Configuring Outlook 2003/2007 and Using the Shared Task List E. Lanni 6.20.08 1. Download Outlook 2003 or 2007 if you don’t have one and install it. Older Outlooks are not secure and unsupported by CMU. Our department (chemistry) has a site license for Office 2003, so it’s available at no charge to us. It can be downloaded from chemserv ( \\chemserv.chem.cmu.edu\software\Microsoft Office 2003 Pro ) or installed from a CD copy. 2. Once installed, open Outlook and configure it to be your email client by following the step-by-step instructions provided by our Computing Services office. a. Go to http://www.cmu.edu/computing/doc/email/outlook/index.html b. Select the appropriate version link. c. Select “Configuring” from the list of topics. 3. After configuring successfully you’ll be prompted to log in to your account, and Outlook will retrieve your inbox messages. 4. To add a task request to your task list: Left-click and drag the task request email over to the “Task” bar in the left column of Outlook, and drop it there. You will be alerted that the task has been “accepted” and added to your task list. This will notify the requester (Mark, in most cases for us) that you’ve accepted the task. 5. To view your task list: Click the task bar in the left column. 6. To modify notes on a task in progress: Double-click the task in the task list. It will bring up the original request message (from Mark) and you can append to it as necessary. Click “Save and Close” in the top left corner of the window when you’re done. 7. To indicate that a task has been completed: Click the check box or set the status to “completed” for a task on the list. This information will be communicated to the requester via an automatic email, which is the whole point. 8. To add your own tasks to the list: Double-click in the empty space of the task list and it will bring up a “new task” form where you can specify details, due date, etc.
