Quick Reference Guides Microsoft Office 2007 For anyone new to Office 2007, you will have noticed that there have been some drastic changes. Change doesn’t have to be a bad thing! This guide will show you all of the brilliant new features available to help you work more productively and access information and commands quicker. The Ribbon The Ribbon is the new task based interface which allows you to access commands instantly without trawling through multiple menus. This replaces the previous Edit, View, Insert, Format, Tools etc menus found in previous versions. 2 1 Office Button Quick Access Toolbar 3 Tab 4 Key Tips 5 Mini Toolbar 1. The Office Button This is a replacement of the File menu. It shows you a list of available commands, recently opened files and the pin allows you to lock documents so they are always visible. Once the Office Button has been selected, you can: • Select a command - New, Open etc • Select a Recent Document to open • Click the grey pin to lock the document in place (once locked, it will turn to green) 2. Quick Access Toolbar (QAT) This allows you to access your favourite commands. Customise the Quick Access Toolbar by adding shortcuts to frequently used commands so you don’t have to use the tab. By default, the QAT will have Save, Undo and Redo commands. Add more icons to the QAT by clicking the drop down arrow and selecting from the Customize list or More Commands... 3. Tab The Tab separates all commands and tools into different categories. Each tab relates to a different task, making it easier to find the command you need. The Home Tab contains all of the basic functions e.g. font formatting, styles and clipboard commands. The Dialog Box Each of the tabs contains groups of commands. In some cases, you can access additional options by using the dialog box. Additional Tabs The number of tabs may increase depending on the task you are performing. Additional Tabs appear when you select an object e.g. table or image. This gives you instant access to relevant commands e.g. Picture Tools (Format) - Crop, Text Wrapping etc. By selecting the dialog launcher, it will open a dialog box or task pane with additional options/commands. 4. Key Tips Key Tips allow you to easily access commands on the ribbon, the QAT or the office button using your keyboard. Press the ALT key and the Key Tips will be displayed. Depending on the command or tab you want to access, you press the relevant letter or number. 5. Mini Toolbar Whenever you select text, the mini toolbar will appear. This gives you instant access to common formatting commands. Select your text e.g. Microsoft and the Mini Toolbar appears.
