A Proposal on HR, Operations and Payroll system
for Call Center Industry
LANGUAGE MODULE
 This module will allow any user to choose
  whatever language to use while working on the
  payroll system
 With this, all commands, buttons or anything
  that can be read on the system will be translated
  into the language a user chooses to use.

TIME ZONE MODULE
   Depending on the type of user accessing the
    system. The system automatically changes time
    zone fit for the user. An option to choose time
    zone is also available.
ADD OR EDIT USER MODULE
   A functionality that allows the administrator of the
    system to create as many users allowed to access the
    system.

   These users can be removed by the system
    automatically or anytime by the administrator alone.
EMPLOYEE INFORMATION MODULE
   This is where all basic employee information will be
    placed and typed in including Avaya number
    assignment.
   Every new entry of employee information will be
    assigned with ID Number automatically after saving.
   System determines duplication of entry on the
    system’s database.
   Position assignment will be date/time framed.
    Sample:
      Trainee [March 29 – April 5]
   Employee status
    Sample:
      Probationary [March 29 – April 5]
   With Role Assignment system (define on the next
    slide)
ROLE ASSIGNMENT SYSTEM
   This will help filter the information accessibility
    of every user. This way, not everyone can access
    pages or tabs that are confidential.
   Will be categorized either center then to a specific
    type of user. This will be open for a customize user
    type as well.
    Sample user type:
      o Administrator           o Operations
      o Payroll                 o Workforce
      o Accounting              o Info and Records
      o ER                      o Agent
      o Recruitment             o Customize
      o Foundations
SCHEDULE MODULE
   System accepts excel format as provided by Verint 360.
   Should accommodate different schedule within a week.
   Will have specific time frame of schedule and indefinite
    time frame of schedule
   Accommodates fixed and flexible schedule as long as the
    total number of hours worked is not less than 8 hours.
   Allows assignment of futuristic schedules
   Options of which time zone format to reflect on the
    system.
    Ex. Schedules to be uploaded on the system is on EST
    format then the user has an options as to what time
    zone equivalent reflects on the system.
SUPERVISOR ASSIGNMENT MODULE
 Allows assignment of supervisor for a specific
  period (future or current).
 Anyone with supervisor post in the Employee
  Information Sheet will be automatically placed
  on the supervisory assignment module database.
 Shows Attendance, Leave, Overtime and Log
  in/Log out report of the Supervisor’s agents/staff.
LOG IN AND LOG OUT MODULE
   System should be connected directly to the biometric
    system or has access read access to its' data (if possible).
    This is critical for other functions of the system
   Pairing of log in and out of employee in this proposed
    system will still have to be verified if possible with the
    current biometric system.
   Shows summary of an employee’s attendance, filed leave
    and Overtime depending on what pay period is requested.
   Will have an option to dispute errors on schedule and log in
    (in case employee logs in twice or forgot to log in), file leave
    or overtime. All of these will be submitted to the next level
    of supervisor through internal messaging and will be
    subject for approval.
   Agents can check anytime their plotted schedules, leave
    and overtime. They can also check their absences on a
    specific period using their own access on the system. With
    this they will have an option to print their own pay slip.
HOLIDAY MODULE
 Contains a list of all usual Holidays offered for a
  specific center.
 Allows adding and editing of Holidays in case
  there will be a change of dates or additional
  holidays declared by the government of the
  specific center.
LEAVE TRACKER MODULE
 All data here will be dependent on employee’s
  regularization date and approved leave filed.
 This database automatically assigns allowed
  number of Vacation, Sick leave and other
  company offered leave entitled per employee.
 Any approved leave filed that is beyond the
  allowable leave per employee will be marked as
  unpaid thus reflects on the deduction list on an
  employee’s payroll.
LOANS MODULE
 This is where the loans of every employee is
  listed such as the type of loan and amount
  loaned. Applicable to SSS and Pag-Ibig loans
 This also requires start day of deduction and the
  corresponding amount per deduction.
 System can automatically determine if a
  particular loan is already paid and no deduction
  is necessary depending on the amount of loan
  stated on the loan form.
SSS AND TAX TABLE MODULE
 Updated government tax and SSS table will just
  be uploaded here.
 This is for payroll calculation purposes
PAYROLL MODULE
 Will have the salary information of every
  employee listed in the employee information’s
  database depending on the pay period requested.
 Contains allowances, performance bonus and
  deductible information of an employee such as
  loans, SSS, Pag-ibig, insurance and etc.
 Late and Absent deduction will be automatically
  provided depending on the schedule and log in
  and log out information of an employee on a
  specific pay period.
 Calculation of pay on a given pay period.
EDITING MODULE
   Any changes made on the system will require
    reason why such changes is made and will be
    tagged on the username used for making such
    changes.

ACCESS LOG MODULE
   This provides reports of anyone who tried to access
    the system with corresponding task, tabs and changes
    a specific user have made during a specific instance of
    access in the system. We can also have the IP address
    tracked if necessary. (if external access is allowed)
REPORTS MODULE
   Can generate necessary reports needed based on the data
    provided on the previous modules.
     • Possible reports that can be generated
         1.  Total number of employee on probationary for a
             specific period.
         2.  Total number of new hires on a specific period
         3.  Total number of regular employee on a specific
             period
         4.  Total number of employee tagged with AOW on a
             specific period
         5.  Total number of employee terminated on a
             specific period
         6.  Total number of part timer on a specific period
         7.  Tardy and Absenteeism report for a specific pay
             period
REPORTS MODULE
  •   Possible reports that can be generated…continuation
       7.  Total number of employee on probationary for a
           specific period.
       8.  Total number of agents (tier 1,2&3 /shift
           managers/senior shift managers in a specific period
       9.  Leave accrued of all employees and/or on a specific
           employees for a specific period.
       10. Loan balance of a specific employee
       11. Pay slip of all employees and/or specific employee for
           a specific period.
       12. Total number of employees with birthdays fall on a
           specific month
       13. Total number of employees on leave on a specific
           period with type of leave filed.
       14. and etc. granting that the data needed for the said
           report is available on the databases of this system.
MESSAGING SYSTEM (OPTIONAL)
   Internal messaging system. Allows a user to send
    message to another user. This way the internal
    line of communication is open for everyone.
