									                                  HOW TO USE "WORK SCHEDULE"
This template will help you create monthly shift schedule.




Each worksheet has za Help button.

Do not enter data in cells with gray background!

Workbook contains 5 worksheets.

1. Instruction - current worksheet
2. Data Input - worksheet where you start creating the schedule.




2.1. Employee Count


                              Enter employee names in the region with blue border.

                              DO NOT change the values circled in red.




2.2. Shifts


                              Enter the shift names in the area with blue border

                              Keep the shift names short.
                              Number of shifts will be displayed in the cell, circled in red.


                              DO NOT change the values circled in red.
2.3. Shift Requirement
                             In the column next to the shift names, enter the requirement for each shift. Shift req
                             which represents the number of employees needed for specific shift. Enter shift requ
                             with blue border.




2.4. Shift Duration


                             Not implemented yet



The following values are calculated from the entered data.

No. of groups - each employee is assigned to a group (number is calculated automatically when you click Calculate
Max. requirement - maximum requirement from the list of requirements
Min. requirement - see above
Requirements Total - this number has to be lower then the number of all employees


When you finish entering general data, click the Calculate Groups (1) button.




When the values are calculated click the Arrange Employees button and Groups worksheet will be displayed.

3. Groups

This worksheet contains the names of employees (1), which are arranged to the groups, based on the requirement
If you're not satified you can manually move the employees from one group to another.

WARNING: Each group can contain a fixed number of employees (number is written above the group n
picture in 1).

Click on the Next button to continue. If you want to change the shifts, values, employees click the Reset button an

4. Schedule

Schedule worksheet contains a couple of more data you need to select to create a schedule.
Select the month (1) and year (2) of the schedule and click Create Schedule to create the schedule.




You can also click on Print and the create schedule will be printed.

5. Settings

Settings worksheet contains data, necessary for creating the schedule.
DO NOT change the data on this worksheet!


6. FAQ

Q: On Groups worksheet there is a Unarranged groups - what is that?

A: Unarranged group contains employees that couldn't be assigned to a group.

Q: Some groups are on the schedule a couple of times on one day - why?


A: The reason for that could be: low number of employees, strict requirements.

Q: There is a "NO GROUP" caption on the schedule.

A: It means that there are not enough groups to create a schedule - refer to the above answer.
