Introductions & Announcements
Everyone introduced themselves.
NM TraCS Update
1. New Features in TraCS – Latest Fix – Daniel informed everyone that the last release of the NM TraCS
forms should be installed ASAP if not already. This release addressed the printed version of the NMDOT
copy of the Crash report. Jimmy Montoya stressed how important it is that everyone upgrades their users
so NMDOT will receive the correct version. Almost everyone is 100% complete with the upgrades. There
are only a few stragglers with some of the agencies but are working on getting them upgraded ASAP.
Versioning – Daniel explained how the versioning will now be implemented in all future TraCS releases.
Contact Manager Custom Extended Search Criterion – Chris Smead had informed Daniel on how to
set this feature up. Daniel briefly explained the basics to everyone and will distribute a document
outlining the details. Each agency is to report back to Daniel once the document is received and if this is
II something they would like to implement
2. Monthly TraCS Numbers Year End Report - Daniel reported that all agencies are up to date with the
exception of McKinley Co SO and Rio Arriba SO. Reminded everyone that the numbers are due on the
15 of the month for the previous month. He also reminded everyone that December 2009 numbers are
due this Friday (Jan 15 ). This will complete the year and a yearly report will be created and sent to
DOT/TSB and each agency.
3. New Agencies – Everyone was informed that the Eunice PD will be coming online soon. Their Project
Agreement has been approved by DOT/TSB. BCSO will begin reusing the citation in TraCS very soon..
Their traffic unit will have a refresher training in Feb. SFSO now has their TraCS server set up and will
train their traffic unit in early Feb was received and will be implemented.
4. Agency Web Pages Update Content – The agencies were notified that their agency’s web page on

nmtrafficrecords.com needs to be reviewed and updated provided to Daniel if necessary.
5. Demo of the TraCS Update Website – Felice demoed the TraCS Update Website to show how the new
features have been implemented for the Super User Layer (NMDOT Staff). Showed how the search
feature worked if an agency was looking for a specific number. The enhancements to the reporting
portion were demonstrated. Keith asked if he could assign different maximum number of DWI Citations to
different Officers. The majority of the DWI Citations are issued by the DWI unit. They will need more
numbers than a regular patrol officer. It was determined this is a new requirement and Felice will
research. She believes this can easily be done by allowing the Lead to split their Agency. Everyone loved
the demo and is ready for the system to be online. Felice announced there would be a testing session
once the website has been approved and everything is migrated to the new location.
6. Regional TraCS Training – Daniel informed everyone that Regional TraCS training will be on an as
needed basis. If agencies have an officer that needs training and they are to notify Daniel and the officer
will be put on a list. Once there are 5 names on the list the training will be scheduled. Also if there is
another training being held by another agency and with their approval the names on the list will be
contacted to see it they can attend that training. Almost everyone wanted to have a TraCS Admin
training. The TraCS Admin training will be a 4 hour class and was tentatively set for Feb 11 at the APD
Training Center. Keith Bergsten is checking on the availability of the training room and will reserve.
Daniel will conduct the class and put together the lesson plan.
NM Forms – Discussion
1. Printing of Citation Number in Signature box on Court Copy – Ben Arnold had sent word thru Daniel
that he would like to see the citation number printed in the signature box of the Court Copy. This way he
can take the Court Copy to the car and have the driver sign that copy and then scan it into the TraCS
system. It was determined that since it is the Court Copy and the Officer is turning the original signature
III into the court it’s not an immediate need. Everyone would like to see this done in the next release of the
NM TraCS Citation. Daniel will research and make an assessment as to the work that will be required
and double check with the courts to make sure the change will be acceptable.
2. CMV Inspection Form – This form will be implemented in to the NM TraCS Pack if the pilot with MTD is
successful. MTD will do a 90 day pilot with the form and will make the determination at that time if it is
actually functional. Waiting on final word from TBS to begin form integration.
1. Law Enforcement -
APD – Keith Bergsten reported that all the equipment from the most recent Project Agreement has been
purchased. This will outfit over 500 officers for APD. It will take about 6 months to get everyone installed
and trained. Jimmy informed Keith that APD just ordered a large sum of paper crash reports. Keith will
check into the number of paper forms that were ordered because once this last phase gets installed and
trained everyone will have the ability to complete their crash reports using TracS. The need for paper
forms will be dramatically decreased.
DASO - Lt Chris Smead reported they are having a major failure rate with the HP Printers. HP is very
slow on the replacement of the printers even though they have a 3 year replacement warranty. The
message they get on the printer is the ink reset module needs to be replaced. Conversation turned to a
discussion on printers. Almost every agency is having a problem with the HP printers. Daniel will head up
the sub committee to research printer options and come up with a plan. DASO requested a new printed
crash report. They need a redacted crash report to supply to the media. Currently the admin staff prints

reports black out the sensitive data and make a copy. Other agencies agreed that this would be
beneficial and would like to see the Incident report as a redacted report as well. Daniel said this could be
done but there would need to be a requirements gathering meeting to ensure which data elements would
need to be redacted. Daniel will also check into the Freedom of Information Act. Sgt Dave Testa
reported that the Motor Transportation violations in Chapter 65 are not included in the new citation
violation search. Daniel will research and get back with Sgt Testa on a resolution.
DPS – Captain McShan reported that DPS now has a connection to the Albuquerque metro court and
are ready to transfer data from TraCS. Daniel stated that he has sent a document to TSB and is waiting
approval to send it to Mr. Tapke. Once Mr. Tapke has received the document and is ready to move
forward it will take a couple of weeks to get this into production. Cosmic Narvaiz contract was discussed
and the support for TraCS at DPS is up in the air. MTD is waiting on the implementation of the
commercial vehicle inspection integration into the NM TraCS pack. Daniel reported that he met with MTD
Major Cordova and they discussed a 90 day pilot with MTD. Daniel will follow up with the CMV inspection
and update Captain McShan. Captain McShan would still like to see the TraCS program auto generate
citation numbers to eliminate the current numbering process. Daniel agreed and stated that the TraCS
Update Website is a step in the right direction. To achieve this in TraCS will take some effort. DPS also
needs a better mounting solution for their patrol cars so they can work out of the right side of the patrol
Rio Arriba – Sgt Martin Trujillo reported that some wreckers are not on the wrecker list. Daniel said he
was aware of this and keeping a list of all wreckers for every agency is very difficult. This is a feature that
will be included in a future phase of the TraCS Update Website. This will allow each agency to maintain
their lists. They also had an officer leave and will be hiring a new officer very soon. They will need to
have the new officer trained and will let Daniel know.
Rio Rancho – Lt Gary Wiesman reported that the citation no longer defaults to MPH and MPH Zone if a
speeding ordinance is selected. Daniel will look into this and believes it is a setup issue with the violation
table for Rio Rancho. They are close to getting their Motorcycles installed with TraCS. Want to train
some more officers on the software. They really want a training environment so the officers can scan
DL’s and issue citations. Keith offered their training room which is set up with scanners and mag stripe
readers on all the computers.
SPFD – Betty Jo Tofay reported that Lydia Lioce retired at the first of November. They rolled out an
additional 14 officers at the end of Dec. They have about 25 additional officers to have 100% of their
staff trained on TraCS. She will be assessing the equipment needs for the Officers to complete their
rollout. Felice will draft instructions for class setup and patrol car setup.
TTPD – Sgt. Steven Encino reported they had a new officer trained during the SFPD training.
Occasionally have issues with end-shift files. Daniel said to send the files to him because he can usually
resolve these issues by looking at the file. They are still having some issues with the GoBooks and are
still deciding on the next steps.
2. NM DOT – Jimmy Montoya stressed how important it is to get all officers on the new TraCS crash
report. Also that all printed forms should now be on the newest form. The new Excel file will be on the
DOT cite with code tables. The new Excel file is already on the nmtrafficrecords.com site. If officers are
using this file please download the new Excel file
