First-time Upload Instructions
for Location Data
This tab includes instructions you should follow to successfully upload your data into SmartTurn. Uploading your location data saves time
because you enter up to 1,000 records at once and then see it offered as choices in appropriate places throughout SmartTurn. For instance,
after you make a successful Location upload, you can receive Purchase Orders and make one click to pick from a list of your Locations. With
one upload, you are communicating data across various modules within SmartTurn.

Please read these instructions prior to upload so that you can gain an understanding of what is required during the upload process, namely the
following key concepts:
► Reference data - Please make sure you have set up your Warehouse(s) within SmartTurn before uploading locations
► One Upload per Warehouse
► Formatting constraints on the data spreadsheet
► Formatting constraints on the worksheet tab name
► Filtering interferes with the upload
► Blank Action fields stop the upload

Our instructions take you step by step through the process of copying your existing data in a way that SmartTurn can read it. We also provide
the following resources that you will need:
► A reference table for the data field definitions used in the worksheet
► Tips and suggestions for a successful upload




---------Basic Concepts to know before uploading your data to SmartTurn--------
SmartTurn wants to make it easy for you to transport and maintain your data between your accounting application and SmartTurn WMS.
Before starting, there are six basic concepts to keep in mind:

► REFERENCE DATA - Some data fields in SmartTurn rely                 Mass Upload Sequence:

-------Steps to Complete the Locations Worksheet---------
What to Expect: Depending on the number of warehouses, locations, and condition of your existing location data, SmartTurn expects this
process to take anywhere from 1-2 hours. The process involves extracting data from the system you are currently using to track locations, re-
arranging a copy of this data to conform to the SmartTurn upload system, and uploading.




1. Check to make sure you have your warehouses set up in SmartTurn. Log in to SmartTurn. Go to                        My Account up above. In the
Default Warehouse field at the top, note the selection. (The warehouse selected as your default warehouse is the warehouse for the Locations
in your upload. You can change this as needed for each upload.)
Then, click the drop-down menu to see what other warehouses are listed. If it is a complete list, you can proceed with preparing the Locations
template. If it is not a complete list, add any Warehouses that you need to add.

>>To add additional warehouses, Go to Administration > Warehouses and click Add. Complete the details there to add your warehouse.



2. Obtain an electronic version of your existing data. Make a copy of an existing spreadsheet of your location data. (It might be helpful
to print this out so you can clearly see the names of the columns your existing spreadsheet uses.) Many accounting packages have an export
feature to facilitate this process.

If you do not have your data in electronic format, you may elect to use this spreadsheet for data entry, or enter data using the Administration
tab in SmartTurn.



3. Open the import template. Look at the Locations tab in this file. (It might also be helpful for you to print this out so you can clearly see
the names of the columns SmartTurn uses.)

                                                                      for the field, whether the filed is required or optional, etc.

4. Complete the SmartTurn Upload Spreadsheet. For each column header in the SmartTurn Locations tab, match a column header in the
existing spreadsheet containing your locations data. Notice that the column headers are different colors. The fields that correspond to the
column headers are either optional or required. Click into the cell to see more information in a pop-up:
►Required fields are denoted by Red column headers. These fields must be completed for a successful upload.
►Read-only fields are denoted by Blue column headers. Leave these fields blank. (The upload will ignore any data you enter.)
►Optional fields are denoted by Black column headers. You may leave these fields blank, but leaving them blank enters the default state for
this field. Click into the column header for more information on the default state for that column.




5. Upload the SmartTurn spreadsheet. When your spreadsheet is complete, log in to SmartTurn
a. Check up above at the top of the screen to make sure you are not in the All warehouse context. If the Warehouse drop-down in the grey
area at the top of the screen says, "All warehouses," select another warehouse from the drop-down.

b. Go to     My Account and verify that the warehouse for this batch of locations is currently the default warehouse. (See Step 1, above.)

c. Go to Administration > Locations and click the Import icon. Follow the Excel prompts to browse for the file and complete the upload.

-------Location Field Names and Definitions---------

Location Fields                                Field Definition and Value Restrictions (if any)
Action                                         Required: This field pertains only to the spreadsheet upload. It tells
                                               SmartTurn whether to CREATE, UPDATE, or IGNORE the data in this
                                               row while uploading.
                                               CREATE means data in this row is all new, and not an update
                                               UPDATE means data in this row is an update to a SmartTurn record
                                               IGNORE means data in this row should be ignored by SmartTurn upon
                                               upload. This is especially helpful when updating your data en mass. You
                                               will be able to export a snapshot of your data into this spreadsheet and
                                               update just the line items that have changed.
                                               Note: The values are not case sensitive


Location                                       Required: This is the name of your Location. The Location name should
                                               be a unique name in SmartTurn.
Location type                                  Required: this is the type of location. It can have one of five different
                                               values:
                                               -->Door: a loc where there is a door
                                               -->Forward: a loc you pick from
                                               -->Staging: a loc where you organize goods/boxes for putaway or
                                               shipment
                                               -->Storage: a loc used for storage
                                               -->WIP: a loc used for assembly or manufacturing
Capacity status                                Read Only: This field is not used during mass Import. Please leave it
                                               blank. The SmartTurn system determines whether the location is being
                                               used currently, based on inventory you add to it in other modules. When
                                               you EXPORT this field, it will have one of three values: "Empty", "Full" or
                                               "In use". On import, however, SmartTurn ignores any value you might put
                                               into it.
Adjustable                                     If the quantities in this location can be adjustable, enter a value of "True".
                                               Otherwise, enter "False". If left blank, this field defaults to TRUE.


Put away                                       If goods can be putaway in this location, enter a value of "True".
                                               Otherwise, enter "False". If left blank, this field defaults to TRUE.
Pickable                                       If goods can be picked in this location, enter a value of "True".
                                               Otherwise, enter "False". If left blank, this field defaults to TRUE.
Owned                                          If the contents in this location are owned by a 3rd party, enter a value of
                                               "True". Otherwise, enter "False". If left blank, this field defaults to TRUE.

Bonded                                         If the contents in this location are Bonded -- meaning they have been set
                                               aside for some type of inspection or payment requirement -- enter a
                                               value of "True". Otherwise, leave the field blank. If left blank, this field
                                               defaults to FALSE. (Note: Both owned and non-owned locations can be
                                               bonded.)
Maximum Capacity (in Eaches)                   If you want to set a capacity limit for this location, enter the maximum
                                               capacity of Eaches you will allow.

                                               If you don't want to limit capacity for this location, leave this field blank.

Maximum Capacity (in Weight)                   If you want to set a capacity limit for this location, enter the maximum
                                               capacity (in Weight) you will allow.

                                               If you don't want to limit capacity for this location, leave this field blank.

Weight Unit                                    Enter the abbreviation for the physcial unit for the maximum capacity in
                                               weight.

                                               Possible values are: US ton (enter "us tn"), carat ("ct"), gram ("g"),
                                               hundred weight ("hw"), kilogram ("kg"), metric ton ("mt"), ounce ("oz"),
                                               pound ("lb").

                                               If left blank, defaults to the tenant reference unit for weight if this is a new
                                               location, or the existing weight unit if this is an update for an existing
                                               location.

                                               This column is only relevant if you enter a value for Maximum Capacity
                                               (in Weight).

Maximum Capacity (in Cube)                     If you want to set a capacity limit for this location, enter the maximum
                                               capacity (in Cube) you will allow.

                                               If you don't want to limit capacity for this location, leave this field blank.

Cube Unit                                      Enter the abbreviation for the physcial unit for the maximum capacity in
                                               cube.

                                               Possible values are: cubic centimeter (enter "cm^3"), cubic foot ("ft^3"),
                                               cubic inch ("in^3"), cubic meter ("m^3"), cubic yard ("yd^3"), fluid ounce
                                               ("fl oz"), gallon ("gal"), liter ("l"), pint ("pt)", quart ("qt").

                                               If left blank, defaults to the tenant reference unit for volume if this is a
                                               new location, or the existing volume unit if this is an update for an
                                               existing location.

                                               This column is only relevant if you enter a value for Maximum Capacity
                                               (in Cube).


Maximum Capacity (in Pallets)                  If you want to set a capacity limit for this location, enter the maximum
                                               capacity (in Pallets) you will allow.

                                               If you don't want to limit capacity for this location, leave this field blank.

-------Tips for a Successful Location Data Upload to SmartTurn---------
► Turn off filters: If you use filters in your spreadsheet to review data, please disable them in the SmartTurn Locations worksheet before you
upload to SmartTurn.

► Deactivate Sorting: If you use sorting in your spreadsheet to review data, please disable it in the SmartTurn Locations worksheet before
you upload to SmartTurn.

► Freeze Panes: When you review the data you paste into the SmartTurn Locations worksheet, you can use the default Freeze Panes
formatting to examine your data. This tool will help you carefully review the data by showing each record in close proximity to the column
headers and required record information. If you are unfamiliar with Freeze Panes, see Microsoft Excel Help.



► Automate if possible: Consult your accounting software package to see if you can export data in the same format required by SmartTurn.



► Examine twice, Copy & Paste once: To borrow from an old carpenter's rule, make sure your data records are clean and correct before
pasting them into the SmartTurn Locations spreadsheet. This is crucial for handling the data in a way that will prevent overwrites and losses.

► Best Practice is to use the "IGNORE" command only in Optional fields: For instance, if you key "IGNORE" into the Company Name
during an update, SmartTurn will not know which record to update.




► If an upload fails, SmartTurn provides up to 11 specific error messages: In the event that your data upload fails, the SmartTurn
system provides error messages that describe what records are causing the failure. If you have a large amount of records, there could be
numerous errors. SmartTurn provides up to 11 specific errors messages, based on when in the sequence they occurred. If you correct 11
errors, and then subsequent uploads fail, you can refer to any new error messages to guide your next corrections.

► SmartTurn can import up to 1,000 records with this template: Please limit each upload to 1,000 records.


► SmartTurn prevents you from Adding or Deleting rows and columns in the template: SmartTurn has protected the upload template
against adding or deleting rows. Paste additional rows at the bottom of the data instead of adding rows. Instead of deleting rows with incorrect
data, fix the data, or key in "IGNORE" in the action column.

Instructions for
Updating Your Locations Data
This tab includes instructions you should follow to successfully use this template to update Locations records that already exist in SmartTurn.
With one upload, you are communicating updates of up to 1,000 records across various modules within SmartTurn.

Please read these instructions prior to updating so that you can gain an understanding of what is required during the update process, and how
it's different from uploading the data for the first time. The key concepts to remember for updating are:
► You must already have location records in SmartTurn in order to make updates
► Simplify the task of updating by starting from a SmartTurn Export file
► Be careful about leaving blank cells in updates
► The Action column contains "UPDATE" for all records you are updating


---------Basic Concepts for Updating Location Records in SmartTurn--------
► MAKE SURE YOUR LOCATION DATA IS ALREADY ESTABLISHED IN SmartTurn - When you update records in SmartTurn, you will be
modifying data that already exists in SmartTurn. For instance, if you upload an update for a location that doesn't currently exist in SmartTurn,
the update will fail.


► START FROM a SmartTurn EXPORT FILE - The simplest way to proceed with an update to location records is to modify a file of location
records that you have just exported from SmartTurn. This ensures that you will know what information is currently in SmartTurn. You can then
change the data accordingly. For instance, if you have changed the type of one of your locations, you can work from a SmartTurn export file
and change only the Location type field in that row.

Another important advantage you have when starting your update from a SmartTurn EXPORT FILE is that SmartTurn provides the unique
identifier (Location Name). You won't have to worry that your data doesn't exactly match (which is essential for a successful update).

SmartTurn Export files fill the Action column with IGNORE. This is another reason that starting with a SmartTurn Export file works to your
advantage: you only have to change the value in the Action column (to UPDATE) for rows/records that you want to update. You can leave all
other Action cell values as IGNORE, and proceed with the upload.




► BE CAREFUL ABOUT BLANK CELLS IN UPDATES - When you leave cells blank in updates, you run the risk of erasing existing data. If
you start from a SmartTurn export (see above), the cells will be populated with current data, and you will leave that data there to upload again.
Alternatively, you can enter the word "IGNORE" into any cells you don't want to change. This instruction tells SmartTurn that you want the
existing data to remain the same. For instance, if you change the type of one of your locations, you can tab over to the Location type cell in an
Location export template and enter the new data. But if, in the process of tabbing, you accidentally erase the Maximum Number of Eaches...
that you provided, SmartTurn will read that as having changed the location capacity. On non-required fields, SmartTurn doesn't prevent you
from blanking out a field where there was data before. The system assumes it was intentional.




► The Action column contains "UPDATE" for all records you are updating - When you are making updates to a location record in
SmartTurn, the field you will be starting with is the Action field. Action is the first column on the left, and is important because it tells SmartTurn
what you want to do with the entire row of data. When you are making an update, you begin your changes to a record by keying in "UPDATE" in
the Action column. Then you can work your way through the row to the right, leaving existing data as is, or overwriting it with new data as
appropriate.

Note: If you enter CREATE in the Action column for a record with a unique identifyer that already exists in SmartTurn, the upload will fail.




-------Tips for a Successful Locations Update to SmartTurn---------
