            The importance of Change Management

    Without proper consideration for change management there is a risk
    of failing to achieve all project objectives
    SAP recognizes that change management is an integral part of an
    R/3 implementation and thus needs to be incorporated into ASAP


An R/3 change management must effectively address three strategic issues
in order to be successful:

     Minimize the implementation risks implicit in any systematic change
     initiative

     Accelerate the R/3 implementation process, and

     Align SAP with the organization, ensuring that the organization
     committing to SAP gains the unique return on information that SAP
     delivers

           Training Project Planning Phase
Purpose:
  Create a project team training plan
  Including business processes,
  SAP system functionality,
  and change management

Work package:
  Initial project planning for end user training and documentation
  Including aligning and analyzing the training and documentation
  strategy with the overall implementation strategy and Project Plan
1.3.1 Create Project Team Training Plan

Purpose:
  Create a training plan for the project team involved in the SAP
  implementation
  Once initital training is completed, the project team has much better
  understanding of basic SAP functions, how configuration works, and
  how to maximize SAP‘s impact to meet your business requirements
  This initial training does not cover user training – it will be addressed
  later in the implementation
Key factors:
  Background of each team member
  Specific area of business involvement
  Timing of their participation during the implementation

     Training plan schedule, and initial class registration for all participants,
     is completed

1.3.1.1 Review Suggestions from Pre-Implementation
Purpose:
  Use the information gathered during the sales cycle,
  or initial project planning,
  to help create the project team training plan
  and to assess training needs.

Steps:
   Gather information and suggestions from project pre-implementation
   activities

            1.3.1.2 Refine Training Course Plan
Purpose:
     Create a preliminary training plan and review it in accordance with the
     project team organization structure
     Resources should be assigned to the course locations and dates
     Training plan should include classes to be taken at SAP training
     centers, at customer locations, and other facilities

Steps:
1.   Determine application and technical courses required for the project
2.   Assign project team members to attend the courses
3.   Prepare the training course plan

      1.3.1.3 Register and Schedule Team Training
Purpose:
   Schedule and confirm registration of the project team members to their
   assigned courses
   Records should be maintained, documenting who has completed
   specific courses, and the training plan should be updated accordingly
Steps:
1. Register project team members either by:
   - Online Service System (OSS)
   - SAP Web page
   - Toll free number listed in SAP training manual
2. Obtain class confirmation from SAP
3. Communicate the dates, times, and locations to the team participants

                 and Team Building
Purpose:
     Provide the Project Team with the essential concepts
     underpinning organizational change management: organizational
     risk management, implementation acceleration, and
     organizational optimization
     Team building exercises may be included as part of
     organizational change management training
Steps:
1.   Perform needs assessment
2.   Select training resources
3.   Finalize content, approach, audience, and schedule

Purpose:
   Align the end user training and documentation strategy with the overall
   implementation strategy

        Tasks involved in
        this activity




     Complete when all members of the project are in agreement with the tasks
     and plans involved in developing and delivering the end user training and
     documentation project.
     1.3.2 Align End User T&D Strategy
     1.3.2.1 Review Implementation Project Strategy
Purpose:
     Set expectations among key stakeholders for the scope of the overall
     implementation project
     Begin to assess resource and schedule requirements to insure an end
     user training and documentation solution
     Key roles and responsibilities required to implement a successful
     strategy are defined
Steps:
1.   Identify key stakeholders and training team‘s relationship to other teams on the implementation
     project
2.   Review End User Training and Documentation Methodology with the Implementation Assistant
3.   Review company implementation strategy
4.   Compile information and determine how training is currently conducted
5.   Identify key metrics to measure the success of the end user training and documentation project
6.   Identify resource requirements and initial project budget

     Initital overall scope and resource requirements of the end user
     training and documentation project are identified

  1.3.2.2 Draft End User Training and Documentation
                  Needs Assessment
Purpose:
     Gather information that will be used to define the End User Training and
     Documentation Plan
     The needs assessment includes questions about the business impact and
     processes, project timeline, objectives, information technology infrastructure,
     end user audience, etc.
Steps:
1.   Review and modify the End User Training and Documentation Needs
     Assessment
2.   Identify appropriate resources to answer the assessment
3.   Conduct interviews
4.   Compile information gathered from the End User Training and Documentation
     Needs Assessment  Compile the End User T&D Plan

     This task is complete when a draft needs assessment is prepared,
     reviewed, and validated

1.3.2.3 Draft End User Training and Documentation
                   Project Plan
Purpose:
     Create an initial end user training and documentation project plan
     that identifies the tasks, milestones, and resources for Phases 1
     through 5
     This comprehensive project plan helps to ensure project quality,
     schedule, and budget requirements are achieved
Steps:
1.   Identify key tasks, milestones, and resources
2.   Update the End User Training and Documentation Project Plan with
     the details for Phases 1 and 2
3.   Compare the End User Training and Documentation Project Plan
     and the implementation project plan with the project manager
4.   Update the End User Training and Documentation Project Plan as
     needed
     This task is complete when a detailed End User Training and
     Documentation Project Plan for Phases 1 and 2, and a draft of the
     Project Plan for Phases 3, 4, and 5 exists

1.3.2.4 Develop End User Training and Documentation
                 Recommendations
Purpose:
     Develop the end user training and documentation
     recommendations based on the information collected in the End
     User Training and Documentation Needs Assessment
Steps:
1.   Review and organize information gathered during the End User
     Training and Documentation Needs Assessment
2.   Document initial scope, goals, and objectives of the end user
     training and documentation project
3.   Document end user training and documentation solution options
4.   Document cost and resource estimates to conduct further analysis
5.   Forward end user training and documentation recommendations
     to relevant personnel for discussion during the alignment meeting
    This task is complete when end user training and documentation
    recommendations are developed and forwarded to relevant personnel
     1.3.2 Align End User T&D Strategy
 1.3.2.5 Prepare and Conduct End User Training and
      Documentation Project Alignment Meeting
Purpose:
     Present the end user training and documentation plan to key
     stakeholders to set expectations, and to obtain agreement
     This meeting is intended to reach consensus on the overall end user
     training and documentation project and to ensure that the plan meets
     the projects goals and objectives
Steps:
1.   Draft alignment meeting agenda
2.   Develop a presentation based on the End User Training and
     Documentation Plan
3.   Conduct alignment meeting

    This task is complete when agreement has been reached on the End
    User Training and Documentation Plan and all feedback has been
    incorporated
