Guide to Uploading your Entries 2010

When you registered with ADFX you should have received the following message

To upload an entry please login to http://www.adfx.ie/awards/
Welcome page
Here you will find all the details of what must accompany your entry, the T&Cs, and you
can also access any entries you may have uploaded already.
Along the right hand side you will find a header called Your Entry, click on New Entry
found underneath.
Page 1 – General Information
Here you must fill in the title of the entry paper, client, campaign dates, and the
category you are entering said paper into.
Once you have filled out all of the required fields click on Next Steps.
Page 2 – Agency Details
Fill in the lead agency entrant details (Your agency); you must also credit any agency
that was involved in putting together the paper.
Page 3 ‐ Client Details
Here you must confirm you have read the T&Cs and provide all client details as
requested. An email will then be sent to the client to confirm we have received an ADFX
entry and that they have given permission.
Page 4 – Upload your entry
Your entry paper for judging should be uploaded as a PDF following the compulsory
template outlined in the guide to entering and on the ADFX website. In a change to 2008
your graphs, data, evidence should be presented in the body of the entry. NB Creative
work will be uploaded as separate. Any entry with a word count over 4,000 will not be
accepted, and your total word count should appear on the front page.
A second version of your entry should then be uploaded as a word document – this will
be the case study that is printed in the book and available online. Please clearly mark on
the front page that this version is for print. All artwork, data etc... to be published
should be supplied on a disc clearly marked to the IAPI offices.
You may put a number of entries onto a disc, but they should be filed in folders clearly
named to the entry they belong to.
Page 5 – Upload supplementary files
All creative work related to the entry/campaign for judging should be uploaded here.
Please remember that some of the judges may not have seen your campaign, and
therefore a varied selection of creative work should be provided, but no more than 10
pieces.
Click finish when all the creative work has been uploaded.
Entries –
You will be taken to a micro site that houses all your agencies entries that have been
uploaded, if you wish to submit another entry click on New Entry to the right and start
the process again.
Complete Entry process –
Once you have uploaded all the entries and artwork from your agency, you should press
Submit 2010 Entries. You will then be asked to confirm that you wish to submit all your
entries, if this is the case press submit.
Your entry list will then be sent to IAPI for approval; in the meantime you should get
together your disc with creative work and all relevant data that has been approved by
the client for print. You should also put together your Beta tape – you may submit all
your TV ads on the one tape but there must be a 30 sec blank space in between each
and the cover should be clearly labelled with the correct running order. Please make
sure that you only supply 1 ad per campaign and that it is the correct TV ad, as once this
has been edited it can not be changed.
Once your entries have been approved by the IAPI office, you will be sent an email
stating the following
This email has been sent to inform you that your entries xx yy zz have been accepted.
Please go to http://www.adfx.ie/awards/ and log in to make your payment.
Please note entries will be not be accepted until payment has been received, and
payment should be made online by credit card.

A Few things to note:
• The deadline is August 12th 2010 at 12pm and there will be no extension given
this year as due to the large volume of expected entries judging will commence
that evening.
• If possible do not leave your uploading until the deadline date as large volumes
of traffic will cause the site to be slow and the site will close at 12pm.
• We would advise that you upload each entry once it has been approved by the
client to help with the process, all entries will be held online so you can add
more as you wish.
• Each agency representative should have received a username and password to
gain access to their uploading page. Please do not press submit until all your
agencies entries have been uploaded, in order to avail of the discounts.
• Once you have submitted your entries no changes can be made.
• If you have not received your username and password please contact me as
soon as possible.
• Once you have pressed submit you will be asked to pay for your agencies entries
by credit card so you should clear this with your finance department beforehand.
• Finally we would recommend that you run a test upload on the micro site prior
to the deadline, you can delete test entries you create before the final submit.
