Cash deposits for the United Way 1. Money received from events (book sale, silent auction, etc), should be in the form of cash or cheques made payable to Simon Fraser University, (Cheques must not be made payable to United Way for purchases at events.) 2. Cash and cheques are to be deposited using a Departmental Deposit Summary a. The Department is United Way. b. The donations holding account is 11 99999 2272. c. Please complete the deposit description with something like: Van Bakesale Sur Artisan or something equally short but comprehensible! d. If you are making more than one deposit on one day, please give a deposit #.
2. You can make cash deposits through the normal process for dealing with department petty cash at your campus: Vancouver - Registration and Information Services Surrey - Registration and Information Services Burnaby – Accounts section in the SFU Book Store, 1000 level Maggie Benston (which is open from 9 am to 12 or 1pm?? pm Monday to Friday) 3. For your own security and safety, if you are dealing with a large amount of cash (say over $200), you may want to ask a colleague to be on hand when you count and sort the cash and take it to the deposit office. One person is to prepare the summary and the other can review the summary. 4. Again for your own security and safety, you should identify a secure place to lock cash up overnight if needed. 5. For some events, you may want to have cash picked up during the event so that you don’t have a large amount of money to deal with at the end of the day. If you arrange for someone to pick up the funds, please a. arrange a time and place for the pick up, b. ensure the person with the funds knows the person picking up the funds c. give them a copy of these instructions d. a copy of the deposit summary form to complete 6. a) b) When you have completed the cash deposit, please fax a copy of the deposit summary, and the receipt you receive to Alison - fax number: 24860 and put the original in campus mail.
7. At the end of the campaign, all the events funds are tabulated and a cheque requisition prepared and the funds are sent to the United Way. Important – please note: SFU/United Way Pledge forms must not be used for event purchases because event purchases are not charitable donations. Thank you very much for all your help!!
