Southfield Plantation Homeowner’s Association www.southfieldplantation.net PO Box 322, Bonaire GA 31005 DECEMBER 2008 --- Annual HOA Board Meeting --- Tuesday, 20 JAN 09, 6:30 pm WATERFORD GOLF COURSE CLUBHOUSE, DININGROOM DOWNSTAIRS Dear Homeowners, As the year of 2008 ends, so begins 2009. The board has grown in membership, as has the association with the incorporation of Section 4. There are still more sections to be added as they reach completion. There is more land to be developed and Southfield Plantation will continue to expand. The 2008 Board has worked very hard on the subject of covenants. A committee was formed to address just covenant issues. They pulled together a combined set of covenants for board use only. Each section has it’s own set of covenants on file at the courthouse and nothing will change that. This list combines the same-worded text and separates out the different-worded text into one document that allows the board the means for a more organized approach to affording each section protection under the covenants as a whole. This document is available on the website along with some proposed changes that the board will continue to address throughout next year. Please take a moment to print a set for your information. As I have said before, this has been a long and sometimes difficult process. Our sole intent is to create the kind of leadership that the residents have asked for. Nothing has been easy. Nothing has been cheap. We will be presenting 2008 financial statements and a 2009 budget. Our CPA firm will be filing the necessary tax returns (there are new requirements this year for non-profit organizations). Landscaping has been the largest expense and the board has voted some changes for next year. We are going with one company, one contract, for one year to maintain all common areas. This should relieve several board members from having to maintain the lights, sprinklers, fountain and other common properties. This one company should provide us with consistent, hands-off, convenient & reliable service. We now have an extensive list of addresses and homeowner names (Thank You Dennis) for all of Southfield Plantation. This list will be used to generate invoices for dues for 2009. Previously a request for an increase in dues was thought to be needed. That will not be the case for 2009. We are now large enough to benefit from a bulk mailing service and have cut our publication costs tremendously. Some residents have expressed their opinion that no newsletters go out, or that it should only be delivered to those who subscribe. Because the newsletter is the first (and sometimes the only) means of communication with residents, it is our way of getting the same information to ALL RESIDENTS at the same time. The newsletter is a legal publication for notices that are time sensitive. And with the large inflow of new neighbors, the board is not able to introduce themselves in a one-on-one basis. We have accessed that the newsletter be our official means of communication, with additional information available on our website. The board will continue to meet at Waterford Golf Clubhouse on the third Tuesday of each month at 6:30 for one hour. The following is a list of residents who have expressed a desire to be a board member for 2009. The lines are for write-ins. The 2008 Board decided again to refrain from restricting the number of board members and their list of terms as spelled out in the by-laws. In 2009, an election committee is to be selected to review the election process and make any necessary changes for the election in January 2010. It is the intent of this board to insure that all 409 addresses -- all sections -- have adequate representation. The winner of the Holiday Décor contest to be announced at the January meeting.
