in planning your event. It also explains some of our Policies & Procedures,

ACCOMMODATIONS & FACILITIES
INN
We have 19 comfortable bedrooms in our Inn. All have access to washroom facilities. For individual room
numbers, please see appendix.
Capacity: 55 Beds sleeping a maximum of 75 People
SHERMAN SUITE
CABINS
We have 18 winterized cabins, 3-6 bunks per cabin, sleeping 6-12 per cabin. A full washroom facility is
located near the cabin area. See appendix for Cabin locations and occupancies.

RV / TENTING SPOTS
We also have 34 RV / Tenting Spots. Sewer hook-up is
available in 6 spots, and 20 of them have electrical hook-up.
There is a full washroom facility in the RV Park.
DINING ROOM
We have a large Dining Room, located in Frontier Hall that can seat 400 people. The Bridge Café offers a
variety of espresso based hot drinks, cold beverages and snack items for purchase. Enjoy them in a casual
seating area with a mountain view. The Inn also has a fellowship area for 40 people.

We have five meeting rooms on our site. We have the auditorium in Frontier Hall (1), two rooms upstairs in
the Activity Centre (2 & 3), and the other two are in the Inn (4 & 5). All our meeting rooms are winterized
and heated.

MULTIPLE BOOKINGS
Because River’s Edge is able to provide accommodations for up to 278 people, WE RESERVE THE RIGHT
TO BOOK MULTIPLE GUEST GROUPS. This will take place at the discretion of River’s Edge Camp.

- Regardless of attendance, you will be responsible for payment of the minimum numbers on
the contract.
- Also, any additional guests over the contract minimum confirmed 7 days prior to event or in
attendance at the event will be charged at the contracted rate.

GUEST GROUP GUIDELINES & POLICIES
GROUP SIZES
The Executive Director reserves the right to set restrictions on rental group sizes.
• Minimum of 30 in: November, December, January and February
• Minimum of 50 in: March, April, May, June, September and October ( Smaller groups will be
considered to share site with larger groups during these months. Please call the office to confirm
availability)
• Minimum of 70 in: July and August AND restricted site access to after 7pm on Fridays and before
11am on Sundays; majority of summer mid-weeks are taken up with our own camp programs.
CONTRACT DETAILS
Upon receiving your Reservation Deposit and a signed copy of the contract in our office, we will consider
your booking finalized. Please ensure that the dates and arrival/departure times are correct! Please read
through the River’s Edge Guest Group Manual and checklist before you sign your contract, to clarify the
terms and agreements put in place by River’s Edge Camping Association. By signing the contract you are
bound to the terms within.
A Reservation Deposit of 20% of the contract amount, or minimum of $500.00 confirms your booking,
which will be based on the anticipated number of participants. PLEASE NOTE: Payment in full of the
contracted minimum and any additional guests, at the contracted rate, will be due by the end of the
event unless prior payment arrangements have been made.
CANCELLATIONS
Reservation Deposit: If cancellation occurs, your Reservation Deposit can not be transferred to another date
or camp. Cancellation previous to 60 days before the event refunds 50% of your deposit. After the 30 day
mark, the deposit is non-refundable. After 21 days prior to the event, 50% of total minimum booking is due.
PAYMENT SCHEDULE
1. Unless prior arrangements have been made, ALL BILLS ARE PAYABLE AT THE BY THE END
OF THE EVENT.
2. You will be charged for the minimum contracted number of people for the booked event. All
additional attendees above the minimum contracted number will be charged at the contracted
rate. We require an updated count of your group size one-week prior to the scheduled event.
DAMAGE
The Guest Group is responsible for damages to the Camp property. River’s Edge reserves the right to levy
service charges for any damages incurred to the property. The Guest Group Contact will accompany the
River’s Edge host to inspect the property for damage caused and determine costs for damages incurred.
GENERAL
Camp buildings and grounds must be respected and kept clean, and vegetation and wildlife are to be left
untouched.

GUEST GROUP GUIDELINES & POLICIES CONTINUED
DINING ROOM
A grace will be either sung or spoken prior to each meal, which may be lead by the group or one of the
Camp Staff. Food is generally served buffet style and seconds are usually available upon the direction of the
Hospitality Staff. You will be required to supervise table clean up. Before the meals there is usually an
instruction or announcement that will be made. The Kitchen is strictly for Hospitality Staff only!
WASHROOMS
Take note of the washrooms that are available to you for your retreat, and please remember to take home all
your toiletries with you.
CABINS / INN DORMS
Cabin and Inn Dorms require an adult to child ratio of 1 to 10. We ask that you respect the rooms and also
the privacy of those in them. Please respect the privacy of all people on site and do not enter other Cabins
or Inn Rooms that are not yours.
BUILDINGS
Lights must be turned off in buildings when not in use. Thermostat settings in the buildings are preset.
Contact your host if the settings are uncomfortable, and need adjusting, and also please use the furniture
with care and respect.
CLEAN UP
Each Guest Group will be asked to assist in clean up at the completion of the retreat. A detailed checklist for
clean up will be provided. Alternatively, River’s Edge can provide full clean-up services at the
contracted rate. See your contract for cleaning quote.
VEHICLES
Due to security and fire safety procedures, all vehicles are to be parked in designated parking areas. All
vehicles are to remain on roadways at all times, unless specific permission is granted by the River’s Edge
Executive Director or Guest Group Coordinator.

GUEST GROUP PRINCIPLES OF OPERATION
SMOKING
Smoking is strictly prohibited in all buildings at River’s Edge. Designated smoking areas are located
throughout the property. Your host will inform you on arrival of these locations.
ALCOHOL & DRUG USE
River’s Edge is a non-licensed facility and, as such, alcohol is not to be consumed on the property. Non-
prescription drugs are also prohibited on the property.
PETS
We are unable to have any pets on-site.
FIRE HAZARDS
• Smoking – see above explanation
• Fireworks – Fireworks are not to be used on River’s Edge property unless specific authorization has
been granted by the Executive Director.
GUEST GROUP REGULATIONS
1. All damages must be reported to the Guest Group Coordinator immediately. Guest Groups are
responsible for payment of damages resulting from willful or negligent activities, at the
discretion of the Executive Director.
2. All Cabins require a competent adult supervisor.
3. All activities, both learning and recreational are to be supervised by an adult.
4. Females are not permitted in male accommodations and vise versa.
5. Children are not to be left unattended in their sleeping quarters.
6. Fires are permitted in designated areas only with the authorization of the Guest Group
Coordinator.
7. Quiet Time is 11:00 p.m. to 7:00 a.m.
8. Each group is responsible to provide insurance coverage for their retreat. [Most organizations,
churches, schools, already have the necessary insurance coverage]. We request that River’s Edge
Camping Association be listed as a “co-insurer” on your policy and ask that the details of your
insurance be forwarded to us AT LEAST 28 DAYS PRIOR TO YOUR EVENT.
9. Fire extinguishers and alarms are for emergencies only.
10. River’s Edge Camp does not assume the responsibility for the loss or damage of personal
property.
11. Please refrain from all immoral conduct. Foul language and vulgar obscenities will not be
tolerated.
12. Any extra cleaning or repairs of damages done to the property left by your group will be
charged a rate of $25.00 per hour.
13. Guest Groups using River’s Edge Camp must give a River’s Edge Representative the
opportunity to go over the Guest Group Principles of Operation.
14. The Guest Group Contact is responsible to inform the group regarding the Principles of
Operation, and must be present on site for the duration of the retreat. This person is
responsible for the group’s actions.

SCHEDULING POLICIES
Please keep in mind that each group visiting River’s Edge has a specific purpose and different expectation
for their booking. For example, one group may prefer a relaxing, laid back, easy going, with mainly meals
and sleep schedule and another may prefer a fully active, fast and furious, no time to eat or sleep schedule.
Either way, there are some very specific restrictions and requirements that must be considered. Any
variations must be discussed with our Guest Group Coordinator.
1. MEAL TIMES
Breakfast: 8:30 a.m. Lunch: 12:30 p.m. Supper: 5:30 p.m. Snack: 9:00 p.m.
2. ACTIVITIES
We have a fully functional gym in operation for activities such as Basketball, Volleyball, Floor Hockey,
Dodge Ball, and Wall Climbing.
3. MUTLIPLE BOOKINGS
In the event you are involved in multiple bookings [more than one guest group at a time], we will develop
the schedule giving priority to the first confirmed group. However we will be as accommodating as
possible in order to fulfill your requests.
4. SCHEDULE CONSIDERATIONS
Tentative schedules are to be submitted 28 days prior to your event. Please remember that there is a
standard checkout time of 2:00 p.m., however alternate arrangements can be made if arranged ahead of
time. River’s Edge reserves the right to review & revise the proposed schedule as necessary.
Access to the property for your event is restricted to 1 hour prior to the arrival time on your contract. If set-
up people need access sooner, that must be agreed to with the Guest Group Coordinator.

River’s Edge Camp
Cleaning Checklist Prior To Departure
1. General Litter Pick-Up (Area Used At Camp)
2. Inn
Bathroom Clean-Up (Inn/Frontier Hall/Wash Houses)
Toilets, sinks, showers, tubs, urinals, counters, mirrors, sweep and mop floors and empty garbage.
Common Areas
Vacuum or sweep and mop as appropriate the Fireside room, kitchen, bedrooms, basement,
hallways, stairs and entrance.
Bedrooms
Vacuum and dust rooms and empty the garbage into large garbage bags, clean sink and mirror.
3. Frontier Hall (Dining and all areas used)
Clear and wipe tables, stack tables and chairs if needed, sweep and mop floors.
Bathroom clean up: As noted under #2 above.
4. Activity Centre (if used)
Sweep and mop floors. Vacuum meeting rooms. Bathroom clean up: As noted under #2 above.
5. Cabins
Sweep and mop floors. Tip mattresses beside beds and spray with disinfectant.
Bathroom clean up: As noted under #2 above.
Please return any dishes, sports equipment, etc. to appropriate places.
Please note that any cleaning left undone will be invoiced at the rate as stated on the contract or in
this manual.

River’s Edge Camping Association has been in operation since 1998, and is a non-profit, charitable
organization under the leadership and direction of the Evangelical Missionary Church of Canada.
The purpose of River’s Edge Camping Association is –

RENTAL AGREEMENT
1. I have read through the River’s Edge Guest Group Manual and agree to abide by the policies
within and agree to take responsibility for the Guest Group.
2. I have read the purpose of River’s Edge Camping Association and confirm that our retreat is not
in opposition with the Camp’s purpose.
3. I affirm the group I represent will abide by the policies within the Guest Group Principles of
Operations. [I will make the group aware of the guidelines before arrival].
4. River’s Edge Camping Association takes every precaution to ensure the safety and the good
health of all Guest Groups. On behalf of the rental group, I hereby waive all claims and liabilities
which I may have now or in the future against River's Edge Camping Association, its directors,
staff, and volunteers, or the employees of the facilities outside the camp grounds in the event of
any illness, accident or misfortune that may occur to any person, whether registered or not
registered by the Guest Group. I recognized that Accident and Liability Insurance is the
responsibility of the Guest Group and further agree to indemnify River’s Edge Camping
Association and its employees for any and all legal fees (on a solicitor and his own client basis),
losses or costs which may be incurred in defending any lawsuit or claim I may bring against
them.
5. I acknowledge that River’s Edge Camping Association is not responsible or liable for lost or
stolen items.
6. As a representative for the Guest Group, I have secured appropriate insurance coverage.
7. I affirm that the group will leave the camp equipment and buildings in the same condition as the
time of the group’s arrival.
8. I understand the Guest Group will be required to assist in clean up at the completion of the
booking, unless River’s Edge is contracted to do so.
