Dear Applicant

On behalf of the Interim Principal and Governing Body of The Bridge Academy, thank you for
requesting an application pack for the post of Human Resources Administrative Assistant. We look
forward to receiving your application by the closing date: 3pm on Tuesday 8th December 2009.

The Bridge Academy is an independent, mixed 11-18 non-denominational, non-selective school which
opened in September 2007. We now have 550 students and by 2013 we will have 1,150 students. The
Academy occupies a superb purpose-built school building on a canal-side site in one of the most
deprived areas of South Hackney and is significantly oversubscribed. We are committed to creating an
inspirational culture of ambition, achievement and learning that ensures all our students develop their
full potential and leads to the highest possible standards.

We are delighted to be welcoming our new Principal, Mr Stephen Foster, to the Academy from January
2010. Mr Foster joins us after 12 years as a Headteacher in two previous schools in Newham and
Bexley. He brings an outstanding track record of achievement and was recently described by Ofsted
as providing “inspirational leadership”. We know that in Mr Foster we have found an exceptional new
Principal.

The successful candidate will share our vision for The Bridge Academy to be an exceptional place
where every student can make the most of their talents and abilities. You will relish the challenges and
opportunities faced by a school in an urban setting and will be a flexible team player who enjoys
tackling the broad range of challenges they face as the school grows and develops.

Job title       : Human Resources Administrative Assistant

Reporting to               Human Resources Manager

Job purpose                To provide high quality administrative support within the HR department
                           and take responsibility for the maintenance of the HR database; to
                           support the HR Manager in specified aspects of work.

Salary scale               Points 16 to 20

Contract arrangements      Permanent. 52 weeks a year.

Holiday entitlement        25 days a year

Working hours              37.5 hours per week
                           9.00am – 5.00pm, (30 mins for lunch)

  Key Responsibilities

  1.        Recruitment

        •   Undertake the administration duties associated with the recruitment and selection process, for
            example preparing and sending out recruitment packs; interview letters; rejection letters;
            reference requests.
        •   Record the personal details of all potential and actual applicants.
        •   Photocopy application forms and distribute application packs to the short listing and interview
            panel.
        •   Contact candidates during the recruitment process.
        •   Undertake the administration necessary for new starters, ensuring that appropriate checks are
            made of all documentation including List 99 checks, CRB checks, eligibility to work in the UK
            checks, medical checks. Liaise with partner organisations to ensure that employee checks are
            timely and rigorous.
        •   Ensure safeguarding checks for agency workers and volunteers are completed, recorded and
            filed
        •   Liaise with the IT Team to ensure that computer username & passwords are created for all new
            starters before their start date and that leavers are taken off all computer systems
        •   Assist the HR Manager with the preparation of induction materials and prepare induction packs
            for all new starters

  2.        Single Central Record

        •   Process the List 99 checks and CRB disclosures to ensure that the Academy’s safeguarding
            policy is complied with fully.
        •   Maintain the Single Central Record.

3.       Employee records

     •   Enter all relevant employee records onto the SIMS system and ensure that all data is up to date
         and readily available for the submission of the School Workforce Census
     •   Maintain employee files, ensuring that all information is up-to-date and checked as necessary.
     •   Create files for all new starters and archive leavers.
     •   Ensure that all paperwork within the HR department is destroyed as and when required, in order
         to comply with Data Protection guidelines
     •   Ensure that all filing and photocopying is completed as and when required

4.       Payroll/Pension Administration

     •   Assist the HR Manager with the completion of payroll on a monthly basis
     •   Complete payroll forms for new starters
     •   Complete all paperwork associated with pensions


5.       Sickness and leave of absence records

     •   Maintain the Academy’s employee and sickness, leave of absence and absence records.
     •   Ensure that self certification paperwork is received and processed.
     •   Provide reports on employee sickness and leaves of absence to the Principal in conjunction with
         the Data and Cover manager.
     •   Indicate to the HR Manager and the employee’s line manager when absences trigger a
         response in line with the Academy’s Sickness/Absence policy.

         Other administrative duties

     •   Ensure that the Blue Sky System is updated as and when required for all staff
     •   Open and sort all incoming post for the HR department
     •   Be responsible for the distribution of letters/information to staff via post /hand /or email, as and
         when required.
     •   Deal with routine enquiries and support the day to day administration within the HR department
     •   Assist with the development, improvement and maintenance of the HR clerical systems
     •   Carry out duties and responsibilities commensurate with the post necessary for the smooth
         running of the Academy as required by the Human Resources Manager
