At present there is no system of clearing (no open management concept) of advance payments with respect to customers and transactions are processed in concerned customer account. However, at the time of recognition of customer receivable/final payment, advance payment made earlier is settled off.

SAP Process for the Client

FI 18.1

Customer down Payment Request

When a down payment request is posted, the system records a document which is not required for accounting purposes. The document is a noted item. It does not update any debits and credits in customer accounts. When a down payment request is posted, the system records the line item in a special G/L account. This can be used to get an overview of all the down payments that need to be received. FI 18.2 Customer down payment

Down payments are used for short or medium-term financing. Down payments must not be balanced with other receivables and must be displayed separately on the balance sheet. On the balance sheet, down payments received are displayed on the liabilities side Once the goods or services are invoiced for which customer has made a down payment, it is needed to clear this payment for the final settlement. After Invoicing is done it will be required to clear the same to make proper analysis of customer outstanding position. In SAP Down Payments are handled through Special G/L Transactions. Special G/L transactions are special transactions in accounts receivable and accounts payable that are displayed separately in the general ledger and the sub ledger. This may be necessary for reporting or for internal reasons. For example, down payments must not be balanced with receivables and payables for goods and services. Consequently, they are treated as special G/L transactions in the General Ledger (FI-GL) Accounts Payable (FI-AP) and Accounts Receivable (FI-AR) application components. Special G/L transactions are special transactions in accounts receivable and accounts payable that are displayed separately in the general ledger and the sub ledger. This is achieved by posting to alternative reconciliation accounts, instead of posting to the reconciliation accounts for receivables and payables.

Customer down payment clearing

When an invoice is entered in the system, the system issues a warning message that there is an outstanding down payment. In doing so, the system indicates that a down payment commitment exists. At this stage it can be decided immediately whether or not to clear the down payment. For JISL operation this process will be used for clearing down payments against normal outstanding transactions.
