Import Instructions for Business Affiliate Data
(Customers, Vendors, Owners, Carriers, or Brokers)
This tab includes instructions you should follow to successfully upload your data into SmartTurn. Uploading your business affiliate data saves
time because you enter data once and then see it offered as choices in appropriate places throughout SmartTurn. For instance, when you create
Sales Orders, you'll be able to make one click to pick from a list of your Customers instead of keying in the contact data, etc., each time. With
one upload, you are communicating data across various modules within SmartTurn.

Please read these instructions prior to upload so that you can gain an understanding of what is required during the upload process, namely the
following key concepts:

► Formatting constraints on the data spreadsheet

Our instructions take you step by step through the process of copying your existing data in a way that SmartTurn can read it. We also provide the
following resources that you will need:
► A reference table for the data field definitions used in the worksheet
► Tips and suggestions for a successful upload

---------Basic Concepts to know before uploading your data to SmartTurn--------
SmartTurn wants to make it easy for you to transport and maintain your data between your accounting application and SmartTurn WMS. Before
starting, there are two basic concepts to keep in mind:

---------Steps to Complete the two Worksheets in this Import Template----------
What to Expect: Depending on the size and condition of your existing business affiliate data, SmartTurn expects this process to take anywhere
from 1-2 hours. The process involves extracting data from the system you are currently using to track business affiliates, re-arranging a copy of
this data to conform to the SmartTurn import system, and uploading.


1. Obtain an electronic version of your existing data. Make a copy of an existing spreadsheet of your customer, vendor, owner, carrier,
and/or broker data. (It might be helpful to print this out so you can clearly see the names of the columns your existing spreadsheet uses.) Many
accounting packages have an export feature to facilitate this process.

If you do not have your data in electronic format, you may elect to use this spreadsheet for data entry, or enter data using the Operations tab in
SmartTurn.



2. Open the import template. Look at the BusinessAffiliatesData tab in this file. (It might also be helpful for you to print this out so you can
clearly see the names of the columns SmartTurn uses.)


                                                                               Tip: The column headers contain information. Click column
                                                                               header cell in the BusinessAffiliatesData worksheet to see important
                                                                               information about values for the field, whether the field is required or
                                                                               optional, etc.




3. Complete the SmartTurn Template worksheets. For each column header in both the BusinessAffiliatesData tab and the
BusinessAffiliateAddresses tab, match a column header in the spreadsheet containing your existing data. Notice that the column headers are
different colors. The fields that correspond to the column headers are either optional or required. Click into the cell to see more information in a
pop-up:
►Required fields are denoted by Red column headers. These fields must be completed in every row regardless of which type of business
affiliate you are importing. The one exception is if the Action column contains "IGNORE", then you can leave other required fields blank.
►Optional fields are denoted by Black column headers.
►Conditionally required fields are denoted by Blue column headers. These fields must be completed if you choose to provide data for some
optional fields.




Tip: Reconcile your column header names with SmartTurn. Make note of any differences between the column header names in your data
and the column header names in the SmartTurn worksheets. Also, make note of any extra or missing columns in your data set. Include all
SmartTurn column headers in the upload, exactly as in the SmartTurn worksheets.

Please note that you only use the BusinessAffiliateAddresses tab if you have addresses other than the Main Address to use for the Ship To/Ship
From/Bill To/Pay To addresses. The Main Address fields are on the BusinessAffiliateData tab, and SmartTurn uses it by default for all of the Ship
To/Ship From/Bill To/Pay To addresses. If you do have additional addresses to use for Ship To, Ship From, Bill To, and Pay To, you synch up the two
worksheets by making sure that any business affiliate listed on the BusinessAffiliateAddresses tab is also listed on the BusinessAffiliateData tab.
 In the case where you are creating all new business affiliate data, the Action column for both worksheets should contain "CREATE". See more
information about what is required by clicking into the column headers, reading through the Field definitions (below), and reading through the
Update Instructions tab.

4. Upload the SmartTurn spreadsheet. When your spreadsheet is complete, go to Operations>Business Affiliates and click the Import icon.
Follow the Excel prompts to browse for the file and complete the import.

Company Name                                      Required: This is the name of your Business Affiliate's company.

Company ID                                        Required: This is the unique ID for the Business Affiliate's company.
                                                  This corresponds to "Code" in SmartTurn. It must be unique across
                                                  all business affiliates, regardless of type (customer, owner, etc.)

                                                  It is likely you are already using a code as an internal ID for each of
                                                  your Customers, Vendors, etc. If so, enter it here. If not, you must
                                                  define a code at this time for SmartTurn.


BA Owner                                          Optional: The company name of a valid, active business affiliate of
                                                  type Owner AS IT EXISTS in SmartTurn.
                                                  If set, only users that are agents for the tenant, agents for this
                                                  business affiliate, or agents for the Owner listed here have access to
                                                  this business affiliate.
                                                  This field allows you to group business affiliates under one business
                                                  affiliate of type Owner. This is most useful if you are running a 3PL
                                                  (3rd Party Logistics) operation.
                                                  NOTE: If you want to create an owned business affiliate, and you
                                                  specify the BA Owner, you must also specify the BA Owner code,
                                                  and they must refer to the same business affiliate. However, only the
                                                  BA Owner Code is required for setting up an owned business
                                                  affiliate.

BA Owner Code                                     Optional: The company name of a valid, active business affiliate of
                                                  type Owner AS IT EXISTS in SmartTurn.
                                                  If set, only users that are agents for the tenant, agents for this
                                                  business affiliate, or agents for the Owner listed here have access to
                                                  this business affiliate.
                                                  This field allows you to group business affiliates under one business
                                                  affiliate of type Owner. This is most useful if you are running a 3PL
                                                  (3rd Party Logistics) operation.

                                                   switches to an inactive status, you can easily change this status in
                                                   SmartTurn by going to Operations>Business Affiliates. If you leave this
                                                   field blank, and Type: Vendor field is TRUE, then SmartTurn will
                                                   assume by default that the vendor is ACTIVE.


Business Affiliate Type: Owner                     Required: A business affiliate can be multiple types. Enter TRUE or
                                                   FALSE for each business affiliate type for the company on this row.

Broker Status                                      Optional: This field lets you specify whether your broker record is
                                                   for a broker you are currently working with (ACTIVE) or whether the

                                                   switches to an inactive status, you can easily change this status in
                                                   SmartTurn by going to Operations>Business Affiliates. If you leave this
                                                   field blank, and Type: Broker field is TRUE, then SmartTurn will
                                                   assume by default that the broker is ACTIVE.


Main Contact First Name                            The first name of your Main Contact.
Main Contact Middle Name                           The middle name of your Main Contact.
Main Contact Last Name                             Conditionally Required: The last name of your Main Contact.
                                                   Please provide a Main Contact Last Name value as the minimum input
                                                   for a Main Contact. In other words, contact data is optional, but if
                                                   you provide other contact data (email, first name, etc.) without a Main
                                                   Contact Last Name, the import will fail.

Main Contact Job Title                             The job title of your Main Contact.
Main Contact Email                                 The email address for your Main Contact.
Main Contact Phone Number                          The phone number of your Main Contact.
Main Contact Fax                                   The fax number of your Main Contact.

IMPORTANT: SmartTurn uses the Main Address from the BusinessAffiliatesData worksheet as the default Ship To/ShipFrom/Bill To/Pay To addresses
UNLESS you specify otherwise in the BusinessAffiliateAddresses worksheet (see below). Entering data to the Main Address fields in the
BusinessAffiliatesData worksheet without entering data in the BusinessAffiliateAddresses template is essentially the same as checking the box,
"Main as [Address Type]" in each of the address tabs at Operations>Business Affiliates>Edit Business Affiliate.
Main Address First Line                                                      The first line of your Main Address. (Not necessarily the address of
                                                                             the Main Contact.)
Main Address Second Line                                                     The second line of your Main Address.
Main Address City                                                             The city of your Main Address.
Main Address State                                                            The state of your Main Address. Must NOT be abbreviated. Please
                                                                              fully spell out the name of the state. ***If you make a mistake with
                                                                              spelling out the state name, SmartTurn will continue to import the
                                                                              record, but without location data. You can then later go into
                                                                              SmartTurn and correct the record.
Main Address Postal Code                                                      The postal/zip code of your Main Address.
Main Address Country                                                          The country of your Main Address. Must be ISO standard. Go to:
                                                                              http://www.iso.org/iso/en/prods-services/iso3166ma/02iso-3166-
                                                                              code-lists/list-en1.html ***If you make a mistake with the ISO
                                                                              Country code, SmartTurn will continue to import the record, but

IMPORTANT: You only need to use the BusinessAffiliateAddresses worksheet if you are NOT using the Main Address for all of the Ship
To/ShipFrom/Bill To/Pay To addresses. If you don't specify another address, SmartTurn defaults each of the Ship To/ShipFrom/Bill To/Pay To addresses
to the Main Address from the BusinessAffiliatesData worksheet.

                                                                              different addresses used for different functions, you can specify that
                                                                              a particular address is for shipping to, shipping from, billing, or
                                                                              payments. Valid values are below. (Note: these values are CASE
                                                                              SENSITIVE):

Instructions for
Updating Your Business Affiliate Data
This tab includes instructions you should follow to successfully use this template to update Business Affiliate records that already exist in
SmartTurn. With one upload, you are communicating updates of up to 1,000 records across various modules within SmartTurn.

Please read these instructions prior to updating so that you can gain an understanding of what is required during the update process, and how
it's different from uploading the data for the first time. The key concepts to remember for updating are:
► You must already have business affiliate records in SmartTurn in order to make updates using these worksheets (you can also import
business affiliate records for the first time with this spreadsheet, but the instructions below pertain to updates only)
► Be careful about leaving blank cells in updates
► If you are updating any of the Ship From/Bill To/Ship To/Pay To addresses, the upload still requires data in both worksheets
► The Action column contains "UPDATE" for all records you are updating


---------Basic Concepts for Updating Business Affiliate Records in SmartTurn--------
► MAKE SURE YOUR BUSINESS AFFILIATE DATA IS ALREADY ESTABLISHED IN SmartTurn - When you update records in SmartTurn,
you will be modifying data that already exists in SmartTurn. For instance, if you upload an update for a vendor that doesn't currently exist in
SmartTurn, the update will fail.


► BE CAREFUL ABOUT BLANK CELLS IN UPDATES - When you leave cells blank in updates, you run the risk of erasing existing data. If you
start from a SmartTurn export (see above), the cells will be populated with current data, and you will leave that data there to upload again.

For instance, be very careful not to include blank cells if you are making updates to fields found in both worksheets (BusinessAffiliatesData and
BusinessAffiliatesAddresses ). If this is the case, you would start the record with "UPDATE" in the Action column. When SmartTurn sees
"UPDATE" in the Action column, it will overwrite the existing record with corresponding field data in the worksheet. If a cell is blank when the
Action field is "UPDATE", SmartTurn overwrites the existing record with blank space. This scenario works both ways; if you are updating records
in the BusinessAffiliatesData tab, but not in the BusinessAffiliatesAddresses tab, be sure to preface any corresponding company names listed in
the tab you aren't updating with "IGNORE".




► If you are only updating any of the Ship From/Bill To/Ship To/Pay To addresses, the upload still requires data in both worksheets - When
you make updates to any of the business affiliate addresses found in the BusinessAffiliateAddresses worksheet, the BusinessAffiliatesData
worksheet must contain a row for each Company Name to which you are making address updates using the BusinessAffiliateAddresses
worksheet. Even if you are updating multiple addresses for a company, the BusinessAffiliatesData worksheet only needs to list the
corresponding Company Name row once.

If you are not updating the Main Address, or any of the other company data on the BusinessAffiliatesData worksheet, the Action field on the
BusinessAffiliatesData worksheet still contains "UPDATE". But before you update, make sure that your data in the BusinessAffiliatesData
worksheet is in synch with what is in SmartTurn, because SmartTurn writes the information in both worsheets based on the value in the Action
field of every row. Alternatively, type "IGNORE" into every cell to the right of the Action and Company Name fields. This way, SmartTurn will leave
existing information as is, without overwriting it with what is in the update rows in the BusinessAffiliatesData worksheet.
► The Action column contains "UPDATE" for records you are updating - When you are making updates to a business affiliate record on
either worksheet in the Business Affiliates Template, the field you will be starting with is the Action field. Action is the first column on the left, and
is important because it tells SmartTurn what you want to do with the entire row of data. When you are making an update, you begin your
changes to a record by keying in "UPDATE" in the Action column. Then you can work your way through the row to the right, leaving existing data
as is, or overwriting it with new data as appropriate.

If you are only updating any of the Ship From/Bill To/Ship To/Pay To addresses (using the BusinessAffiliateAddresses worksheet), SmartTurn
requires you to have a corresponding Company Name in the BusinessAffiliateData tab (see above). In this situation, enter "UPDATE" in the Action
