Artist’s Agreement for Exhibition in the XYZ Gallery
The following contractual agreement outlines the terms and requirements for all student and
non-student exhibitors. Please read carefully and sign.
A. Preparation of work for exhibition
All work must be ready for display upon submission acceptance into an exhibition. Any work that
is not prepared for easy display may be refused. All paintings and works in frames must be
properly wired; the artist must provide any special display props or devices necessary for the
art’s installation if such equipment does not include: hanging hooks, nails, screws, eye hooks or
display stands, which are already provided by the gallery. Do not submit work that has not fully
B. Installation of shows:
The gallery curators will execute the installation of work in XYZ Gallery exhibitions. It is up to the
curators to choose all work to be displayed in the show and to hang all accepted work.
Interference with either action is prohibited. Curators have the right to request the artist’s help
with the installation of artwork if help is necessary.
C. The removal of your work from XYZ Gallery:
Your artwork/exhibition must be completely removed on the date assigned.The gallery curators
will be responsible for the take down of the show. You are responsible for removing your work
from the XYZ Gallery by the assigned date. If you cannot make it to the gallery to collect your
work, please arrange for someone to pick up your work for you. Thereafter your work becomes
the property of XYZ Gallery. The gallery will not be used as a storage space. The gallery officers
have the right to and will remove your work(s) from the gallery if it is not picked up by the
D. Work and Exhibit Promotion:
XYZ Gallery has its own promotions staff. This staff is responsible for the creation and
distribution of publicity and promotion of the exhibition. You may work with this staff at your
discretion. Active participation is encouraged in the promotion of your work and of the exhibition
as well as in the execution of our staff’s promotional strategies, however XYZ gallery officers
maintain final approval/disapproval of all materials and programs.
E. Protection of your work:
The condition in which your submitted your work to XYZ Gallery is the responsibility of the
gallery officers during the length of its exhibition.
F. Show openings:
Show openings are listed on the exhibition schedule on XYZ Gallery’s website (www.xyz-
gallery.com/schedule.html) and its Facebook group
(http://vt.facebook.com/group.php?gid=27745980704). Artists with accepted work are required
to attend the show opening unless with prior consent of the gallery curator(s). All other opening
activities must be coordinated with the curator(s) and/or the gallery. Private opening parties with
limited access are not permitted, as the XYZ Gallery is a public art gallery that serves
Blacksburg and its surrounding community. The gallery officers will provide limited refreshments
at openings; any contributions are encouraged though by no means mandatory.
G. The sale of artwork:
XYZ Gallery assumes no role in artist/buyer transactions: if the work is for sale, you are to leave
business cards or contact information in the gallery during your exhibition. Interested buyers will
be encouraged to contact you directly, but none of the XYZ Gallery officers will take part in the
purchase of your artwork. Furthermore, purchased work may not be sold “off the wall,” (i.e.
removed from the gallery during its exhibition) without the prior consent of the gallery curator(s).
H. Reproductions of exhibited work:
XYZ Gallery reserves the right to reproduce work displayed in the gallery for purposes of
advertisement, promotion, or publication on the gallery website for up to 1 year from the ending
date of the exhibition. This right is limited to exhibition and XYZ Gallery promotional materials,
and does not include rights to reproduce prints or posters of your work for sale in XYZ Gallery.
