Board Director (Two volunteers each)
The PTO Director facilitates all PTO meetings; appoints committee chairs (with the consent of the entire
board); prepares the agenda for the PTO meetings; establishes special committees as necessary; and coordinates
the work of the board members, committee chairs, and activities of the PTO. The director also works closely
with the principal and other board members to review the budget and define the fundraising goals for the year.

Board Fundraisers (Two volunteers each)
The PTO Fundraising Coordinator organizes and promotes member participation for all fundraiser programs
and events. Manages the Direct Donations Drive, eScrip enrollment, T-Shirt Sales and events like the Walk-a-
Thon or Cookie dough sales when needed for additional funding. The Fundraiser assumes the duties and
responsibilities of the Director in the absence or resignation of the Director, and assists the Director with all
fundraising as requested.

Board Membership Coordinators (Two volunteers each)
The PTO Membership Coordinator promotes parent and student enrollment. Manages the online parent and
student directory registration process. Downloads a current database list of enrolled parent members from Eaton
PTO website. Edits and verifies accuracy of additional content and contact information. Manages the production,
layout and vendor for printing of the directory. Distributes the PTO Student directory to all parent members.
Also, promotes sign ups to the PTO email yahoo group and creates a Room Parent Contact List. Updates the
Board on enrollment of new member sign ups every trimester. The Membership Coordinator assumes the
responsibilities of the Director in the absence or resignation of the Director and Fundraising Coordinator.

Board Secretary (Two volunteers for each position)
The PTO Secretary takes meeting minutes and attendance at all PTO meetings. Maintains a binder with hard
copies of the minutes, agenda, budget and any other guest presenter’s handout materials from each meeting.
Types and emails minutes to the board members for review and editing (prior to the next meeting); Email final
copy to all board, teacher, principal, and parent attendees. Sends final copy to webmaster for posting onto the
PTO website. Prepares other correspondence (including thank you notes and invitations) for the PTO; and
prepares a list of unfinished business for use by the Director. (A computer is needed for this position)

Board Treasurers (Two volunteers for each position)
The PTO Treasurer helps prepare the annual PTO budget; receives deposits and disburses all PTO monies;
keeps an accurate record of all financial transactions; prepares a financial report for each PTO meeting; and
works with the Auditor when necessary. The Treasurer must also have an assistant when counting receipts from
all fundraising activities.

Board Auditor (one only)
The PTO Auditor reviews the books and records of the PTO Treasurer. The final audit is to be completed two
weeks prior to the next school year (by August 15). The Auditor maintains the books/budget reports upon the
resignation of the PTO Treasurer.

Eaton PTO Constitution: Article IV:
Section 2: The privilege of holding office shall be limited to enrolled parent members who have been members of the PTO for at least
thirty (30) days prior to nomination.

Section 3: The term of office shall be for one year. An elected Board Member may serve more than two (2) consecutive years in the
same office only if there are no volunteers to fill the position. If there are other nominees for the position, after a Board Member has
held the position for two (2) consecutive years, the Board Member is obligated to relinquish the position.
