Welcome to ChenEx , 2009-2010!

This letter confirms your child's enrollment for the upcoming school year. This package
includes an emergency form, authorization to leave form, homework contract,
medication consent form and website release form. If you have ANY questions
regarding these forms, feel free to contact me. Also included in this package are the
receipts for the tuition deposit and registration fee, your first bill and the family handbook.

Please be sure to fill out and return all forms, including the Tuition Schedule Form
by August 31st, 2009.

Due to the large numbers of students we have had enrolled the past two years there has
been no tuition increase for this school year.

Because there has been such a high demand for Tuesdays, Wednesdays and
Thursdays, you may be able to drop them without penalty if there continues to be a wait
list. However, if your child is enrolled Mondays or Fridays you will have to keep this
schedule until January 1st , 2010. At that time you may make schedule changes for the
remainder of the year (January through June). (Part-time enrollees may continue to
add days--except early release days and any days that are waitlisted-- as available).
Please note: if you choose to withdraw from the program your deposit will be forfeited.

The ChenEx Board plays a vital role in the strength and success of ChenEx. A volunteer
Board governs ChenEx. Using the ECC guidelines, the Board develops the policies that
govern the program. Membership of the ChenEx Board is open to all participants of the
program; family participation is crucial to the ongoing health and stability of ChenEx.
There is approximately an hour long meeting, once a month.

Most of my communications are done through e-mail. If you have not given me an e-
mail address and you have one, it would be appreciated if you could do so. If you have
given me your address, and are not receiving my e-mails, let me know so I can make the
necessary corrections.

             2009-20010 ChenEx GENERAL INFORMATION SHEET

ChenEx begins on Thursday, September 4, 2009 for grades 5-8. This is the first full
day of school for all students. All students will report to the cafeteria. There is no
afterschool on the first day of school, Wednesday, September 3, 2009.

Newsletters and Other Notices
To save paper and postage, we are increasingly using email to provide updates and
reminders of events. These newsletters update any calendar information, policy
changes, and upcoming events and give you the latest on your children's activities.

Parent Pick Up and Sign Out
Student pick up is in the cafeteria. There is a sign out table located by the interior
cafeteria entrance. Check in with the staff at the table and they will locate your child.
Please note that it is a large building, and it may take a few minutes for your child to
travel from one location to the cafeteria.

Early Release Days
At the middle school level, the Belmont school system schedules seven early release
days used by teachers and administrators for staff development, grade level meetings
(in-house and town-wide), and parent/teacher conferences. ChenEx provides coverage
for each of these days beginning at 11:00 AM and runs until 6:00 PM.

Early Release days can be a long day so we break up the time by arranging field trips on
the majority of these days. The 5th and 6th grades go on one trip and 7th and 8th go
another. This past year the groups have gone bowling, rock climbing, to the science
museum, the IMAX Theater, and on many other fun and exciting adventures. The groups
leave the school around noon and are back by 4:00. If your child attends on the ER
days, they will need to go on these field trips or other, non-ChenEx, arrangements
will need to be made. We need all Staff to help chaperone while off campus. If you
have any suggestions for more trips feel free to email us with them!

October 9th and January 19th are two full days scheduled for district-wide curriculum
meetings. There is no school, or ChenEx, on these days. Furthermore, three early
school dismissals are built into the school calendar (November 25th, April 2nd , and the
last day of school). ChenEx does not provide coverage for these days.

Emergency Backup
ChenEx requires you to have at minimum one back-up person on your child's
emergency information form. This person should know that you have put her/him on this
form and should be willing to pick up your child in an emergency (this includes your
working late). This is also important for those of you who have difficulty making the 6:00
pick up time. If you do not know any one in Belmont who can do this for you, please see
Kendra to figure out a good match for your family.

Last, but defiantly not least, we welcome and encourage communication from the
ChenEx community, parents and children alike. Please stop by and meet the staff, see
how our program runs, and feel free to offer any suggestions you may have to help
better our growing community!

Cell Phones
Cell phones have become an increasing issue during school and after school hours. We
follow the schools request for all cell phones to be off and put away while in the school
building. If a student would like to use their phone, they need to ask a ChenEx teacher
for permission to use it. ChenEx allows students to use their cell phones to contact
parents and caregivers ONLY. Students should not use their cell phones to call friends
while they are attending after school. This is a parental choice, and we are assuming
that your child has permission to bring such items to school.

If you need to reach your child during ChenEx, please call the ChenEx phone, and we
will connect you with your child. Again, the number is (617) 484-8030.

When a student is absent from school, the ChenEx staff obtains this information from the
Chenery School office. However, the family is responsible for notifying ChenEx staff if
their student:
 was absent from school;
 leaves school unexpectedly or for a scheduled appointment;
 attends school, but will not be attending ChenEx.
We can be notified by telephone, email, or written note. Please note that email is
typically not checked after 1:00pm.
Attendance is taken and all students must be accounted for by 2:30 PM. If a student
cannot be accounted for, an extensive search for the student begins. Classroom
teachers are consulted, calls to parents/guardians are made.
