Master Data - DOC by sjonam

									Master Data
In the step "Master data", you can make the necessary system settings related to master data maintenance
in the FI-AA System. In addition, you can define evaluation groups and your own matchcodes.

Screen Layout
In this section, you define the structure of your asset master records with the help of screen layout rules. In
these screen layout rules, you can assign features to the individual master record fields (for example, if the
fields can be changed, or if they are suppressed completely).

Define Screen Layout for Asset Master Data
In this step, you define the screen layout control for asset master data. The screen layout control contains
the specifications for the field groups in the asset master record. You enter the screen layout control in the
asset class. This method allows you to structure the master record individually for each asset class.

This step must be carried out exactly to guarantee optimal master data maintenance.

Standard settings

SAP delivers some sample definitions which you can use as references when formulating a more detailed
structure for the asset master.

          1. Create the screen layout control according to your requirements. (You may already have carried
out this step in the "Organizational Structures" section of the FI-AA Implementation Guide.)
          2. Define for the individual field groups

o the characteristics of the master record screen (whether fields are required, optional,
display fields or should be suppressed)

              o the maintenance level

o whether it can be copied (when creating a new master record using a reference master

The only field that can be suppressed are initial fields (that is, they have no contents). Fields that have
contents are always displayed, regardless of the screen layout. Fields might have contents, despite the
screen layout, for example if

 the screen layout is changed

 the asset data transfer supplies values to suppressed fields
If you want to suppress fields that have contents, you have to define them first as modifiable, and then
delete their contents.

Define Screen Layout for Asset Depreciation Areas
In this step you define the screen layout control for the depreciation terms (depreciation key, useful life, and
so on) in the asset master record. This screen layout control is similar to the one for the general master data
section of the asset master record. You can use it in a similar way to control the features of the depreciation
areas in the aset master record. It is possible to make different specifications in each depreciation area.

Default settings

SAP delivers two standard versions:

 depreciation on main number level

     depreciation on sub-number level

You can take over these screen layout controls without changing them.

           1. Create your own screen layout controls, if needed. Copy one of the standard screen layout
           controls for this.
For the individual field groups, define

o the characteristics of the master record screen (whether fields are required, optional, or
                    should be suppressed)

               o the maintenance level

o and whether it can be copied (when using a master record as a reference for setting up
                    another master record).

           2. Enter the screen layout control in the asset class (see Determine class valuation).

Specify Tab Layout for Asset Master Record
Because of the large number of fields that it can contain, the asset master record in the Asset Accounting
(FI-AA) component is divided up into several tab pages (that look like index cards). In this step, you define
the layout of these tab pages (the tab layout).

You can specify which tab pages are seen for each asset class (or if needed, by chart of depreciation within
the asset class). For each tab page, you can specify which field groups appear in which positions on the tab

Any field groups that contain required entry fields must appear on a tab page in the master record.

You must have already created your
asset classes.

Standard settings

SAP supplies a tab layout rule containing all field groups.

         1. Create tab layout rules.

o Enter keys and descriptions for the tab layout rules.

o Define the tab pages to be used in the layout rule (New entries) and specify the position
and the title of the tab page.

The maximum number of tab pages is eight.

o For each tab page, specify the field groups that should appear, and the positions in which
                   thay should appear.

o The maximum nuber of field groups allowed on a tab page is seven.

o Specify the positions of the tab pages.

         2. Assign each of your asset classes one tab layout rule.
         3. You can also make the layout rules dependent on the chart of depreciation. To do so, enter a
different layout rule within the asset class for each chart of depreciation.
If you do not make any chart-of-depreciation-dependent entries, the layout rule you enter applies to
         the entire asset class.

Process Selection Criteria
In this step, you make specifications for the "My assets" and "Assets on my cost center" Web transactions
(transactions for displaying and editing fixed assets in the Internet/Intranet). For each of these transactions,
you specify the selection criteria that are available for selecting assets when you call the transaction. In
addition, you specify the standard selection criteria that are presented when you start each of these

Activate Country-Specific Data

In this IMG activity, you activate tables containing asset master data fields that are required in individual
countries only.

After you activate the tables, you determine the appearance and set-up of the screen layout in which you
want to include the country-specific fields. For example, you add tab pages to store additional data.

Note: If required, create a country-specific asset class (see Define Asset Classes).
Standard settings
The standard system comes with additional tables for country-specific asset master data, for example, in
Russia and Japan. You cannot add any tables of your own.

The following functions do not support the fields that you activate here:

 Creation of asset master records with reference to an existing asset

 Substitutions and validations (see the IMG activities Define Validation and Define Substitution)

     Mass changes

Assume that you are in Russia, and you want to create asset master data for vehicles. Since vehicles are
liable to transport tax, and since you are required to file detailed transport tax returns each year, you need to
store such details about each vehicle, such as the taxable horsepower, tax exemptions, and license plate

First, in this IMG activity, you activate the tables with general data and transport tax data for Russia.

You then customize the asset classes and the screen layouts as follows:

Screen Layout
         1. In the IMG activity Specify Tab Layout for Asset Master Record, subactivity Define Tab
Layout for Asset Master Data, copy the standard layout G1RU (Standard Layout for Russia).
This layout contains a tab page with the Russian data.
         2. To assign your country-specific tab layout to country-specific asset classes, perform the following
steps in the subactivity Assign Tab Layouts to Asset Classes:
                   a) Select the asset class that you want to assign your new layout to and double-click
                   General Assignment of Layout.
                   b) Assign the new tab layout to the appropriate transaction group, for example, Asset
To perform this assignment, in the line for the required transaction group, select your tab
layout in the Tab Layout column.
         3. To determine the status of the fields in the asset master record, create your own screen layout,
by choosing the subactivity Create Screen Layout Rules for Asset Master Record in the IMG
activity Define Screen Layout for Asset Master Data.
         4. To determine which master data fields appear in your screen layout, and which are mandatory
and optional fields, call the subactivity Define Screen Layout for Asset Master Data in the IMG
activity Define Screen Layout for Asset Master Data, -> Define Screen Layout for Asset Master
                   a) Select the screen layout that you created in the IMG activity Create Screen Layout
Rules for Asset Master Record above, and double-click Logical Field Groups.
                   b) To determine which fields in your screen group are required and optional, select the
required logical fields groups (201 and 202 in this example), and double-click Field Group
                   c) Set each of the field groups to Required or Optional, andselect Subno (Entry allowed in
                   asset subnumber).

User Fields
In this section, you define the allowed characteristics of

 asset master record fields which are provided for user-defined use (such as the evaluation groups
         and asset super numbers)

 a field for indicating environmental protection measures

 a field for the reason for a capital investment

You can use these fields, just as any other master record fields, as selection criteria in reporting (under
Dynamic selections) You can also use user-defined fields when defining sort versions. See Define sort
