MICROSOFT POWERPOINT BASICS
To Create a Presentation from Scratch:
1) Open PowerPoint. Select Blank Presentation and click OK. (If
PowerPoint is open, select File New General tab Blank
Presentation and click OK.)
2) From the New Slide window, select a layout and click OK.
3) To insert new text, click on existing text and edit. Click outside of
text box to apply. To insert a new text box, click Insert Text Box.
4) To add a slide, select Insert New Slide.
5) To change color or format, see Formatting Slides.
To Create a Presentation from a Pre-Designed Template:
Open PowerPoint. Select Design Template and click OK. (If PowerPoint is
already open, select File New and choose from the options below.)
Design Template: Select from various pre-designed presentations, then
follow steps 2-5 above.
Presentations: Select from pre-formatted content and follow steps 2-5
above, OR double-click the AutoContent Wizard icon for step-by-step help.
To Format Slides:
In Slide View, select Format and choose preferences.
VIEWS
A) Slide View
Use this view to create and edit slides and apply animation
effects.
1) To Insert a New Text Box, select Insert Text Box.
2) To Insert New Text, click on existing text and edit.
3) To Move a Text Box, click and drag the outside edge of the
text box.
4) To Apply Animation Effects:
a) Highlight text to be animated.
b) Click the Animation Effects icon on the Format tool bar.
c) In the Animation Effects dialog box, click the Custom
Animation icon.
d) Select from the assortment of text and fade animations.
e) To preview the effects, go to Slide Animation Preview.
5) To Move to Next or Previous Slide, click up and down arrows
on scroll bar.
B) Outline Pane
Use this to edit text, organize slides or create a presentation
from an outline. Thumbnails appear on the left side of the screen, and
selected slide and notes appear separately. To fully view slide, double-
click on thumbnail.
1) To Change the Order of Slides, click on a thumbnail and drag
it to a new location.
2) To Insert a New Slide,
a) Select the thumbnail of the slide you want the new slide
to follow.
b) Select Insert New Slide.
C) Slide Sorter View
Use this to view many slides at once, change slide order, and
set timings for slide shows. Double-click thumbnail for full view. To
delete a slide, click on it and press Delete.
1) To Change the Order of Slides, click on a slide and drag it to
a new location.
2) To Insert a New Slide, point and click on the position where
you want the new slide to appear and go to Insert New
Slide.
3) To Duplicate a Slide, select the desired slide and click Edit
Duplicate.
4) To Zoom in or Out, change the size of the thumbnail views by
clicking the arrow next to the percent field or typing in a
new percent.
5) To Format a Slide, select Format and select the option you
want
D) Notes Page View
Use this view to add speaker notes to slides.
E) Slide Show View
1) To View the Next Slide or Part of a Slide, press Page Down
key or click anywhere on the slide.
2)To View the Previous Slide or Part of a Slide, press Page Up
key.
To exit the Slide Show, press Esc.
To use the pointer, move the mouse on the slide. A small box will appear
in the lower-left hand corner. Click on the box and select Pointer Options
Arrow or Pen Color, and select color.
CHARTS AND GRAPHS
1) To Insert a Chart into an Existing Slide:
a) Select Insert Chart.
b) Enter data into pop-up table and click outside the table to
apply.
c) Click and drag graph to reposition or click on border to
resize.
2) To Change Color or Font Elements:
a) Double-click on white chart border.
b) In the dialog box, select the options and click OK.
3) To Change the Chart Type (bar, pie, scatter):
a) Double-click on the chart.
b) Select Chart Chart Type.
4) To Insert a New Slide with Chart:
a) Click Insert New Slide.
b) Select a chart slide.
c) On the new slide, double-click the chart icon.
d) Enter new data into table.
e) Click outside table.
PICTURES, HYPERLINKS, AND TEXT
1) To Insert a Picture:
a) Select Insert Picture and choose the desired option.
b) Select the desired object and click Insert.
2) To Insert a Hyperlink:
a) From Slide or Outline View, highlight the text to be the
link.
b) Select Insert Hyperlink.
c) In the dialog box, enter the URL or file location to link
to.
HEADERS AND FOOTERS
To Insert a Header or Footer:
a) Select View Header and Footer.
b) Select the Slide or Notes and Handouts tab.
c) When the dialog box appears, select the desired options.
d) Click Apply or Apply to All.
ACTION BUTTONS
Action buttons allow the user to click and jump to another slide or
to a URL.
1) To Add Action Buttons:
a) Select Slide Show Action buttons and select shape.
b) Click location on the slide where you want the button to
appear.
c) In the dialog box, select fields, add the appropriate
information, and click OK.
2) To Apply Settings to an Existing Action Button:
a) Select the button, then select Slide Show Action
Settings and choose settings.
b) To view the settings, run presentation in Slide Show view.
SLIDE SHOW TRANSITION EFFECTS
To Set Effects:
a) Select Slide Show Slide Transition and select the
effects.
b) Click Apply (for current slide) or Apply to All (for entire
presentation).
SLIDE SHOW TIMING
To Set Custom Timing:
a) Select Slide Show Rehearse Timing.
b) Click the arrow button to advance the transition or the
slide. The clock records elapsed time between transitions
and slides.
c) At the end of the rehearsal, save the timing.
