Seating is fabric covered pews. Please keep all doorways free of decoration or storage of items that would block the doors usage, these doors must remain clear at all times. Entrance~ as you drive into the parking lot, please ask your guests to enter through the front glass doors on the south side of the building. SET-UP Ushers ~ All ushers must be arranged for by Funeral Home staff or as an added service of CrossRoads Church. Podium ~ On the Sanctuary stage you will find music stands & a podium. Feel free to use these and make sure to return them to their original position. Pillars ~ In the Sanctuary back stage area you will find 6 white pillars. These may be used for the funeral. Please be careful when moving them as the bottoms easily separate from the tops. They must be handled with care. Please assign someone to return all items to their original position. Projector & Screen ~ The Sanctuary contains a ceiling mounted projector and a dropdown screen. Please bring all material to be displayed on the screen on a CD 1 day prior to service for a trial run. It will be given to the sound technician for safe keeping. You will need to pre-assign someone to pick up your CD’s from the sound booth after the ceremony is over. To be compatible with CrossRoads equipment, presentation material supplied must be in Power Point or Movie-Maker format. All material must be supplied to Crossroads staff 1 day prior to funeral for checking. Grand Piano ~ The Sanctuary contains a Grand Piano that may be used for (musicians not supplied by CrossRoads Church). CrossRoads Church has the Grand Piano tuned regularly. Alcohol and Smoking ~ Absolutely no alcohol is permitted inside or outside the church premises. We also ask that all smoking be kept outside the church building. Please pass this information along to your family and friends prior to the service. CHAPEL The Chapel comfortably seats 175—200 on cushioned interlocking chairs. Chairs may be moved out as required but must be replaced in position. The Exit doors located at the side of the Chapel are a fire exit, access to these doors must remain clear at all times. Entrance ~ as you drive into the parking lot, please ask your guests to enter through the 2nd set of doors on the east side of the building. SET-UP Ushers ~ All ushers must be arranged for by Funeral Home staff or as an added service of CrossRoads Church. Podium ~ Within the storage room off of the Chapel you will find music stands & a podium that are available for use. Please return them to the storage room after your event. Projector & Screen ~ As above. Keyboard ~ The Chapel contains a keyboard that may be used (musicians not supplied by CrossRoads Church). The Grand Piano from the Sanctuary may NOT be moved into the Chapel. Alcohol and Smoking ~ As above. Greenery and Plants ~ In the Chapel there are 2 artificial plants, feel free to use them or place them out of the way in the storage room. Plants from other parts of the church (ie. Café, foyer, Sanctuary) are NOT to be moved into the Chapel. If you need more foliage you will have to rent or bring from home. CrossRoads Contact - All communication from the Applicant to CrossRoads Church (“CrossRoads”) shall be directed to the Facilities Rental Coordinator at the address set forth on the cover page of this document. Method of Payment - All payments to be made under this Agreement may be made via cash, check or money order made payable to “CrossRoads Church” and mailed to the CrossRoads office or delivered by hand. Responsibility for Damages & Security Deposit - The Applicant is responsible for all damage to the Facility and any equipment utilized (reasonable use excepted) occurring as a result of the Applicant’s rental. Compliance With Regulations- The Applicant agrees to comply with all building and fire regulations for the event and to comply with any facility rules adopted by CrossRoads for the Facility. Usage by CrossRoads - By renting the Facility to the Applicant, CrossRoads in no way relinquishes its right to control the management of the Facility and to enforce all necessary rules and regulations as may be required. CrossRoads may use other components of the Facility during the event that do not materially interfere with the usage by the Applicant. CrossRoads further retains the right to alter or terminate any booking that is incompatible with any unforeseen congregational usage requirements of the CrossRoads, provided that CrossRoads shall use its best efforts to facilitate the Applicant on other dates or in other components of the Facility in such circumstances. Prohibited Activities in the Facility - The Facility has been designated as a non-smoking and alcohol-free building. Also, CrossRoads may from time to time restrict food and beverages in certain areas of the Facility. CrossRoads is an evangelical church affiliated with the Evangelical Missionary Council of Canada. CrossRoads will not rent the Facility to any group whose constitution or intended usage of the Facility contravenes the Statement of Faith of CrossRoads (available on-line at www.crossroadschurch.ca) as interpreted by the Board of CrossRoads. In the event that the event, or any component thereof, is determined by CrossRoads to contravene the Statement of Faith, CrossRoads shall terminate the booking and return payment/deposit in full to the Applicant without any further liability to either party. Timing of Payment - CrossRoads Church does not charge a fee for the facility use in regards to funerals. Funerals are donation based and there is no deposit required. We do however request an honorarium for any audio/visual technical assistance. The payment for these technicians is appreciated prior to the service. Funeral catering is by CrossRoads only and all catering costs are due upon completion of event. Cancellation- CrossRoads will refund payment in full for any event which is cancelled, provided that at least 72 hours advance notice are given to CrossRoads of the cancellation. In the event that it is not given 72 hours advance notice of cancellation, CrossRoads may charge a fee of up to 1/3 of the total event fee as liquidated costs for the cancellation. Operation of Sound and Visual Media Equipment - Only CrossRoads trained Audio Technicians shall be allowed to operate the sound systems in the Sanctuary or the Chapel. Only CrossRoads trained Visual Technicians shall be allowed to set up and take down the Portable Sound System/ Digital Projectors / TV’s / DVD’s / VCR’s / Overhead Projector and Screen in all rooms of the Facility. Applicants who are using and operating these pieces of equipment shall comply in all respects with the operational guidelines provided by CrossRoads. Decorations & Table Cloths - All decorations to be completed for the event shall be the sole responsibility of the Applicant. No decoration shall be fastened to the wall of the Facility or otherwise affixed in such a manner that will damage the Facility. Take-down and clean-up of decorations is also the responsibility of Applicant. CrossRoads does not provide table cloths; the Applicant shall be responsible for obtaining table cloths (if applicable) from another source. Kitchen Services - No outside caterers/ food service providers will be permitted use of the CrossRoads kitchen. Waiver of Liability - By executing this document, the Applicant is covenanting that it will not hold CrossRoads, its board or its employees responsible for any medical or personal injury, or any other loss or damage and hereby waives any claim against Crossroads. The Applicant acknowledges that it is its responsibility to take the necessary steps for insuring against personal injury, loss, property damage, or any other loss of damage that might be incurred by us or the people at Facility during the event. Indemnity- The Applicant hereby agrees to indemnify and hold harmless CrossRoads, its officers, agent and employees, of and from all demands, claims, suits, actions or liabilities resulting from injuries or death to any person or from any property damage occurring during the event. Authorization for Treatment - In the event of injury or illness, the Applicant authorizes CrossRoads personnel, staff or designates to seek and obtain such emergency or medial services for our people as may be deemed necessary at the time. Binding Effect - This document shall constitute the sole and entire agreement between the parties and is intended to create legal obligations. The undersigned hereby warrants that is has authority to bind the Applicant as per the Terms and Conditions hereof. This document shall not be of any effect unless executed by both parties. Comments: Special Notes: ~ It is recommended that CrossRoads be notified 5 days prior to the funeral. ~ We reserve the right to refuse service if we are unable to provide resources offered in packages. ~ Any Officiate who is not on staff at CrossRoads Church would have to meet the criteria laid out by CrossRoads Church. ~ Musicians taking part in the service to come no less or more than 2 hours prior to service for practice. For payment CrossRoads accepts cash or cheque ONLY (please make all cheques payable to CrossRoads Church).
