                       Job Posting Best Practices

1. Use bullets when listing responsibilities and qualifications.

2. Click Save before moving to the next tab.

3. Ensure that the formatting of your posting is correct and consistent
   before submitting it by using the Preview Posting tool. If you are
   having trouble with formatting, contact your staffing representative
   before submitting.

4. Review your posting after it has gone live.


5. Periodically visit the job seeker side of the database through the
   MnSCU website to view your postings and ensure that your
   categorization selection is correct.

6. In the future, use the archive search and copy function to re-create
   similar postings.

7. Contact your staffing representative with any questions you have
   including questions about password access, site navigation,
   institution information, formatting, or job posting creation.

Home Page
This page will automatically be presented after login.




Once a Job Poster logs in, the Job Poster “Home” page shows the postings that are in the process
of being completed but have not been submitted for approval and posting.

Postings are listed by Institution, Position, and Create Date. The icons to the right of each
posting indicate that by clicking on these icons, you can:


    Preview Job Posting: This will take you to a “Published View” of the job posting. Here you
    can review the posting in the form it will take on the public Web site.
    Edit Job Posting: This will take you to an admin screen where you can make changes to the
    posting.
    Delete Job Posting

 Note: Once job postings are submitted for approval, they will no longer appear on this page.
  However, you can view previously posted positions by using the system’s search function.

           From the left-side navigation, Job Posters are able to Create a New Posting and View Postings
           they are in the process of creating.

           Create New Posting
           Click on “Create New Posting” from the left-side navigation.

              Items marked with an * are required fields. You must enter the information requested.

           The screen that is presented will confirm that you are the user and ask you to select an
           institution from the pull-down menu for which this job posting will apply. Only the institutions
           for which you have responsibility will appear in the pull-down menu of choices.

           You also must type in a Classification/Faculty Program or Discipline.

           Once you have completed these two steps, you must click the “Create Posting” button to
           continue.

Page Layout
The page that is returned has a series of tabs that represent steps in the process of creating the
job posting. You must complete each tabbed section before you can submit the job posting for
approval.

                           NOTE: Some tabs have subsections to them.

Notice in this tabbed interface that you are able, at any time, to “Preview Posting” by clicking
on the link by that name in the upper right-hand corner.

A “status” of this posting also appears in the upper right-hand corner to let you know where
the job posting stands in the process. Statuses are:

      In Progress
      Approved
      Live

Type Tab: Important Dates selected




Posting Begin Date: This is the date the posting will go live. This date should always be a
Monday. All postings will go live on a Monday just as the MnSCU Employment Opportunities
Bulletin was released on this day. Postings will go live at 12:01 a.m. on the date listed. Posting
submissions for approval are due on Wednesday by 6:00 p.m. for the following Monday’s live
posting.

    For example, positions to be included in the October 24, 2005 edition of the MnSCU
     Employment Opportunities bulletin will need to be submitted between October 13, 2005
     and October 19, 2005.

Posting End Date: This is the date the posting will come off the website. If you anticipate
having postings listed with an application deadline of “Open Until Filled,” you will still need to
enter a date in this field. We recommend that you either pick a reasonable date in the future or
list the posting for one month. If you need to extend the deadline date, you can easily contact
your staffing representative to have the date changed or re-post the position by using the search
function.

    For example, if a position is posted to the MnSCU Employment Opportunities Web site
     on October 24, 2005 with an application deadline of “Open Until Filled,” you could enter
     11/24/05 as the Posting End Date or 11/25/05 since this is the end of the week.

Job Start Date: This the date you would like the new employee to start. Note that this field is
not required.
Job End Date: If this is a temporary position, this is the date the position will end.
Application Deadline: This is the date that the position closes for application. Note that this is
a text field that allows you to state “open until filled” if appropriate.

Type Tab: Categorization selected




The purpose of this selection is to provide a simple means of categorizing all jobs in the search
function for the job seeker/applicant. Only one category should be selected from this menu.
You must select a category.

Responsibilities Tab

You have been provided with an editing tool to use in larger text fields. The editor enables you
to ensure that your formatting is correct prior to submitting your position for approval and
posting.

With this tool, you can either type or paste into this field. Use the bullet function for your list of
responsibilities. When pasting from a Microsoft Word document, you must use the Paste from
Word function. Detailed instructions on this follow.

Pasting from Word

If you are copying and pasting text from a Microsoft Word document, please use the “Paste
from Word” icon (see previous page for example). This will ensure that the text is pasted
without Microsoft Word formatting. If the posting is submitted with Word formatting, the
posting format will be inconsistent and your staffing representative will be required to reformat
the text.

Paste from Word pop-up box

To use:
   1. Open your Word document and copy the desired text.
   2. Return to the posting page. Select the Paste from Word icon. A pop-up box will
        appear.
   3. Paste the text into the box using Ctrl+V.
   4. Be sure that both of the bottom boxes are checked.
   5. Click OK

Qualifications Tab: Minimum Qualifications selected




You can either type or paste into this field. The editor you see enables you to ensure that your
formatting is correct prior to submitting your position for approval and posting. Use the editor
to make a bulleted list of minimum qualifications.

Links Tab




Here you are able to select from among many commonly used links, or add a link specific to
your institution. Each of the commonly used links is hyperlinked as well. You can use these
links as a resource.

  NOTE: You can use this list to copy/paste the minimum requirements for MSCF-CC and
   MSCF-TC faculty by clicking on the hyperlinked website for the appropriate unit and
                           locating the applicable information.

Contact Tab




Information on the appropriate application procedures for your position should be entered
under the “Application Procedure.” If you are copying and pasting text from a Microsoft Word
document please use the “Paste from Word” directions provided previously (see page 10 for
details).

Under the “Send Materials To” and “Contact Information” sections, you may select the default
address by clicking on “Use This Address.” You can also enter a different address by
completing the fields listed on the left. If you would like to have the default address changed
for future use, please contact your staffing representative.

Finalize Tab
The Finalize page summarizes all the information that remains to be completed before you can
submit the job posting for approval. If information is missing, click on the LINK listed in red
and you will be directed to the page with the missing information.

Please preview your posting and ensure that the formatting is correct prior to submitting the
posting for approval. If you are having trouble with formatting, please contact your staffing
representative before submitting.

Comments: The Comments field does not show up on the final posting. It will primarily be used
by the staffing representatives. This field is to be used to document anything that may be
important for future questions about the posting. For example – if change was made to a
posting while live on the website, this would be documented.

Finalize Tab
Once you are sure that everything is correct, you can click on the “Submit this Posting for
Approval” button. The posting will then be available for review and approval by the staffing
unit at the Office of the Chancellor. Once approved, the posting will go live at 12:01am on the
Monday you designate on the Important Dates tab.

View My Postings
Click on “View My Postings” from the left-side navigation. These are postings pending
completion that have not yet been submitted for approval. This is the same screen as the Home
page, and is just another way to get to the same information.




Postings are listed by Institution, Position, and Create Date. The icon to the right of each posting
indicates that by clicking on these icons, you can:


    Preview Job Posting: This will take you to a “Published View” of the job posting. Here
you can review the posting in the form it will take on the public Web site.


    Edit Job Posting: This will take you to an admin screen where you can make changes to the
    posting.

Search

You now have the ability to search all previous positions posted by any institution to the
redesigned MnSCU Employment Opportunities Web site. (Unfortunately postings prior to
October 13, 2005 will not be available.) As time progresses, this will mean that you have access
to a large archive of all positions posted on the MnSCU website. You can use these previous
postings as a reference when creating new postings. If the previous posting is one you created,
you will be able to copy it directly.

Search All Job Postings: Entry Form

From the left-side navigation, click on “Search All Job Postings.” There are a number of search
criteria that can be used to find previous job postings. Click on the “Search” button to see your
Search results.

Search All Job Postings: Search Results
Search results will be listed by PCN, Job Title, Institution, Bargaining Unit, FTE, and Posting
Date. To view a job posting from the Search results, click on the “Job Title” that appears as a
hyperlink to view that job posting. You will be able to view the job posting in its published
form.

Search All Job Postings: Copy Function
If the posting is one from your institution, you will be able to copy it to create a new posting.
The     icon at the far right provides the ability to copy the job posting.

When you’ve selected the “Copy” option, you will be able to view the job posting in the editing
function and create a new posting with similar information. Notice the annotation “Copy
Completed Successfully” to differentiate this entry from a new job posting. When you copy a
position from the archive, a few date and position sensitive fields are left blank for you to
complete.

NOTE: You are able to copy only positions that were originally posted by your own
institution.

              This function allows you to view a list of job postings that were live on the date you enter in the
              date field. The default date is the current date, but can be changed to reveal postings in the past.
