We are pleased to present our 2010-2011 Catering Guide. In conjunction with our Executive
Chef, Michael Obrochta, the catering team has fashioned menus that will delight the palate and
provide new and interesting creations for traditional favorites.
We pride ourselves in offering innovative ideas and exceptional service.

Through our knowledge and experience, we are ready to assist you in all aspects of event
planning. We also offer our creativity in planning customized menus and themes to make
your event most memorable.

For more casual events, we offer our ―Casual Catering‖ brochure as an economical alternative
for breaks and luncheons where a simple set-up may be all that is desired.

  Charges for the Madeline Suite are applicable on catering orders less than
  $5.00 per person with a minimum of 25 guests. The Room Fee includes
  set up and breakdown of tables and chairs and covers a four hour time
  block. Tablecloths or other services are available for an additional fee.

Getting Started - Call Campus Catering
Please call our office (910.962.3600) as soon as you know that you will require catering so we may book
your event on our calendar. The Catering Coordinator will discuss the details of your event including
the time frame, location, number of guests and menu. We will assist you with the selection of table
linens and colors, decorations and room set-up.
Please inform the Catering Coordinator if you are planning a program to be held before, during, or after
the meal, so that meal service can be timed accordingly.
CAMPUS CATERING REQUIRES A MINIMUM OF 12 DAYS NOTICE FOR EVENTS UP TO 100 GUESTS
AND A MINIMUM OF 14 DAYS NOTICE FOR EVENTS OVER 100 GUESTS.
Events booked with less than 12 days notice may be subject to additional fees or may require pick up
from Wagoner Hall.
It is always advisable to contact Campus Catering as soon as you have booked a function or have
information regarding an upcoming event.
Provide attendance guarantee
The guaranteed number of guests is required 72 hours before the event starts, or by noon on
Wednesday for weekend events. This time is required to ensure an adequate staff of attendants and
sufficient quantities of food for your guests. This number is not subject to reduction. Additional
charges will be made for increased attendance.
Cancellations
Cancellations of any event or menu item must be made no less than 72 hours prior to the event.
Cancellations made after this point will result in a charge of 25% or the price of items ordered.
There is no refund for purchases of wine and beer.
Tables and Linens
Campus catering will refer you to the campus department that provides room set-up and tables for your
event location. In cases where tables must be set-up or moved by our catering staff, appropriate charges
will be added to your final bill.
Linens are included for food display tables.
All other linens may be rented at the following rates:

Service Charges
Normal service time for events is three hours.
Events which extend beyond the time limit will incur an additional $1.00 per guest per hour or a
minimum of $75 for each additional hour.
Late night hours will incur an additional charge of $75 per hour after 10pm.
There is a cake service charge of $1.50 per guest. This charge includes china, silver and cocktail napkins.
An additional fee may be charged for service attendants, chefs and carvers.
All non-UNCW functions will be assessed an 18% service charge on Food and Beverages.                     3
Additional Service Charges
A service fee up to $15 per event will be charged for on-campus events for orders of less than $50.
If the catering staff is asked to make a return trip to clean up refreshments at a later time, an additional
charge may be assessed to cover the labor costs.
If equipment is missing, necessary charges will be added to the final invoice.
For health and safety reasons, all leftover food items are the property of UNCW Campus Catering.

All local off-campus events under $200 will be assessed a service fee up to $50.
To avoid these service fees, you may arrange to have your items packed for pick-up. These orders
should be placed a minimum of 7 days in advance. All pick ups are made at the rear entrance of Wag-
oner Hall. It is your responsibility to return any service items to Wagoner Hall.
If equipment is missing, necessary charges will be added to the final invoice.

Drop-Offs
All refreshment breaks and beverages are provided as ―drop-offs.‖ This means that we will deliver and
set-up the items at the time you request and will return to clean up at a pre-arranged time. High
quality, disposable products and utensils are included. China is available for an additional cost. An
attendant may also be added to your drop-off event for service needs.

Buffet Meals
Your guests help themselves to your choices of entrees and all the accompaniments from an elegant
buffet line. We provide attendants to serve beverages and help with dessert buffets.
High quality, disposable products are included in the cost for breakfast or china and linen may be
added for an additional charge. Hot luncheon and dinner buffets include the cost of china, glassware
and linen for dining

Attended Receptions
We provide attendants to maintain the appearance of the buffet and service the reception facility. Your
buffet tables are draped in linen and beautifully displayed. High quality, disposable products are
included in the cost. China and linen may be added for that extra touch.

Served Meals
An elegant meal with outstanding services makes your occasion memorable. Our attendants see to all
of the needs of your guests throughout the meal. All items are served, beginning with the appetizer and
ending with the final cup of steaming hot coffee. You may choose from a selection of linen colors to add
a special, personal touch.

Alcohol Services
You must submit a UNCW Alcohol Beverage Permit at least 14 days prior to your event. Your alcoholic
beverage order must be placed with Campus Catering and paid for at least one week in advance of your
event.

The UNCW Campus Catering Team is ready to help you in all aspects of event planning to make a
memorable occasion for you and your guests. We are happy to design special menu offerings, create
food displays to match any theme, and customize your service to fit your event needs.

Event Checklist
__Choose the date, location and time of the event.

__Check availability of desired location and reserve location.

__Choose and reserve rain location if event is outdoors.

__Determine who will pay for the event. Obtain account number and/or billing address.

__Determine the food budget.

__Is the event formal or informal?

__Determine what type of service best suits your needs: Buffet service, served meal, reception style, etc

__Make plans for handling RSVP’s from guests. Be sure to give guests enough time to plan to attend and
  respond.

__Decide upon table centerpieces, candles or other decorations and make arrangements for removal of special decorations.

__Will you need a head table? Who will sit at the head table?

__Have you considered special needs such as a podium, microphone, staging, special lighting, etc
  Please contact your event facility manager.

__ Will you need a table for awards, gifts, a presentation or display?

__Will you need to order coat racks?

__Will you assign seating? Will you use place cards at an escort table or will someone be appointed to direct guests to their
tables?

__Will you need to place programs or favors at each place setting? Who will be responsible?

__How much time have you allowed for the meal? For the program?

__Will you need to include a map with directions in your invitation?

__Where will guests park?

__Plan your menu at least two weeks in advance of the event.

__Is alcohol being served?

__Confirm table set up and final guest count with Campus Catering at least three business days before your event.

your event. The Facilities Use Manager will also answer your questions about special equipment.

Serving Alcoholic Beverages
All alcohol served at any catered event must be supplied by UNCW Campus Catering, and we are responsible for
complying with all state, federal and University regulations regarding the service of alcohol. Any sponsor
wishing to have alcohol served at any University-related event, whether on or off-campus, must apply for an
alcohol permit from the University at least two weeks prior to the scheduled function. The Catering Coordinator
will assist you with obtaining and completing this permit. University regulations regarding the event sponsor’s
responsibility for the service of alcohol are stated on the permit.

Beer, wine and/or liquor may be served as hosted beverages only—the event sponsor orders and pays for these
beverages in advance and they are served at no additional charge to the guest. Payment for all alcoholic beverages
must be received by Campus Catering at least one week prior to the event. Plastic ware is provided at the bar and
glassware may be added to the bar set up for an additional $1.00 per person.

University policy requires that the bar(s) be closed one hour before the end time of the event and no later than 1:00
a.m. Also, no alcohol may be served on campus before 5:00 p.m. Monday through Friday.

All unopened beer and wine must be removed by the event sponsor at the conclusion of the event. If the event
sponsor does not remove the leftover beer and wine, it is immediately discarded by the event supervisor. Per
ABC licensing requirements, all liquor is returned to UNCW Catering at the completion of the event.

There is a $20.00 per hour bartending fee for each bartender required to provide adequate bar service.

The charge(s) begin 30 minutes before the bar opens and end 30 minutes after the bar closes. We typically staff
one bartender for every 50-75 guests.
