Multifunction Devices

W
           hat in the world is a Multifunction Device? Well we are here to introduce one of the
           newest forms of technology brought to TK! It is a new, cool fan dangled device.
           Dressed up like a copy machine, hidden in its construction is the capability to copy,
           print, scan and even fax! It goes by the name of Imagistics and is the districts solution
to provide you with the appropriate technology to get the work done and save $$$$ on our
copying and printing.

There are two large machines located in the district copy center (High School) and smaller
machines placed at each building. You will be encouraged, alright maybe forced to move your
print jobs to the Imagistics machines. The district supports VERY few local printers and a small
number of network printers. We DO NOT support any local DeskJet printers. Daily print jobs
can be sent to your building Imagistics machine, while your larger jobs (classroom copies), will
print to the Copy Center.

Each Imagistics machine in the district requires an account code for it to work. Codes are
necessary for both walkup copying and printing from your computer. Account codes are
assigned by the Technology Department. It is imperative that codes are not shared with others.
Codes are used for security purposes and also to track individual usage. If you need a code or feel
your code has been compromised please contact the Technology Department at extension 5430.




Installing Printers
District staff has network rights to install printers as necessary. If a printer that you would
like to use is not installed on your computer, feel free to install it yourself. In general, we
suggest that you have both the DL85 (1 & 2) Imagistics machines and your building
Imagistic machine. You can install other printers in your building as you feel necessary.
Follow the directions below to install a printer on your computer.
     1. Click Start
     2. Click Run
     3. In the Run Command window type \\nas

   4. In the Nas window you will see the different printers that you can install. Be careful
       in your selection as you are looking at ALL the printers in the district. They
       are organized by building and then location. This should help you make your install
       decision. Double click on the printer that you want to install. (HS DL85-1 and
       HS DL85-2 are the Copy Center MFD’s.)
   5. After double clicking on the printer, the network automatically installs the printer for
       you. The printer window of the printer you chose will open. This tells you
       that it was installed successfully.
You can add additional printers at this time if you would like. Again, a word of caution,
only install printers that are in your building! The Administration building does not
want to receive your stuff!

Using the District Copy Center Devices
(DL85-1 &DL85-2)
Now that you have the printers installed on your computer we will walk you through saving your
account code and actually printing your documents. The Copy Center has two DL85
Multifunction Devices (MFD’s). These are high volume, sophisticated machines which are
capable of high volume copying/printing. Whenever possible, print to these machines.

The network name of these devices is HS-DL85-1 and HS-DL85-2.

Saving your Account Code

NOTE: The directions for saving your account code are slightly different for each Imagistics
machine. To avoid confusion we will include customized directions for each device.

   1. Click Start.

   2. Select Printers & Faxes.

   3. Right click on the Copy Center 1 or Copy Center 2 printer icons (which ever one
      you are saving your account code for).

   4. Select Properties.

   5. Click Printing Preferences.

   6. Select the Fiery Printing tab (by default is should already be open).

   7. Select the Account Number bar (it is blue).




   8. Type your Account Code in the Password box.

   9. Click Apply, click OK.

   10. Click OK to close the Printing Preferences box.

Your Account Code is saved!

Printing from your Computer to the Copy Center

   1. Open (create) a document

   2. Select File, Print

   3. Select one of the DL85’s (contact the Tech Dept. if this is not an option)




   4. Make sure the collate box is unchecked

   5. Select Properties




   6. Select Finishing

    7. You can do as many or as few of the following you wish:

            •   To double side your document, select Duplex, Long Edge Binding

            •   To staple, select Stapler Mode

            •   To hole punch, select it




    8   After you make your choices select OK

    9   Enter the number of copies you want to make, click OK.

Your print job is off to the Copy Center. When your copies are completed they will be shipped
to your building’s mail room.

NOTE: All print jobs are sent with a cover sheet that has your name on it.



Imagistics by Building and Location



    • Imagistics 4510 (High School)

The Imagistics machine for staff use is located in the High School Faculty Lounge. This machine
has the capability to fax, scan to email, copy and print. We encourage staff to use this device for

printing as it is much cheaper than laser printing. The directions below will walk you through
how to use the different features of this machine.

The network name of this device is HSFacLng.

Saving your Account Code on your Workstation

        1. Click Start.

        2. Select Printers & Faxes.

        3. Right click HS Faculty Lounge im4510 printer icon.

        4. Select Properties

        5. Click Printing Preferences.

        6. Click the Job Control button (lower right hand corner of the Main tab menu)

        7. In the Job Control window, type your Account Code in the Account Number box.

        8. Type your name in the User Name box.

        9. Type your Job Name. I would suggest that you type your Room Number in this box.

        10. Click the Always Use This ID box.

        11. Click OK.

        12. Click Apply, click OK.

        13. Click OK to close the Printing Preferences box.

Your Account Code is saved! For now on, whenever you print to this MFD you will not have to
think about entering your code. NOTE: It is only saved on the workstation that you went through this
process on. If you move to a different computer you will need to add your account code again.



Sending & Receiving a Fax - Imagistics 4510

The Fax Number for the High School Faculty Lounge is 269-795-5449. The machine will receive
faxes automatically.

To Send a Fax

    1. Place the sheet you want to fax in the top tray, FACE DOWN.

    2. Enter your Account Code

   3. Press the Image Send Button

   4. Enter the fax number of whom you want to send the fax to. If it is someone outside of
      the district you must enter 9 first. It is just like making a regular phone call.

   5. Press the green start button. Your paper(s) will feed itself through.

   6. Your fax is now sent.

Receiving a Fax

This is cool; to receive a fax you simply need to pick it up from the MFD. Faxes come though
automatically.



Scanning – Imagistics 4510

These instructions will allow you to scan a document(s) to your email. They will arrive as
attachments in your email. They can be sent as .tiff or .pdf format. Depending on what type
of document you are scanning you may want to play with this.

Before you start scanning you will need to add yourself to the Sender’s List and add yourself
to the Local Address Book on the Imagistic 4510 machine. It looks like a lot of steps, but it is
extremely easy!

Adding Yourself to the Sender’s List

   1. Enter your Account Code.

   2. Press the Custom Setting button

   3. Press Address Control

   4. Press email sender

   5. Press Store

   6. Press Sender Name

   7. Type your name

   8. Press OK

   9. Press RE: Address

   10. Type your email address

   11. Press OK

    12. Press Exit, OK, OK and Exit.

Adding Yourself to the Local Address Book

    1. Press the Custom Settings button

    2. Press Address Control

    3. Select Direct Address Program

    4. Select Individual

    5. Select Email

    6. Select Name, type your name

    7. Select OK

    8. Select Initial, type a meaningful initial for yourself

    9. Select Index

    10. Select OK

    11. Select Address

    12. Enter your complete email address

    13. Select OK

    14. Select Exit, Exit, OK and OK

You are now officially ready to scan!



Steps for Scanning

    1. Place your document that you want to scan in the top tray, FACE DOWN.

    2. Enter your Account Code.

    3. Press the Image Send button

            •   If your document is two sided, select Auto 81/2 X 11 Original. Select Two
                Sided Booklet and select OK.

    4. Select Sender List

    5. Select yourself

    6. Select OK

    7. Select Local Address Book

            •   If you are sending this to someone besides yourself, manually enter their email
                address, or find them in the Address Book. If they are in the building they may
                have already added themselves. This will save you from fumbling their email
                address.

            •   If you are sending it to yourself, select Address Book and select yourself.

    8. Push the Green go button.

    9. Your documents will shoot through the scanner! Pat yourself on the back; you have
       successfully scanned a document to email. If you sent this to yourself, check your email☺




    • Imagistics 6530 (MS & Elementary)


Middle School and Elementary Buildings – Imagistics 6530

The Imagistic machines at the Middle School and Elementary buildings are located in the Teacher
Workrooms. They have the capability to scan, copy and print. We encourage staff to use this
device for printing as it is much cheaper than laser printing. The directions below will walk you
through how to use the different features.

Network names for these devices are as follows:

Middle School Work Room MFD – MSEnrchim65

Page Enrichment Room MFD – PGEnrchim65

Lee Enrichment Room MFD – LeEnrchim65

McFall Enrichment Room MFD – MFEnrchim20

The names are important to know when you go to install the MFD on your computer.
Directions for installing are located towards the beginning of this primer.

Saving your Account Code on your Workstation

    1. Click Start.

    2. Select Printers & Faxes.

    3. Right click on the MFD for your building. Again, note the naming schemes above.

    4. Click Printing Preferences.

    5. Enter your Account Code in the Dept. Code box

    6. Click Apply, click OK.

Your Account Code is saved! For now on, whenever you print to this MFD you will not have to
think about entering your code. NOTE: It is only saved on the workstation that you went through this
process on. If you move to a different computer you will need to add your account code again.

Printing to the Imagistics 6530

1. Open (create) a document

2. Select File, Print

3. Select your IM6530

4. Select Properties

5. In the Properties Window, within the Setup tab, choose the appropriate options:

    •   To Double Side your document, select Duplex, Long Edge (note preview)

    •   To staple, select Staple, and then the type of stapling you need (note preview)




    •   Enter your Account Code in the Dept. Code box if it is not already there.

    •   Select Sort or Group (NOTE: Selecting Staple, turns this feature off)

    •   Select the number of copies needed.

6. Select OK and your job is on it’s way!

Scanning to the Imagistics 6530

   1.    Press the Print/Network button
   2.    On the screen, press
   3.    Scan
   4.    Private
   5.    MS Scan Jobs (or Lee Scan Templates, or Page Scan Groups)
   6.    OK
   7.    Select either Single Side PDF, or Double Side PDF
   8.    Press the box that says “First Name Starts With” to scroll until it reads “Email Starts
         With”
   9.    Enter the First Initial of your email address (e.g. K for kbriggs)
   10.   Search
   11.   Scroll to highlight your email address
   12.   Add
   13.   OK

   15.   Scan
