Job Title: Volunteer Steward Big Chill Festival 2008, Eastnor Deer Park, Hereford Hours: 24 or 25.5 depending on role Dates: 30th July - 4th August or 31st July – 4th August Payment: Unpaid Expenses: Volunteers travelling from outside a 25 mile radius of the festival site will receive £25.00 travel expenses Refundable Bond: £130.00 Job Description Context The Big Chill is a multimedia festival, bar, club and record label dedicated to transforming the spirit of our times. The Big Chill offers a highly evolved, all-round experience that is completely unique, with a wide variety of music and performance, art, comedy, dance and film; technology and its relationship with nature; identifying artists and nurturing their creativity. It is about energy, community and fun. Key Responsibilities Reports to: Head Steward The Steward’s role is to ensure the safety and comfort of the public and assist in the running of a successful festival. The Steward’s main responsibilities are: • To assist in crowd management. This includes using your training to prevent and report any over-crowding. • To reduce crowd related problems, including maintaining a state of calm to minimize any injury. • Prevent unauthorised access to the site by public, and to restricted areas by guests. • If necessary to provide assistance and support to the emergency services in the event of a major incident. • Be active in ensuring the health and wellbeing of all guests. • To report any anti-social behaviour, illegal activity or perceived dangers to the line manager. The Steward’s will represent the festival to the wider community and respect and courtesy must be maintained at all times. In return for the shifts we ask you to work, we provide you with a crew camping area, 2 meal tickets per shift which can be exchanged at food stalls onsite, toilets and showers. You will be provided with a hi-vis tabard to wear and the basic equipment required to carry out your role. Stewards travelling from outside a 25 mile radius of the festival site will also receive £25.00 travel expenses. Big Chill 2008 Volunteer Steward Job Description Page 1 of 4 Most positions we are looking to fill are required to work 24 hours during the festival, however we are also looking for a number of stewards to work 25.5 hours at key positions in the entertainment area. Stewards working these shifts will receive an additional meal ticket which can be exchanged at food stalls onsite. There is a field on the application form to tick if you are interested in working these shifts. Please be aware that this is a 24 HOUR FESTIVAL and SHIFTS WILL RUN THOUGH THE NIGHT. The break between shifts will be a minimum of 7 hours. For insurance reasons you must be over 18 years of age. Everyone will be required to work some late night hours and you must be fit and able of doing the work. If you are unable to work more than one night shift due to health reasons, please make sure you identify this in the relevant field in your application. Key Responsibilities • To have a thorough understanding of the steward briefing pack • To know who your Head Steward and Area Manager are and how to contact them • To have a good understanding of the communications system, how it works and be competent in the use of the radios • To provide updates relating to stewarding issues within your area to your Head Steward • To be punctual, behave appropriately and safely • To dress appropriately in your designated tabard and be easily recognizable as a festival steward • To dress in clothing appropriate to the weather, use protective clothing during adverse weather conditions and skin cream to protect from the sun • To follow procedures as outlined in briefing documents or by your Head Steward relating to your designated area • Wristband checking • Asking people to put out fires • Report any fence jumpers • To constantly monitor the flow of the crowd throughout the festival site and in your designated area and report back any congestion, bottlenecks or excessive queuing • To undertake specific duties in the event of a major incident in accordance with the enclosed instructions or as instructed by senior site safety personnel in the event of evacuation of part or whole of the festival site • Monitoring and reporting any behaviour in the crowd that could cause harm to themselves or others • To be familiar with the site layout, particularly in your area • To be familiar with the programme of events • To be helpful and friendly at all times • To be disabled friendly and offer help when necessary • To assist generally with the wellbeing of the public attending the event with the emphasis on health and safety Big Chill 2008 Volunteer Steward Job Description Page 2 of 4 • To stay calm, rational and objective • Report any potential health and safety hazards or issues • Be alert at all times • To keep your area clean of litter and intermittently move full bin bags, tie and remove to a collection point and replace with new ones Stewards must NOT: • Leave post without telling your Head Steward • Get angry or flustered • Watch the entertainment when on shift • Exceed your powers • Drink alcohol or take drugs prior to or during shift. If you are found to be unable to work due to alcohol or drug consumption you will be immediately ejected from site and your bond will be forfeited. Stewards must report to their appointed stewarding location 20 minutes prior to the start of a shift. Skills and Experience • Experience in stewarding is preferable but not essential • Demonstrate knowledge of attending or working at similar events/festivals • Experience and understanding of working with the public • Ability to work as a team in a public facing environment • Flexible can do attitude with an approachable and enthusiastic manner • Punctuality HQ Volunteers: There are a small number of volunteer positions available in the steward HQ, assisting the Shift Co-ordinators and HQ staff. Responsibilities include: • Running • Administration tasks • Provide cover for staff breaks If you are interested in this role indicate in the relevant field on your application. Bonds Bonds will be returned in full by BACS within 6 weeks of the last day of the festival, providing that the shifts were completed in full and there are no outstanding queries which may delay payment. Big Chill 2008 Volunteer Steward Job Description Page 3 of 4 Cancellation Policy If you cancel BEFORE the cancellation deadline, 1st July 2008, your bond will be refunded after the festival minus a £20.00 administration fee. If you cancel AFTER the cancellation deadline, 1st July 2008, or are registered as a no show at the festival, you will loose your full bond. If you have to drop out of working at the festival because you are sick, have had an accident or have suffered a bereavement you must let us know as soon as possible by contacting firstname.lastname@example.org or call 07530 537382. If you haven’t done so already you will be asked to put your explanation in writing, you may also be requested to send a copy of a valid doctors note. In this instance the refund of bonds, minus a £20.00 administration fee will be considered on a case by case basis. Note No pets are allowed on the festival site and friends and family that are not part of the crew will not be allowed to camp with you in crew camping. If you are bringing children you will require children tickets and you must camp in the family camping, which is near Crew Camping but please make sure that you have someone who can look after your child while you are working. This cannot be someone else on the Steward team as change over cannot accommodate this now the festival has grown so much larger.
