Before Starting

What is the 1992 Economic Census?

The Economic Census provides a detailed portrait of the Nation’s
economy every five years. The census describes industries and
geographic areas, including the Nation, States, metropolitan areas,
counties, cities, and, for some sectors, data for ZIP Codes. The 1992
Economic Census covers eight sectors of the economy:
    j   Retail trade*
    j   Wholesale trade
    j   Service industries*
    j   Transportation, communications, and utilities
    j   Financial, insurance, and real estate industries
    j   Manufactures*
    j   Mineral industries
    j   Construction industries

Programs in the economic census that cover all sectors include
    j Enterprise statistics
    j Minority- and women-owned business


ZIP Code statistics cover the three sectors with asterisks in the list
above: retail trade, service industries, and manufacturing.

What is on this CD-ROM?
Volume 2: ZIP Code Statistics. This 2-disc series presents data on
retail, service, and manufacturing businesses by ZIP Code. The files
include counts of establishments by SIC within ZIP Code and by size
class within SIC. Total retail sales and service receipts are also shown
for each ZIP code.
Other CD-ROMs from the 1992 Economic Census:
Volume 1: Report Series. This series includes all data in print (other
than Nonemployer Statistics), and also includes additional detail not
available in print. This CD-ROM was updated quarterly, mid-1994
through 1997, as additional reports became available.
Volume 3: Truck Inventory and Use Survey Microdata. This disc
complements the published data in Volume 1 by providing the user
with the capability to generate custom tabulations about trucks.
Volume 4: Nonemployer Statistics. This disc contains statistics on
sales by establishments with no paid employees, together with
corresponding figures for employer establishments. Volume 4 also
includes selected geographic area files from the 1987 economic
census reformatted for easy use with 1992 data on Volume 1.

Choosing Which Software to Use

Type DocView to find out more about this CD-ROM and its contents,
including release schedules, file descriptions, record layouts, and
software tutorials.

Type GO92 if you are not familiar with the types of data on this disc.
GO92 is easy to use and displays the data requested by most users.

Type EXTRACT (or INSTALL when using the first time) for flexibility in
selecting, formatting and extracting data. EXTRACT provides access to
all data on the disc.

Both GO92 and EXTRACT let you:
    j select data for specific geographic areas or industries
    j print out selected data
    j copy data to a file in dBaseIII+ or ASCII formats

You also can use commercial software since the data files are in
dBaseIII+ and the documentation and descriptive files are stored as
ASCII text files.

Moving Around in DocView Menus
    j   Use ↑ and ↓ keys to highlight a topic, then press Enter.
    j   Continue to select menu choices to find the information you
        want.
    j   Press ESC to back up to a previous or higher-level menu.

Note: If a menu item is not highlighted because the information is not
yet available, the cursor will skip over it.

What Should I Be Looking for?
The first three options on the main DocView menu relate to the
contents of the CD-ROM; remaining options detail each subject area.

What’s New
This section changes with each new CD-ROM to highlight the latest
additions. It answers such questions as:
    j When will manufactures data be available by ZIP Code?

General Information and Software
This section describes the 1992 Economic Census CD-ROMs, the
structure of economic census data on the CDs, and offers detailed
documentation of software options on the disc. There are also tutorials
on the use of EXTRACT, ordering information for other economic
census products, and a form you can use to send in your comments.

Data Finder
This section helps you find the statistics that are available in individual
files.

Subject Sections
Each subject area has similar menu selections.
File Abstract. This is a systematic description of each set of files,
including sort sequence, available indexes, and relationship to other
files on the CD-ROM.
Record Layout. This lists the data items on each file.

Moving Around in DocView Text
Getting to a Text Screen
To reach the text screen in Figure 3, start with the main menu in
DocView. Highlight and press Enter at each of the following menu
items: Service Industries (on Main Menu), then File Abstract followed
by File characteristics.

Searching and Printing
F1 Search
To search for a term or phrase, press F1, the Search command. Enter
a term or phrase in the dialog box. The cursor stops at the beginning
of the term or phrase. A message appears if the term is not in the text.
F2 Search Again
Press F2 to search for subsequent occurrences of the same term or
phrase.

ALT-P Print
To print to a file or to a printer, press ALT - P. The Print Options menu
appears. Print to printer is the default.

1. Cursor down then Enter to select the Print to file option, and the file
   name box appears.
2. Enter the path and the file name to save on floppy disk or hard
   drive. You may print or edit this file using word processing software.

Type GO92 LAN if you access the CD-ROM across a network.
Selecting the Type of Data
Select economic sector–Service Industries, for example–by positioning
the cursor and pressing Enter.
Selecting a State
The State menu appears after you select the subject area.

The menu of ZIP codes presents both area names and summary
statistics. Some ZIP codes are associated with more than one area
name in common use, but only one name is shown here.

1a. Cursor to the desired ZIP Code
            -or-
1b. Press F for Find, then type the ZIP Code
            -or-
1c. Press F for Find, then type an area name (or as many characters
    as you wish), press Enter, then cursor to the desired ZIP code.
2. Press Enter to select the ZIP Code and see kind-of-business
    detail.

Prior to selecting a ZIP Code, you may also sort, print, or copy the ZIP
summary data, as described on pages 14-15.

Displaying Kind-of-Business
There are two display modes for each type of data.
SICs for a ZIP Code. The default display is by kind of business for a single
area. If not already displayed, press E to see a distribution by employment size
of the establishments operated the entire year. If a ‘‘Rcpt size’’ prompt appears,
press R to see a similar distribution by size of service receipts or retail sales.
For manufacturing, press D to see data for 4-digit SICs.

ZIP Codes for a Single SIC. You may also browse data for a single kind of
business across geographic areas.
From Figure 5 display, press E to display the number of establishments by
employment size. Move the cursor to highlight the desired kind of
business, (‘‘Beauty shops’’ in this example), then press B (Browse) to
compare ZIP codes within the selected kind of business. You may also
type S to sort areas by the values in any of the columns.

Printing Data Using GO92
Press P to print a data table to a file or to a printer. When the Print
Options menu appears, move cursor to your selection and press Enter.

If you select ‘‘Print table to a file’’ a Print Options dialog box appears.
Enter the path and file name to save on a floppy or hard disk.
Copying Records Using GO92
Press C to access Copy Functions. The COPY FUNCTION box
appears and describes the records to be copied. Press Enter to
continue. Highlight the file format from the COPY FILE OPTIONS and
press Enter.

Note: The copy function copies all the data specified in the COPY
FUNCTION box. These records will contain more data than is
displayed on the screen.

Using EXTRACT
EXTRACT gives you flexibility in creating selective files and reports.
Using EXTRACT you can
     j   specify exactly which statistics you want, and in what format.
     j   make rudimentary calculations, like per-capita retail sales, or
         average sales per establishment.
     j   access all the data on this CD-ROM, including data for 1987, not
         just the data available through GO92.

Getting Started with EXTRACT
Running INSTALL
The first time you use EXTRACT, you need to install EXTRACT on
your hard disk using the INSTALL program on the CD-ROM.
1. Make your CD-ROM drive the default (e.g., type D: and Enter).
2. Type INSTALL, press Enter. Unless you specify otherwise,
   INSTALL will create a C:\EXTRACT directory and copy the
   necessary files into it. Type C to Continue unless you want to
   change drive designations.
3. The dialog box prompts you to put an X by each CD-ROM you want
   EXTRACT to work with. When you mark more than the first one,
   INSTALL copies to your hard disk the auxiliary files EXTRACT
   needs to work with the CD-ROMs you selected. Press F10 to
   continue.

4. Press F10 again to approve the menu INSTALL creates for you.

5. Enter P next to each document or tutorial you want to print. Finish
   with F10.
Note: EXTUTOR1 is especially designed for new users as a
step-by-step exercise in working with 1992 Census of Retail Trade
data on the Volume 1 CD-ROM.

Starting EXTRACT
At the C:\EXTRACT directory, type EXMENU. This menu displays the
CD-ROMs you selected above. Type the name of the selection you
want and press Enter.
The Choose a Catalog menu appears. This menu lists the databases
for the CD-ROM. Press Enter to choose a catalog (e.g. Retail Trade).
The Select a Data File menu appears, listing the databases in that
catalog. Highlight your choice and press Enter. Additional screens may
appear that explain details about the database and prompt you for
additional selections.
