1.0 TEMPLATES
1.1 ADD ITEMS TO TEMPLATE
Utilize Favorites, Templates, and the Copy Requisition feature to make future P2P shopping easier.


          Templates do not apply to OfficeMax items. For OfficeMax, use Repeat Orders link on OfficeMax site.


Templates are sets of items purchased together regularly. Items can be added to templates during the Requisition
stage.

Templates streamline ordering process by storing a set of frequently ordered items for regular use.

1. From Review and Submit page, lick [Select All / Deselect All] to add all items to template.

       Name templates by commodity or vendor.

1.2 SHOP FROM TEMPLATES
Use Templates for repeat orders of multiple items. Templates must be created prior to shopping.

Requesters can add templates to a new Requisition. Template items can not be individually added to a Requisi-
tion.
         P2P automatically updates pricing for Perfect Commerce and UCSF Agreement Items.


         Go To Section 1.1 Add Items to Templates for more information on creating Templates.

2. Click     to expand line and display template items.

3. Click [Add] to add entire template to Requisition.


            You can add multiple templates to a Requisition.


4. Click [Review and Submit] to review and submit items.

           Go to Section III Steps for Shopping: 3.0 Prepare to Checkout and 4.0 Provide Ship and Pay Infor-
           mation to complete Requisition.

           Template pricing is automatically updated for UCSF Agreement Items and Perfect Commerce items.


           Templates do not apply for OfficeMax items. Use Repeat Orders link on OfficeMax website.


           Edit quantity of template items one by one on Review and Submit page.

1.3 SHARE TEMPLATES
On the Manage Personal Templates page, a Requester can share templates with other users, edit, and delete
templates.



To Share Templates:

1. Click [My Profile] from eProcurement menu.

2. Click [Manage Personal Templates] from My Profile page.

3. Check Allow Sharing checkbox to share template with other users.

4. Click [Share Details] to designate users.

5. Under Requesters section, type User ID of person with whom you want to share .

           DO NOT click checkbox for All Roles and Requesters nor share by Role Name, as it will complicate
           finding the correct template to copy on the Select Template list.

            To share with multiple Requesters, click     to add another User ID.


6. Click [OK].

7. Click [Save].




          Once template is shared, it is available to designated users to copy into their profiles. Shared Tem-
          plates are not automatically copied to designated users’ profiles.

          Email your User ID and Template Name to the person with whom you are sharing your template to
          make copying easier.

          Go to Section IV Shortcuts to Shopping: 1.4 Copy Templates for more information on copying tem-
          plates to your profile.

4. Under Source Template section in Requester field, type User ID of person from whom you are receiving the
   template.

       Items to be copied appear under Source Template section. All items in Template are selected by default.


7. Under Target Template section, type your own Template Name.

Template quantities can be edited from the Manage Personal Templates page.


1. From Manage Personal Templates page, click [View Details] for the Template you want to edit.

2.0 FAVORITES
2.1 ADD ITEMS TO FAVORITES
Favorites are individually saved items that can be grouped for future shopping. Items can be added to Favorites
during the Review and Submit stage of creating a Requisition.

1. From Review and Submit page, click checkbox next to items to add.

2. Click [Add to Favorites].

3. Click [Close] to Confirmation popup and return to Review and Submit page.

Favorites can be added to a Requisition individually or in a group.

To Group Favorites

1. Click checkbox to select items to group.

2. Click [Add to Favorites Group].
          Confirmation box appears alerting that items have been added to Favorites

2.3 SHOP FROM FAVORITES
Use the Favorites feature to quickly add repeat items to your shopping cart. Favorites list must be created prior to
shopping.


         Go To Section 2.1 Add Items to Favorites for more information on adding items to Favorites.



1. Select Favorites tab from P2P Add Items and Services page.

2. Click to expand chosen Favorites group to display individual items.

2.4 SHARE FAVORITES GROUP
On the Manage Favorites Groups page, a Requester can share favorites with other users, edit, and delete favorite
groups.

To Share Favorites:

1. Click [My Profile] from eProcurement menu.

3.0 COPY REQUISITION

As a Requester you may purchase duplicate items repeatedly. By creating a new Requisition with the Copy Requi-
sition feature, you can re-order the same goods using the same chartfields every time.

Templates and Favorites can only save items. The copy Requisition feature keeps your Fund/DPA and any other
chartfields you used on the Requisition and is useful when you regularly order the same items with the same fund.



1. Click   eProcurement to reach drop down menu for P2P eProcurement main menu page.

2. Click [Manage Requisition] to open Manage Requisitions page.

3.0 COPY REQUISITION

3. Click Select Action drop-down menu for Requisition to copy.

4. Select “Copy Requisition” from menu.

5. Click [Go].

            Copied Requisition opens to Review and Submit page. Requisition Name does not copy over.
