Technology Mini-Grant Program 2009 - 2010
Facts about the MESTRACT Mini-Grant Program

The Technology Mini-Grant Program is designed to provide funding up to $1,500 to teachers for the
implementation of educational projects for which funding is not available through normal district
channels. Proposals should result in the improvement of instruction for students, Pre K-12, in helping
them meet the NYS Learning Standards. The focus should be the improvement of instruction for students
through professional practice.

Grants may be awarded to fund projects with the following purposes:

          To introduce an innovative method of instruction for students
          To employ best instructional practices for remediation and enrichment
          To use alternate sites or resources for instruction
          To create resource materials for the specific instruction of students
          To replicate a proven instructional project for new students and/or collaborations
          To pilot an experimental but promising project that may not be funded


Grant applications should:

* Follow a professional presentation format
* Contain a clear description of the project
* Contain fully developed goals and objectives that reflect personal professional and/or district
professional development goals
* Align themselves with the NYS Standards and student goals
*Outline a clear time schedule for implementation within the timeframe of December - May
* Describe outcomes that are consistent with the goals stated
* Indicate specific impact on student learning and professional development
* Describe clear assessment methods to evaluate the success of the project
* Contain a budget with a detailed list of expenditures appropriate to the project

Applications will be available from our website www.mestract.org. Awards will be announced the week
of November 23rd.

Application Information
Eligibility
Eligible recipients are public or private school teachers affiliated with the Mid-East Suffolk Teacher Center. Funding will
be provided up to a maximum of $1,500. Individuals or groups of no more than three may apply. Matching funds may
also be available from PTA's, Teacher Associations, school districts, or private industry.

Application Process
All grant applications MUST be typed or word-processed. The narrative is not to exceed three (3) 8 1/2 x 11-in. pages in
either 10 or 12-point print. No more than three (3) applicants are permitted on one grant. Individual applicants may
submit no more than two (2) grants total (inclusive of the Terri Peters Mini Grant and Technology Grant categories
combined) per school.

Submit the original grant application plus three (3) copies. Grant applications must contain: A Cover Sheet, a Signature
Sheet, a Checklist Sheet, a Title Page for Proposal Narrative, and Proposal Narrative Sheets (Addressing the ten items -
Maximum 3 pages).

ALL necessary signatures must be given on the Signature and Checklist Sheets (Signature of Applicant(s), Building
Administrator, and Teacher Association President). (Eastern Suffolk BOCES applications ONLY may be signed by the
building representative instead of the Teacher Association President). IMPORTANT - Omit any reference(s) to your
School District, School Name, or individuals except on the Cover Sheet to ensure anonymity in the rating process.
NO FAXES CAN BE ACCEPTED. Grants MUST be postmarked by October 30th.

Criteria for Judging
Mini-Grant awards will be selected by a rating committee comprised of MESTRACT Policy Board members and past
Mini-Grant winners. Committee members will read the applications and rate them according to the Narrative
Requirements. All decisions of the committee are final. Awards will be announced the week of November 23, 2009.

Budget
The budget for Mini-Grant funds may not exceed $1,500 and should clearly specify how the money will be used in the
project. Examples of appropriate expenditures include: materials/supplies (i.e. paper, books, "kits", lumber, etc.) field
trips, equipment (i.e. digital camera, printer, etc.) guest speakers, and consultants for the project. Prior approval from the
Teacher Center is required if you are budgeting equipment costing more than $750. (Examples of equipment: printer,
digital camera, copier, etc.) Call the Teacher Center for this prior approval. Any equipment purchased through the grant
becomes a permanent loan to your school district. NOTE: Teacher stipends are not allowed. Round off all budget items
to the nearest dollar ($449.51 = $450) Note: NYS Sales tax cannot be reimbursed. Use your school district's tax-
exempt ID number when making any purchases for your project. Original invoices showing that items purchased were
PAID (not packing slips) must be provided with the Final Budget report.

Awarding of the Grant
50% of the award will be presented at the beginning of the project and the remaining 50% will be reimbursed upon the
submission of the Final Report Narrative, the Final Budget with all receipts and invoices, and any Grant Documentation
promised to the Teacher Center in the application. (Read carefully the grant terms/conditions on the Signature Sheet
including late penalties). Please take note that after the first installment is received, grant recipients will be responsible
for any expenditures and will be reimbursed upon completion of the grant project.

Mini-Grant Showcase Agreement
All award winners will be required to share their projects at the MESTRACT Mini-Grant Showcase on May 12, 2010
to ensure dissemination of project information throughout the educational community.

Please Read Carefully Before Signing:
• I assure that the activities described in this grant proposal can and will be accomplished within the time frame of
  December, 2009 and May 1, 2010.
• I have discussed the implications of this proposal with district staff members who may be impacted by it.

• Penalties - I understand, if the Final Report Narrative, Final Budget with original budget receipts, and promised
  Grant Documentation is received late, the following penalties will apply:
                    • Received from May 2nd - May 15th, only 80% of the total grant will be awarded.
                    • Received from May 16th - June 1st, only 60% of the total grant will be awarded.
                    • After June 1, 2010, NO MONEY WILL BE AWARDED.
• I understand the final check will not be released until all requirements of the Grant have been met.
• I understand that decisions of the Teacher Center on the awarding of grants are final and will be the sole
  responsibility of the Policy Board of the Mid East Suffolk Teacher Center
• All grant applications become the property of MESTRACT and cannot be returned.
• Photos or videos of students included in documentation of grant projects may be used for Internet or public
  showing, therefore there must be parent/guardian approval. It is your responsibility to get parent/guardian
  approval according to your individual district policies.
• All award winners must agree to present their projects at the MESTRACT Mini-Grant Showcase on May 12, 2010 to
  ensure dissemination of project information throughout the educational community.
• I understand that if I am having any difficulties with due dates/deadlines, or any other project related issue, I must contact
  MESTRACT immediately.

  MESTRACT.

Proposal Narrative Information

Directions: All information must be typed or word processed in 10 or 12-pt. print. You may use the form on page 8
to complete your proposal. Please make sure ALL items below are addressed in order. DO NOT EXCEED the 3-
page limitation for addressing these 9 items. The review committee requires a concise, clear presentation of your
proposal. Clearly label each item if you do not use the form provided.

1. Description of project
        • State what you plan to do for this project. (Raters need to have a clear idea of what your project
          entails).
2. Project Objectives
        • State your fully developed goals and objectives that reference specific NYS Standards. (See
          attached standards for proper language).
3. Procedures
        • State an appropriate time schedule.
        • State clear steps for implementation with clearly stated procedures.
4. Assessment
        • State the kinds of assessment instruments/tools to be used. Assessment should evaluate student
          learning.
        • Show how your assessment shows connections among standards, goals, and objectives.
5. Budget
        • Give a detailed list of project expenditures showing appropriate use of funds. Limit $1,500.
        • For equipment purchases, state the specific use of the equipment.
        • List matching funds, if applicable, with sources and amounts. ( i.e. PTA, district funds, business,
         etc.).
6. Final Report Documentation
        • List items to be submitted to the Teacher Center with the Final Report. ( i.e. one or two samples
         of student work, completed evaluations, surveys, pictures, etc.).
7. Dissemination
        • Describe how you will promote the application of ideas from this project among your colleagues,
          building, and/or district. Please be certain not to reference district publications.
8. Impact of Project
        • Describe how the project provides significant opportunities for student engagement and
          enrichment.
9. Reflection
        • How do you "think" this project will change your teaching and/or student learning?
10. Professional Development
        • How will this proposal address/enhance the professional development and practices of the teachers
        involved?
