         INITIAL HIRE OR REHIRE - REQUIRED EMPLOYMENT PAPERWORK

I. Instructions for Hiring Location
                                             To Process an Initial Hire or Rehire


Once an applicant has accepted a position:

1.   Hiring location faxes a completed Non-Instructional Pre-Clearance Form to the Employment Center at 754-321-2372.

2.   Employment Center conducts pre-clearance review. This process normally takes 1 to 2 days.

3.   Employment Center notifies the hiring location of the employee’s processing appointment via return fax of Pre-Clearance
     Form.

4.   Hiring location advises the hire:
          a. that the following documents are required during the processing appointment:
               o a picture ID and a work authorization document (see I-9 Form for a listing of all eligible documents).
                    •    Common picture ID documents are: Drivers License, State ID, Student ID
                    •    Common work authorization documents are: Social Security Card (not acceptable for I-9 if “not valid
                         for employment” is on card), US Passport, Permanent Resident Alien Card, Foreign Passport with Visa
                         Attached
               o a signed Social Security Card. Social Security card copies, receipts and/or stubs are not acceptable.
               o checking/savings account information for mandatory direct deposit of payroll. A voided check is
                    acceptable.
               o proof of education or other qualifications (test scores, CPR certificate, etc.) as per the vacancy listing.
               o payment for fingerprinting. Money orders payable to Broward County Public Schools, Visa and
                    MasterCard are accepted; cash and personal checks are not accepted.
          b. to access the Broward County Public School’s website prior to their processing appointment:
               o Non-Instructional Employment Forms website at http://www.broward.k12.fl.us/nis/employment_forms.htm
                    to complete the required employment forms to bring to their processing appointment. Required employment
                    forms for each employee type are listed under Sections II and III.
               o The Benefits website at http://www.broward.k12.fl.us/benefits/ to review benefit options that will be
                    selected during the processing appointment.

5.   Hiring location provides hire with the following to take to the processing appointment:
          a. a copy of the expired vacancy listing
          b. selected applicant’s resume
          c. three (3) employment references (completed by the hiring location)
          d. a copy of the Non-Instructional Pre-Clearance Form
          e. a completed PAF (Personnel Action Form) signed by the Principal or Department Director. Additional signature
               from the Executive Director of SIU is required when hiring Security Specialists and Security Monitors. Other
               additional signatures may be required dependent on the position.

6.   After the hire has attended the employment processing appointment, completed and presented all required paperwork and
     documents, the hiring location monitors the Security Clearance Database for a clearance authorization date. This process
     normally takes 2 to 5 working days.

7.   Hiring location inputs a Start Date in the Security Clearance Database, prints the screen and faxes the print-screen to Non-
     Instructional Staffing at 754-321-1826.

8.   The hiring process continues through the Non-Instructional Staffing and HRIS departments, resulting in SAP system input
     for payroll purposes. This process normally takes 5 to 7 working days.

Note:

Once interviews are completed and a selection is made, the advertisement listing and resumes for all applicants must be retained
(at the hiring location) for a period of three (3) years.
