OCA National Registration Scheme – Logbooks Version 1.0
RER017/0603
This logbook has been produced to assist the registered outdoor recreation leader to record the relevant details necessary to demonstrate maintenance of current skills and knowledge. The principles of evidence covered in the registration workbook should be applied; those being authenticity, currency, sufficiency and validity. These principles are expanded upon below; Authenticity Providing evidence that can be confirmed as an actual occurrence, that is, something that really happened. This can be achieved by providing organisation/employer contact details so that activities and responsibilities can be confirmed. Another way is to have a second person verify the documentation by countersigning it, this should be someone of good reputation (ie. not someone’s little sister). Currency The logbook should be kept up-to-date. While historical evidence does contribute to skills and knowledge, it is essential to demonstrate that these skills and knowledge have been applied recently and have not been lost or forgotten. It is also important to record any activity or event that has kept skills and knowledge up-to-date with any recent changes to technology, practices, ethics, etc. Sufficiency The evidence should demonstrate that the skills and knowledge have been applied over a number of occasions in a number of settings/ environments. There should be sufficient variety and frequency of evidence to meet the requirements of re-registration as an outdoor leader (check the re-registration requirements for particular registration specialisations). Validity The evidence recorded must apply to the registration specialisation, that is, it must be valid. As an example, valid evidence for a guide/instructor must include evidence of guiding/instructing. Evidence purely of a participative nature would not be valid evidence unless supported by evidence of other guiding/instructing activities.
The logbook has three sections for recording different types of evidence. The re-registration requirements section is to record activities such as training, workshops, conferences, or research. Activities other than leading or participating, that contribute to knowledge and skills in the registered activity. The activity log is to record occurrences of leading or participating in the registered activity. The notes section at the back of the logbook is to record extra details that are relevant to any entries in the previous two sections. Extra notes should be referenced in the appropriate section of the logbook. Some tips for recording evidence Record all relevant details. The more variety that is recorded the better, it will represent a variety of skills and knowledge. Record anything that makes one activity different to the next eg. weather, group, activity, duration, location, etc Keep it brief. Only record the information that is required to document the activity/event Regularly record activities/events. Regular updates of the logbook will ensure that details are not lost or forgotten. Use the notes section in the back of the logbook if you need to record more detail. Make sure there is a reference in the appropriate section of the logbook to any notes that are recorded. Consider keeping a journal. Some people keep a journal of activities/events. Journals are much more descriptive and can record feelings, justifications for actions, suggestions for future events, etc. A journal is a valid form of evidence and is capable of recording information for which there is not room in a logbook. Journals are generally less structured and take more time than a logbook. Keep a backup. If all evidence is recorded electronically, it is important to keep a backup, either a regular printout, or a copy of the file stored on a disk separate to the original file. The re-registration requirements may be subject to change. Contact your State office.
