                 Furthering Japanese-Language Education


Outline
This programme is designed to provide partial aid for seminars, workshops, training courses and
academic meetings concerning Japanese-language education carried out by Australian teachers’
associations, academic societies and higher educational and research institutions.


Eligibility and Priority
1. Applicant
   Applications are accepted only from non-profit organisations involved in Japanese-language
   education in Australia (eg. teachers’ associations, academic societies, higher educational and
   research organisations, etc.). Individuals are not eligible to apply.

   In principle, The Japan Foundation, Sydney does not provide grants for:
   (1) State or Federal Government organisations, excluding educational, cultural or research
       institutes such as universities and museums; and
   (2) International organisations to which the Japanese Government makes a financial contribution.

   The application must be made in the name of the highest administrative capacity (eg. President,
   Rector, etc.) of the institution.

   Organisations may only submit one application during this fiscal year (1 April 2007 – 31 March
   2008).

2. Project
   Eligible projects should fulfil the following conditions:
   (1) The project must be related wholly or in substantial part to Japanese-language education.
   (2) The project should be carried out by the institution, and a part of the cost should be covered by
       the institution.
   (3) The project must take place during the period between 1 April 2007 and 31 March 2008.

3. Priority
   (1) Projects contributing to the developing of networks among teachers, researchers and and
       institutions that are involved in Japanese-language learning will be given higher priority.
   (2) This programme will not offer support for business meetings (eg. general assemblies, boards of
       trustees, etc.) that are held at regular intervals by the applying organisation.
   (3) Applications from organisations that have received funding through this programme three times
       in the past will be given lower priority.
Grant Coverage
  1. In principle, support will be given on a cost-sharing basis, up to a maximum grant of
     A$3,000.00.
  2. Items eligible for support are:
     (1) Invitation expenses (transportation, accommodation expenses) for lecturers and speakers
     from within Australia, but from outside the region in which the activity is to be held.
     (2) Travel expenses (transportation, accommodation expenses) for participants from outside the
     region in which the activity is to be held (eg. non-metropolitan areas or other country regions).

  3. The Foundation’s grant cannot be used for the following items:
     (1) Travel expenses (transportation, accommodation expenses) for participants from within the
     region in which the activity is to be held.
     (2) Travel to Australia for lecturers and speakers from overseas.
     (3) Costs for teacher-release for participants.
     (4) Honoraria, salaries and social welfare expenses for the regular members of the applying
     organisation.
     (5) Banquet and entertainment fees.
     (6) Telephone, fax and postage costs.
     (7) Office supplies (eg. stationery).
     (8) Any costs incurred before or after the authorised project period.

Application Procedures and Deadline
  1. Applications should be submitted to the Japan Foundation, Sydney – Japanese Language
     Department. In making the application, applicants must observe the Application Instructions
     below.
  2. Applications for projects must be received no later than two (2) months prior to the
     commencement of the project.

After Application
1. Notice of Grant Approval
  Applications will be screened by the Japan Foundation, Sydney – Japanese Language Department,
  and notification of results made no later than one (1) month prior to the commencement of the
  project.

2. Application for Payment of Grant
  Institutions to whom grant approval is awarded should complete and submit to the Japan
  Foundation, Sydney – Japanese Language Department the ‘Application for Payment of Grant’
  form, together with an Activities and Financial Report, after the completion of the project. Any
  requests for payment made later than one (1) month after the completion of the project will not be
  accepted.

3. Disclosure of Information
  (1) Information pertaining to projects supported by the Foundation (eg. name of applicant, project
      description, nature of support provided by the Foundation, etc.) may be made public in public
      relations materials published by the Foundation, or on the Foundation’s website.
Application Instructions
The following form and documents should be included with the application. Please use A4 size or
normal letter-sized paper (except for any attached brochures and leaflets).

NOTES ON THE APPLICATION FORM
  1. The application form and accompanying documents should be made in duplicate. The original
     set must be submitted, and one copy kept by the applicant. Applications once submitted will
     not be returned to the applicants.
  2. The process for screening of applications will not be made public.
  3. Applicants are requested to promptly notify the Foundation of any corrections to be made to
     their applications.

NOTES ON THE BUDGET PROPOSAL
  4. All budget items for the project, including those covered by other funding sources, should be
     indicated. For each item, please give a specific breakdown of costs, with an explanation below.
     Please use additional sheets if necessary.
  5. The amount of the grant applied for is assessed in accordance with Japan Foundation, Sydney
     standards. Should there be no breakdown or explanation indicated, the cost will not be
     considered by the Foundation.
  6. (a) Invitation Expenses for Speakers and Lecturers
         i. Transportation: include itinerary, class of travel and name(s) of person(s) receiving
             subsidy.
        ii. Accommodation: include name(s) of lodging (eg. hotel name) and person(s) receiving
             subsidy.
     (b) Transportation for Participants (excluding speakers and lecturers)
          i. Include breakdown by number of persons receiving subsidy.
     (c) Other Expenses
          i. Detailed contents must be specified regarding wages for assistants and interpreters,
             purchase of research materials, production of reports, rental fees for venue and
             equipment, etc.
     (d) Other Funding Sources
          i. Information about income from other funding sources is required. Please list the name(s)
             of the donor institution(s), the status of each application (ie. pending or approved) and the
             total amount(s) requested or received.
