TCSS 2007/2008 Computer Inventory Instructions General Information: All schools are required to complete the 2007/2008-computer inventory worksheet. You should only county Windows 2000 and XP computers that are connected to the network. All Windows 98 computers are suppose to be off the network before the start of the next school term these units can be counted as non-networked computers. The only exception for Windows 98 computers are computer labs such as those for career tech they can remain on the network with permission from the Director of Technology. Last year we added a tab called PDA Count on the master form for you to fill out. You will have to count these devices again. Also when counting computers please be sure to include any laptop computers. They should be counted as computers with Internet Access or Lab computers if they are used in a mobile lab. Schools that have AlphaSmart Neo or Dana devices should count these units as PDA devices. It is very important that we count equipment inventory accurately and include all items. Your counts must tie back to the master numbers that you report. If not you will be out of balance and its very difficult for the central office staff to determine what area is correct. This information is reported directly to the State Department of Education and is reflected on the school and district’s report card. Incorrect information can affect your school so please be sure to verify all data before filing your report to the central office. Some of the key items the State is concerned with are the number of modern computers with Internet access and the number of computers per instructional classroom. These numbers will affect the student to PC ratio that is being scored on the report card. You will need to pay close attention to your counts in these areas. Instructions: The worksheet is in Microsoft Excel therefore you will need to use a PC that has Excel installed. The form is located on the CD enclosed with your packet. If you loose the CD or need to obtain another copy please contact the Technology Department. Be sure to save the file often while entering information. Please note there are four tabs at the bottom of the worksheet with the names Master Count, Instruction Count, PC Age Count and PDA Count, you will need to click on each tab and fill out the required information for each section. The majority of the form is self-explanatory. We are using the same format as last year with the exception of the new PDA count. In addition to the inventory form, we have also created a Computer Product Identification Catalog that will help you determine product age. You can download the catalog from the link listed below. Once you have completed the inventory counts send the Excel worksheet via Email attachment to tom@tcss.net , I will then compile all school data into a master district file.
