Mission

The mission of Weaver Trucking is to move goods in a timely, efficient and safe manner.

Purpose

This IT policy manual describes the guidelines that Weaver Trucking employees must

adhere to concerning the technology here within, but not limited to and how it may be

used to serve the customer to the best of their ability while protecting assets legally,

financially, and respectfully.


                                    Hardware
Overview

Weaver Trucking believes in knowing the strengths and weaknesses of its company.

Therefore, it is not afraid to outsource certain things that are vital portions of our
company, but cannot be handled from within. In this case, that would be the hardware

issues.

Acceptable Use

Hardware is solely for business purposes as to what pertains to the position within the

company. Reconfiguring of any hardware is not permitted, if there any problems, please

Security

In order to make the most out of the investment that is computer hardware, adding any to

one of the terminals is not acceptable without express consent from the IT professional to

whom our issues are outsourced.


                                       Software
Overview

Weaver Trucking uses an enterprise wide software application especially for the trucking

industry. This application runs Dispatching, Accounts Payable, Accounts Receivable,

Payroll, Driver Logs, Fuel and Mileage Reporting.

Depending on your position in the company, decides which parts of the above listed

software that is accessible. For Dispatchers, they have access to Dispatching, Driver

Logs, Fuel and Mileage Reporting since they have to input the data given to them by the

drivers. Accounting/Bookkeeping has access to Accounts Payable, Accounts Receivable,

and Payroll. The Office Manager has access to all of the above. The above chart graphs

how much of the overall program that each type of employee has access to.

Security

In order to try to stay compliant on all software licensing, Weaver Trucking tries to keep

software to a minimum. However, one must have piece of software is McAfee to protect

from spy ware and keep our records and activities confidential.


                             Customer Data
Overview

Weaver Trucking would not exist without the customers who put their money and

merchandise faithfully into our hands. Therefore, the utmost integrity must be shown

when it comes to their information such as billing information, payment methods,

payment history, sales history, and store locations.

Acceptable Use per Department

Truck Drivers

Truck Drivers will know where they need to be and at what time. They are also

responsible for keeping up with their Driver Logs.

Dispatchers
Dispatchers will have the times and locations of the pick ups and deliveries that need to

be made. They will also know what it is that is being transported on that particular day or

trip.

Accounting/Bookkeeping

Accounting/Bookkeeping will have access to all levels of billing information including

payment and sales histories and payment methods.

Office Manager

Office Manager will have access to all levels of customer data in order to keep the system

running smoothly in case of any mishaps.

Security

All files should be kept locked, especially billing and payments. User Id’s will be issued

and access codes will be given to those who need to retrieve the information in certain

areas as specified above. Any one found to be viewing information that they are not

cleared for will be reprimanded and can ultimately be terminated.

Privacy

Customer data is to be kept confidential to the utmost level. All employees must log in

and out when accessing customer data, any one found to have not logged out and

information compromised will be reprimanded and can ultimately be terminated.

                                     Internet
Overview

Weaver Trucking believes that hard work and determination are what will allow the

company to succeed. With that being said, distractions make it harder for the company to

do so by not being focused. There will be a firewall in place to limit the use of the

internet.

Acceptable Use

The Internet is to be used to further business practices such as finding directions for

drivers or downloading the newest security software. It is not to be used for personal use

during business hours or for any inappropriate activities.

Security

Every employee will be in charge of their own computer station and making sure that the

latest security software is installed in order to protect our customers and ourselves.

Electronic Monitoring

Periodically the Office Manager will review the history of each terminal to make sure

that these policies are being followed and no unauthorized usage is occurring. If it is

found that an employee is acting outside the policy, they will be reprimanded and can be

terminated depending on how severe their actions.

                                      E-mail
Overview

Weaver Trucking will supply each employee in the front office with access to an email

account for business purposes. These accounts will permit easier communication

company wide as well as to our customers.

Acceptable Use

Acceptable use is limited to business emails only. Personal emails are not permitted in

order not to compromise the integrity of the company if something were to be

inappropriate.

Security

Software will be provided that will check emails for viruses, worms, etc. The employee

is responsible for updating this software to keep from acquiring anything harmful.

Privacy

The privacy of emails extends back to customer data and what each department is

allowed to access. For instance, a dispatcher does not have access or the right to view

emails from/to customers about their bookkeeping.

Electronic Monitoring
The Office Manager has the right to read any email that is sent to or from company

accounts. Since it is not permitted for personal use, there should be nothing personal

there. If something is found in a periodical check of the email accounts, the employee

shall be reprimanded and can be terminated depending on the content of the email. Also,

the Office Manager will be reviewing the emails to make sure that a high level of

professionalism is being maintained to best serve the customers.
