/Arrives for overnight trips. Please fill this area out appropriately.

11   Trip Passenger field must also be completed. Enter the total amount of students for wheel chairs,
     special needs students, total students, total Adults and most importantly how many buses.

REMEMBER BEFORE HITTING THE SUBMIT BUTTON IF YOU NEED ANYTHING
SPECIAL TYPE IT IN THE OBJECTIVE FIELD OR THE COMMENT FIELD OF THE
