Barnes County Job Description
Position: Administrative Assistant Reports to: Extension Agents and Parenting Resources Coordinator Position Objectives and Purpose Performs a variety of secretarial, clerical and receptionist work in cooperation with the Barnes County Extension Agents and Parenting Resources Coordinator. Principal Duties and Responsibilities Compose and word process routine correspondence, meeting minutes, reports and other office forms requiring some independence of judgment as to content, accuracy and completeness. Prepare expense accounts as requested by the Barnes County Extension Agents. Maintain office filing system for publications and reference materials. Perform duties related to computer records and various lists. Perform routine clerical duties including searching files, filing, receiving supplies and sorting and distributing mail. Maintains an adequate supply of office supplies, publications, 4-H supplies and ribbons. Perform various bookkeeping duties. This includes the preparation and coding of vouchers for bills to be presented to the county commissioners and maintaining the financial records for the Barnes County Ag. Improvement Association, Barnes County Corn and Soybean Plot Committee and 4-H Leaders’ Council. Maintain the permanent 4-H records, primarily using the Blue Ribbon software provided by the state 4-H office. Maintain property records for office equipment. Maintain relevant databases for Extension programs, for example, FRIENDS for the Parenting Resources Coordinator. Keep an adequate supply of Extension bulletins displayed for public retrieval. Maintain good working relationship with office co-workers and share the work load as necessary during periods of peak activity. Assist office callers by providing them with requested publications, on-line resources or referring them to the respective Extension staff member. Maintain the computerized mailing lists for user groups.
Be familiar with and able to use the Extension e-mail software as well as the respective Internet browser software. Perform receptionist duties such as answering the telephone and relaying messages by referring to voicemail or in written format. Operate office equipment, receive training in the operation of specialized office equipment. Perform related work as required.
Minimum Qualifications Knowledge of office practices and procedures. Demonstrated skill in the operation of a computer. Knowledge of grammar, spelling and punctuation. Ability to perform routine clerical duties and handle clerical detail and receptionist duties. Ability to perform mathematical computations and use a standard calculator. Education – High school diploma or equivalent.
Preferred Qualifications Proficiency with Microsoft Word and/or Corel WordPerfect software. Proficiency with Microsoft Power Point and/or Corel Presentation software. Proficiency with Microsoft Excel and/or Corel QuattroPro software. Education – Technical school certificate or Associate Degree.
